Your contact info:  Using a template? Fill in your name, email, number, and location (city and state) so your employer knows how to contact you. Some companies also like to view your LinkedIn profile, so include it if you can.

It might be a struggle to find the company’s address, so you may need to scour LinkedIn, Facebook, Glassdoor, and other sites. A quick LinkedIn search usually works to find the recruiter’s name and title.

Greeting:  A good greeting is imperative in any business situation, including a cover letter. When addressing the employer, use formal language that is still somewhat modern. 

For example, an enthusiastic “Hi!” won’t fly when you’re applying to big companies like Boeing, but a “To Whom It May Concern” is formal but dated (and impersonal). 

Your best bet is to stick to the old classic, “Dear Ms. or Mr. Lastname.”

  • Formatting:  Business letters typically use a colon after “dear,” but there is some debate about using a colon instead. We’d suggest sticking to a colon unless the company is more casual (like an indie video game developer or a family pizzeria).

Don’t worry too much if your opener doesn’t sound perfect. Write a few test openers until you’ve written one you like (or combine your testers to create one polished whole). It may take some time, but it’s worth it to start your cover letter on the right foot.

Paragraphs 2-3:  Your opener has successfully gotten the recruiter to keep reading, so now you need to provide evidence that hiring you is a smart choice. Focus on one definitive accomplishment per paragraph to make the most impact.

It’s tempting to slip in more details about why you’re the best candidate, but it will result in a bloated, cluttered letter. Instead, hone in on one accomplishment you can maximize:

Closing paragraph:  Many cover letters struggle with ending well. It’s all too easy to sign off with a quick “thank you for your time” and nothing else. Instead, leave the recruiter excited to follow up with you soon. Don’t leave them dozing off with a closer like this:

Here are step-by-step instructions for writing a compelling customer service cover letter:  

  • Start from the middle — the cover letter body. This is the main part of your letter, so give it the most thought first. 
  • Briefly explain your background and core skills. Use the job posting as your guide and incorporate the “keywords” from it to describe your main skills and experiences. Years of experience, the names of customer service related computer systems, and industry-recognized training programs are useful keywords that often get a positive response.
  • Add “ power words ” to your narrative. Use strong verbs and adjectives to describe your duties, accomplishments, and personal traits.
  • Don’t forget about soft skills . Keep in mind that a good customer service professional has empathy, great listening skills, the ability to resolve conflict, and the ability to deal with angry customers without taking things personally. A customer service professional seeking a management or supervisor position must also show that they can motivate others, provide constructive criticism, and coaching.
  • Round up with a call-to-action. Close your cover letter with a short statement, prompting further action such as reaching out to you for further information. Alternatively, you can state your availability for the interview. Then thank the reader and sign off.
  • Work on your opening paragraph.  Get back to the beginning and add a compelling opening for your cover letter. State the position you are after, as it is written in the job description, and share your elevator pitch .  
  • Edit and polish. Give your cover letter another unemotional read. Trim some sentences, check for typos, and verify that you’ve addressed all the instructions from the job posting.

Here’s how to write a job-winning customer service cover letter:

1. Follow the rules of business cover letter formatting

You cover letter has to make a good first impression. One that conveys professionalism, attention to detail, and, last but not least, your knowledge of the business etiquette.

Here are the key rules for formatting your cover letter :

  • Left-align all contents, don’t use justification.
  • Set 1-inch margins on all 4 sides.
  • Pick an elegant, readable font—ideally, one of the classics. Arial, Tahoma, Verdana, Helvetica, Georgia.
  • Use 1.15 line spacing.
  • Never let your cover letter spill over to the next page. A single page is always enough.

The first paragraph of a customer service officer cover letter has to do one thing:

Ensure the hiring manager she’s reading something relevant to her.

The first step? In the greeting, address the hiring manager by name . Do some research to find out who the hiring manager is. Can’t find the name online? Call the reception and ask.

5. Explain why you want in

In the third paragraph, you’ll want to drop in a compliment or two.

Sure, they’re looking for an employee to satisfy particular business needs. But they also want you to genuinely enjoy the job—this way, they’ll know you’re likely to stay with the company beyond your onboarding process.

Make them feel special. Highlight the fact that you want this job more than any other job.
