5 Effective Problem-Solving Strategies

Got a problem you’re trying to solve? Strategies like trial and error, gut instincts, and “working backward” can help. We look at some examples and how to use them.

We all face problems daily. Some are simple, like deciding what to eat for dinner. Others are more complex, like resolving a conflict with a loved one or figuring out how to overcome barriers to your goals.

No matter what problem you’re facing, these five problem-solving strategies can help you develop an effective solution.

What are problem-solving strategies?

To effectively solve a problem, you need a problem-solving strategy .

If you’ve had to make a hard decision before then you know that simply ruminating on the problem isn’t likely to get you anywhere. You need an effective strategy — or a plan of action — to find a solution.

In general, effective problem-solving strategies include the following steps:

  • Define the problem.
  • Come up with alternative solutions.
  • Decide on a solution.
  • Implement the solution.

Problem-solving strategies don’t guarantee a solution, but they do help guide you through the process of finding a resolution.

Using problem-solving strategies also has other benefits . For example, having a strategy you can turn to can help you overcome anxiety and distress when you’re first faced with a problem or difficult decision.

The key is to find a problem-solving strategy that works for your specific situation, as well as your personality. One strategy may work well for one type of problem but not another. In addition, some people may prefer certain strategies over others; for example, creative people may prefer to depend on their insights than use algorithms.

It’s important to be equipped with several problem-solving strategies so you use the one that’s most effective for your current situation.

1. Trial and error

One of the most common problem-solving strategies is trial and error. In other words, you try different solutions until you find one that works.

For example, say the problem is that your Wi-Fi isn’t working. You might try different things until it starts working again, like restarting your modem or your devices until you find or resolve the problem. When one solution isn’t successful, you try another until you find what works.

Trial and error can also work for interpersonal problems . For example, if your child always stays up past their bedtime, you might try different solutions — a visual clock to remind them of the time, a reward system, or gentle punishments — to find a solution that works.

2. Heuristics

Sometimes, it’s more effective to solve a problem based on a formula than to try different solutions blindly.

Heuristics are problem-solving strategies or frameworks people use to quickly find an approximate solution. It may not be the optimal solution, but it’s faster than finding the perfect resolution, and it’s “good enough.”

Algorithms or equations are examples of heuristics.

An algorithm is a step-by-step problem-solving strategy based on a formula guaranteed to give you positive results. For example, you might use an algorithm to determine how much food is needed to feed people at a large party.

However, many life problems have no formulaic solution; for example, you may not be able to come up with an algorithm to solve the problem of making amends with your spouse after a fight.

3. Gut instincts (insight problem-solving)

While algorithm-based problem-solving is formulaic, insight problem-solving is the opposite.

When we use insight as a problem-solving strategy we depend on our “gut instincts” or what we know and feel about a situation to come up with a solution. People might describe insight-based solutions to problems as an “aha moment.”

For example, you might face the problem of whether or not to stay in a relationship. The solution to this problem may come as a sudden insight that you need to leave. In insight problem-solving, the cognitive processes that help you solve a problem happen outside your conscious awareness.

4. Working backward

Working backward is a problem-solving approach often taught to help students solve problems in mathematics. However, it’s useful for real-world problems as well.

Working backward is when you start with the solution and “work backward” to figure out how you got to the solution. For example, if you know you need to be at a party by 8 p.m., you might work backward to problem-solve when you must leave the house, when you need to start getting ready, and so on.

5. Means-end analysis

Means-end analysis is a problem-solving strategy that, to put it simply, helps you get from “point A” to “point B” by examining and coming up with solutions to obstacles.

When using means-end analysis you define the current state or situation (where you are now) and the intended goal. Then, you come up with solutions to get from where you are now to where you need to be.

For example, a student might be faced with the problem of how to successfully get through finals season . They haven’t started studying, but their end goal is to pass all of their finals. Using means-end analysis, the student can examine the obstacles that stand between their current state and their end goal (passing their finals).

They could see, for example, that one obstacle is that they get distracted from studying by their friends. They could devise a solution to this obstacle by putting their phone on “do not disturb” mode while studying.

Let’s recap

Whether they’re simple or complex, we’re faced with problems every day. To successfully solve these problems we need an effective strategy. There are many different problem-solving strategies to choose from.

Although problem-solving strategies don’t guarantee a solution, they can help you feel less anxious about problems and make it more likely that you come up with an answer.

People say you can't teach an old dog new tricks. I prefer the expression "it takes more effort to teach an old dog new tricks." Any time you want to learn something new it takes your brain a great amount of energy to build new neural pathways. If you are trying to change something you've already learned, it takes extra effort to build pathways that override the previous ones.

There are many ways to help build new skills, particularly problem-solving skills; they start with getting curious, thinking big, and then trying new things.

Get Curious

It will be hard to learn anything unless you are genuinely interested in it. So find ways to get curious. You can align the new topic to something that already motivates you—this can be a passion, a value, an attribute you like about yourself, or a goal you have. For example, you may want to be that go-to expert or may want to develop deeper relationships with others. Choose whatever will keep you engaged in the learning and build upon that. From there, here are some tips on how to get curious:

  • Block out time in your calendar to get curious, either in isolation or with others
  • Ponder and expose yourself to how people from an opposing viewpoint see a topic
  • Ask others their opinion or their input before making a choice
  • Ask people to walk you through how they made previous decisions
  • Reflect back on successes and failures: were there themes?
  • Have coffee with colleagues once-removed to understand what they do and figure out how your roles may intertwine
  • Find connections between others or the bigger picture. For example, how do the other department's objectives impact your day-to-day? How do your customers' actions impact your role?
  • Read the news and determine how events/laws/policies impact you or your organization

To see if you are building on your knowledge from someone else's viewpoint, say summary statements of what you have heard and whether you have heard them correctly.

Once you have had time to get curious and gather information, it's time to dream big. What would you do with unlimited time, money, and resources? What would you do if there were no office politics or bureaucracy? "Blue sky" thinking can help you get outside existing processes and thought patterns to find new solutions. Some tips on how to build daydreaming into your routine are:

  • Schedule time for daydreaming and block out distractions (either individually or as part of a team)
  • Break the adrenaline rush of firefighting the small problems. The quick checklist items feel good in the moment but don't contribute to your sense of meaning or purpose in your work
  • Think one step ahead, about how others may react to your moves
  • Become a student of the competitor. Act as if you are an employee of the competitor and try to understand why they are choosing their strategy
  • Consider how your daydreams could become reality. How much effort and resources are needed and compare it to the potential payoff

To check yourself on this is to see whether you are actually spending the time daydreaming. Whether it's weekly/monthly/quarterly, hold yourself accountable for achieving this goal.

Work outside your comfort zone

It's one thing to have a well-thought-out plan, but it's another to be able to flex that plan at a moment's notice. If you have done your due diligence in getting curious and daydreaming, you will know the pros/cons of contingency plans by understanding the drivers, the downstream implications, and who needs to be looped in. Here are some ideas and tips on how to try different solutions:

  • Make "what if" plans for likely risks/bumps in the process
  • Take on a task that is ambiguous or has a high likelihood of failing
  • Do a feasibility study to determine potential risks/rewards of a new idea
  • If and when resources are limited, look for alternatives (e.g., what tasks can be done with tightened budgets)
  • Offer to do the budget or forecast
  • Get out of perfectionist thinking and recognize when 80 percent is good enough

You will know your problem-solving skills are developing when you begin to get excited about change and ambiguity rather than anxious .

As learning and trying new things becomes more exciting and second nature, you will find that this energy transfers across your whole life. You are more likely to gain empathy for others , you can build resilience during stressful times , and you gain confidence and self-esteem to take on bigger challenges.

Before you can move towards finding the right solution for a given problem, you first need to identify and define the problem you wish to solve. 

Here, you want to clearly articulate what the problem is and allow your group to do the same. Remember that everyone in a group is likely to have differing perspectives and alignment is necessary in order to help the group move forward. 

Identifying a problem accurately also requires that all members of a group are able to contribute their views in an open and safe manner. It can be scary for people to stand up and contribute, especially if the problems or challenges are emotive or personal in nature. Be sure to try and create a psychologically safe space for these kinds of discussions.

Remember that problem analysis and further discussion are also important. Not taking the time to fully analyze and discuss a challenge can result in the development of solutions that are not fit for purpose or do not address the underlying issue.

Successfully identifying and then analyzing a problem means facilitating a group through activities designed to help them clearly and honestly articulate their thoughts and produce usable insight.

With this data, you might then produce a problem statement that clearly describes the problem you wish to be addressed and also state the goal of any process you undertake to tackle this issue.  

Finding solutions is the end goal of any process. Complex organizational challenges can only be solved with an appropriate solution but discovering them requires using the right problem-solving tool.

After you’ve explored a problem and discussed ideas, you need to help a team discuss and choose the right solution. Consensus tools and methods such as those below help a group explore possible solutions before then voting for the best. They’re a great way to tap into the collective intelligence of the group for great results!

Remember that the process is often iterative. Great problem solvers often roadtest a viable solution in a measured way to see what works too. While you might not get the right solution on your first try, the methods below help teams land on the most likely to succeed solution while also holding space for improvement.

Every effective problem solving process begins with an agenda . A well-structured workshop is one of the best methods for successfully guiding a group from exploring a problem to implementing a solution.

Tips for more effective problem solving

Problem-solving activities are only one part of the puzzle. While a great method can help unlock your team’s ability to solve problems, without a thoughtful approach and strong facilitation the solutions may not be fit for purpose.

Let’s take a look at some problem-solving tips you can apply to any process to help it be a success!

Clearly define the problem

Jumping straight to solutions can be tempting, though without first clearly articulating a problem, the solution might not be the right one. Many of the problem-solving activities below include sections where the problem is explored and clearly defined before moving on.

This is a vital part of the problem-solving process and taking the time to fully define an issue can save time and effort later. A clear definition helps identify irrelevant information and it also ensures that your team sets off on the right track.

Don’t jump to conclusions

It’s easy for groups to exhibit cognitive bias or have preconceived ideas about both problems and potential solutions. Be sure to back up any problem statements or potential solutions with facts, research, and adequate forethought.

The best techniques ask participants to be methodical and challenge preconceived notions. Make sure you give the group enough time and space to collect relevant information and consider the problem in a new way. By approaching the process with a clear, rational mindset, you’ll often find that better solutions are more forthcoming.  

Try different approaches  

Problems come in all shapes and sizes and so too should the methods you use to solve them. If you find that one approach isn’t yielding results and your team isn’t finding different solutions, try mixing it up. You’ll be surprised at how using a new creative activity can unblock your team and generate great solutions.

Don’t take it personally 

Depending on the nature of your team or organizational problems, it’s easy for conversations to get heated. While it’s good for participants to be engaged in the discussions, ensure that emotions don’t run too high and that blame isn’t thrown around while finding solutions.

You’re all in it together, and even if your team or area is seeing problems, that isn’t necessarily a disparagement of you personally. Using facilitation skills to manage group dynamics is one effective method of helping conversations be more constructive.

Get the right people in the room

Your problem-solving method is often only as effective as the group using it. Getting the right people on the job and managing the number of people present is important too!

If the group is too small, you may not get enough different perspectives to effectively solve a problem. If the group is too large, you can go round and round during the ideation stages.

Creating the right group makeup is also important in ensuring you have the necessary expertise and skillset to both identify and follow up on potential solutions. Carefully consider who to include at each stage to help ensure your problem-solving method is followed and positioned for success.

Document everything

The best solutions can take refinement, iteration, and reflection to come out. Get into a habit of documenting your process in order to keep all the learnings from the session and to allow ideas to mature and develop. Many of the methods below involve the creation of documents or shared resources. Be sure to keep and share these so everyone can benefit from the work done!

Bring a facilitator 

Facilitation is all about making group processes easier. With a subject as potentially emotive and important as problem-solving, having an impartial third party in the form of a facilitator can make all the difference in finding great solutions and keeping the process moving. Consider bringing a facilitator to your problem-solving session to get better results and generate meaningful solutions!

Develop your problem-solving skills

It takes time and practice to be an effective problem solver. While some roles or participants might more naturally gravitate towards problem-solving, it can take development and planning to help everyone create better solutions.

1. Six Thinking Hats

Individual approaches to solving a problem can be very different based on what team or role an individual holds. It can be easy for existing biases or perspectives to find their way into the mix, or for internal politics to direct a conversation.

Six Thinking Hats is a classic method for identifying the problems that need to be solved and enables your team to consider them from different angles, whether that is by focusing on facts and data, creative solutions, or by considering why a particular solution might not work.

Like all problem-solving frameworks, Six Thinking Hats is effective at helping teams remove roadblocks from a conversation or discussion and come to terms with all the aspects necessary to solve complex problems.

2. Lightning Decision Jam

Exploring problems and finding solutions is often creative in nature, though as with any creative process, there is the potential to lose focus and get lost.

Unstructured discussions might get you there in the end, but it’s much more effective to use a method that creates a clear process and team focus.

In Lightning Decision Jam, participants are invited to begin by writing challenges, concerns, or mistakes on post-its without discussing them before then being invited by the moderator to present them to the group.

From there, the team vote on which problems to solve and are guided through steps that will allow them to reframe those problems, create solutions and then decide what to execute on. 

By deciding the problems that need to be solved as a team before moving on, this group process is great for ensuring the whole team is aligned and can take ownership over the next stages.

Here’s the most effective solution I’ve found: Replace all open, unstructured discussion with a clear process. What to use this exercise for: Anything which requires a group of people to make decisions, solve problems or discuss challenges. It’s always good to frame an LDJ session with a broad topic, here are some examples: The conversion flow of our checkout Our internal design process How we organise events Keeping up with our competition Improving sales flow

3. Problem Definition Process

While problems can be complex, the problem-solving methods you use to identify and solve those problems can often be simple in design. 

By taking the time to truly identify and define a problem before asking the group to reframe the challenge as an opportunity, this method is a great way to enable change.

Begin by identifying a focus question and exploring the ways in which it manifests before splitting into five teams who will each consider the problem using a different method: escape, reversal, exaggeration, distortion or wishful. Teams develop a problem objective and create ideas in line with their method before then feeding them back to the group.

This method is great for enabling in-depth discussions while also creating space for finding creative solutions too!

4. The 5 Whys

With DAD, you can help a group choose which problems they wish to solve and which approaches they will take to do so. It’s great at helping remove resistance to change and can help get buy-in at every level too!

This process of enabling frontline ownership is great in ensuring follow-through and is one of the methods you will want in your toolbox as a facilitator.

Developing the right agenda can involve difficult but necessary planning. Ensuring all the correct steps are followed can also be stressful or time-consuming depending on your level of experience.

8. Open space technology

Open space technology- developed by Harrison Owen – creates a space where large groups are invited to take ownership of their problem solving and lead individual sessions. Open space technology is a great format when you have a great deal of expertise and insight in the room and want to allow for different takes and approaches on a particular theme or problem you need to be solved.

Start by bringing your participants together to align around a central theme and focus their efforts. Explain the ground rules to help guide the problem-solving process and then invite members to identify any issue connecting to the central theme that they are interested in and are prepared to take responsibility for.

Once participants have decided on their approach to the core theme, they write their issue on a piece of paper, announce it to the group, pick a session time and place, and post the paper on the wall. As the wall fills up with sessions, the group is then invited to join the sessions that interest them the most and which they can contribute to, then you’re ready to begin!

Everyone joins the problem-solving group they’ve signed up to, record the discussion and if appropriate, findings can then be shared with the rest of the group afterward.

Individual and group perspectives are incredibly important, but what happens if people are set in their minds and need a change of perspective in order to approach a problem more effectively?

Flip It is a method we love because it is both simple to understand and run, and allows groups to understand how their perspectives and biases are formed. 

Participants in Flip It are first invited to consider concerns, issues, or problems from a perspective of fear and write them on a flip chart. Then, the group is asked to consider those same issues from a perspective of hope and flip their understanding.  

No problem and solution is free from existing bias and by changing perspectives with Flip It, you can then develop a problem solving model quickly and effectively.

10. The Creativity Dice

One of the most useful problem solving skills you can teach your team is of approaching challenges with creativity, flexibility, and openness. Games like The Creativity Dice allow teams to overcome the potential hurdle of too much linear thinking and approach the process with a sense of fun and speed. 

In The Creativity Dice, participants are organized around a topic and roll a dice to determine what they will work on for a period of 3 minutes at a time. They might roll a 3 and work on investigating factual information on the chosen topic. They might roll a 1 and work on identifying the specific goals, standards, or criteria for the session.

Encouraging rapid work and iteration while asking participants to be flexible are great skills to cultivate. Having a stage for idea incubation in this game is also important. Moments of pause can help ensure the ideas that are put forward are the most suitable.

To be creative, you should approach the problem (or the opportunity) from different points of view. You should leave a thought hanging in mid-air and move to another. This skipping around prevents premature closure and lets your brain incubate one line of thought while you consciously pursue another.

11. Fishbone Analysis

Organizational or team challenges are rarely simple, and it’s important to remember that one problem can be an indication of something that goes deeper and may require further consideration to be solved.

Fishbone Analysis helps groups to dig deeper and understand the origins of a problem. It’s a great example of a root cause analysis method that is simple for everyone on a team to get their head around. 

Participants in this activity are asked to annotate a diagram of a fish, first adding the problem or issue to be worked on at the head of a fish before then brainstorming the root causes of the problem and adding them as bones on the fish. 

Using abstractions such as a diagram of a fish can really help a team break out of their regular thinking and develop a creative approach.

12. Problem Tree 

Encouraging visual thinking can be an essential part of many strategies. By simply reframing and clarifying problems, a group can move towards developing a problem solving model that works for them. 

In Problem Tree, groups are asked to first brainstorm a list of problems – these can be design problems, team problems or larger business problems – and then organize them into a hierarchy. The hierarchy could be from most important to least important or abstract to practical, though the key thing with problem solving games that involve this aspect is that your group has some way of managing and sorting all the issues that are raised.

Once you have a list of problems that need to be solved and have organized them accordingly, you’re then well-positioned for the next problem solving steps.

13. SWOT Analysis

Chances are you’ve heard of the SWOT Analysis before. This problem-solving method focuses on identifying strengths, weaknesses, opportunities, and threats is a tried and tested method for both individuals and teams.

Start by creating a desired end state or outcome and bare this in mind – any process solving model is made more effective by knowing what you are moving towards. Create a quadrant made up of the four categories of a SWOT analysis and ask participants to generate ideas based on each of those quadrants.

Once you have those ideas assembled in their quadrants, cluster them together based on their affinity with other ideas. These clusters are then used to facilitate group conversations and move things forward.

14. Agreement-Certainty Matrix

Not every problem-solving approach is right for every challenge, and deciding on the right method for the challenge at hand is a key part of being an effective team.

The Agreement Certainty matrix helps teams align on the nature of the challenges facing them. By sorting problems from simple to chaotic, your team can understand what methods are suitable for each problem and what they can do to ensure effective results. 

If you are already using Liberating Structures techniques as part of your problem-solving strategy, the Agreement-Certainty Matrix can be an invaluable addition to your process. We’ve found it particularly if you are having issues with recurring problems in your organization and want to go deeper in understanding the root cause.

The combination of two questions makes it possible to easily sort challenges into four categories: simple, complicated, complex , and chaotic .  A problem is simple when it can be solved reliably with practices that are easy to duplicate.  It is complicated when experts are required to devise a sophisticated solution that will yield the desired results predictably.  A problem is complex when there are several valid ways to proceed but outcomes are not predictable in detail.  Chaotic is when the context is too turbulent to identify a path forward.  A loose analogy may be used to describe these differences: simple is like following a recipe, complicated like sending a rocket to the moon, complex like raising a child, and chaotic is like the game “Pin the Tail on the Donkey.”  The Liberating Structures Matching Matrix in Chapter 5 can be used as the first step to clarify the nature of a challenge and avoid the mismatches between problems and solutions that are frequently at the root of chronic, recurring problems.

Organizing and charting a team’s progress can be important in ensuring its success. SQUID (Sequential Question and Insight Diagram) is a great model that allows a team to effectively switch between giving questions and answers and develop the skills they need to stay on track throughout the process. 

Begin with two different colored sticky notes – one for questions and one for answers – and with your central topic (the head of the squid) on the board. Ask the group to first come up with a series of questions connected to their best guess of how to approach the topic. Ask the group to come up with answers to those questions, fix them to the board and connect them with a line. After some discussion, go back to question mode by responding to the generated answers or other points on the board.

It’s rewarding to see a diagram grow throughout the exercise, and a completed SQUID can provide a visual resource for future effort and as an example for other teams.

16. Speed Boat

To continue with our nautical theme, Speed Boat is a short and sweet activity that can help a team quickly identify what employees, clients or service users might have a problem with and analyze what might be standing in the way of achieving a solution.

Methods that allow for a group to make observations, have insights and obtain those eureka moments quickly are invaluable when trying to solve complex problems.

In Speed Boat, the approach is to first consider what anchors and challenges might be holding an organization (or boat) back. Bonus points if you are able to identify any sharks in the water and develop ideas that can also deal with competitors!

17. The Journalistic Six

18. LEGO Challenge

Now for an activity that is a little out of the (toy) box. LEGO Serious Play is a facilitation methodology that can be used to improve creative thinking and problem-solving skills. 

The LEGO Challenge includes giving each member of the team an assignment that is hidden from the rest of the group while they create a structure without speaking.

What the LEGO challenge brings to the table is a fun working example of working with stakeholders who might not be on the same page to solve problems. Also, it’s LEGO! Who doesn’t love LEGO!

19. What, So What, Now What?

If not carefully managed, the problem identification and problem analysis stages of the problem-solving process can actually create more problems and misunderstandings.

The What, So What, Now What? problem-solving activity is designed to help collect insights and move forward while also eliminating the possibility of disagreement when it comes to identifying, clarifying, and analyzing organizational or work problems. 

Facilitation is all about bringing groups together so that might work on a shared goal and the best problem-solving strategies ensure that teams are aligned in purpose, if not initially in opinion or insight.

Throughout the three steps of this game, you give everyone on a team to reflect on a problem by asking what happened, why it is important, and what actions should then be taken. 

This can be a great activity for bringing our individual perceptions about a problem or challenge and contextualizing it in a larger group setting. This is one of the most important problem-solving skills you can bring to your organization.

It is possible for every voice to be heard while simultaneously sifting for insights and shaping new direction. 20. Journalists  

Problem analysis can be one of the most important and decisive stages of all problem-solving tools. Sometimes, a team can become bogged down in the details and are unable to move forward.

Journalists is an activity that can avoid a group from getting stuck in the problem identification or problem analysis stages of the process.

In Journalists, the group is invited to draft the front page of a fictional newspaper and figure out what stories deserve to be on the cover and what headlines those stories will have. By reframing how your problems and challenges are approached, you can help a team move productively through the process and be better prepared for the steps to follow.

By going from simple notes to a crazy 8s round that involves rapidly sketching 8 variations on their ideas before then producing a final solution sketch, the group is able to iterate quickly and visually. Part of the liberating structures toolkit, 15% solutions is a problem-solving technique that focuses on finding and implementing solutions quickly. A process of iterating and making small changes quickly can help generate momentum and an appetite for solving complex problems.

Problem-solving strategies can live and die on whether people are onboard. Getting some quick wins is a great way of getting people behind the process.   

It can be extremely empowering for a team to realize that problem-solving techniques can be deployed quickly and easily and delineate between things they can positively impact and those things they cannot change.

At a minimum, these will create momentum, and that may make a BIG difference.  15% Solutions show that there is no reason to wait around, feel powerless, or fearful. They help people pick it up a level. They get individuals and the group to focus on what is within their discretion instead of what they cannot change.  With a very simple question, you can flip the conversation to what can be done and find solutions to big problems that are often distributed widely in places not known in advance. Shifting a few grains of sand may trigger a landslide and change the whole landscape.

25. How-Now-Wow Matrix

The problem-solving process is often creative, as complex problems usually require a change of thinking and creative response in order to find the best solutions. While it’s common for the first stages to encourage creative thinking, groups can often gravitate to familiar solutions when it comes to the end of the process. 

When selecting solutions, you don’t want to lose your creative energy! The How-Now-Wow Matrix from Gamestorming is a great problem-solving activity that enables a group to stay creative and think out of the box when it comes to selecting the right solution for a given problem.

The Impact and Effort Matrix is one of the problem-solving techniques that fall into this camp, empowering participants to first generate ideas and then categorize them into a 2×2 matrix based on impact and effort.

Activities that invite critical thinking while remaining simple are invaluable. Use the Impact and Effort Matrix to move from ideation and towards evaluating potential solutions before then committing to them.

If you are running a series of meetings, setting a consistent pattern of checking in and checking out can really help your team get into a groove. We recommend this opening-closing activity for small to medium-sized groups though it can work with large groups if they’re disciplined!

30. Show and Tell

You might remember some version of Show and Tell from being a kid in school and it’s a great problem-solving activity to kick off a session.

Asking participants to prepare a little something before a workshop by bringing an object for show and tell can help them warm up before the session has even begun! Games that include a physical object can also help encourage early engagement before moving onto more big-picture thinking.

32. Draw a Tree

Problem-solving games that help raise group awareness through a central, unifying metaphor can be effective ways to warm-up a group in any problem-solving model.

Draw a Tree is a simple warm-up activity you can use in any group and which can provide a quick jolt of energy. Start by asking your participants to draw a tree in just 45 seconds – they can choose whether it will be abstract or realistic. 

Once the timer is up, ask the group how many people included the roots of the tree and use this as a means to discuss how we can ignore important parts of any system simply because they are not visible.

How do I conclude a problem-solving process?

All good things must come to an end. With the bulk of the work done, it can be tempting to conclude your workshop swiftly and without a moment to debrief and align. This can be problematic in that it doesn’t allow your team to fully process the results or reflect on the process.

At the end of an effective session, your team will have gone through a process that, while productive, can be exhausting. It’s important to give your group a moment to take a breath, ensure that they are clear on future actions, and provide short feedback before leaving the space. 

The primary purpose of any problem-solving method is to generate solutions and then implement them. Be sure to take the opportunity to ensure everyone is aligned and ready to effectively implement the solutions you produced in the workshop.

Remember that every process can be improved and by giving a short moment to collect feedback in the session, you can further refine your problem-solving methods and see further success in the future too.

33. One Breath Feedback

Maintaining attention and focus during the closing stages of a problem-solving workshop can be tricky and so being concise when giving feedback can be important. It’s easy to incur “death by feedback” should some team members go on for too long sharing their perspectives in a quick feedback round. 

One Breath Feedback is a great closing activity for workshops. You give everyone an opportunity to provide feedback on what they’ve done but only in the space of a single breath. This keeps feedback short and to the point and means that everyone is encouraged to provide the most important piece of feedback to them.

The Who What When Matrix is a great tool to use when closing your problem-solving session by attributing a who, what and when to the actions and solutions you have decided upon. The resulting matrix is a simple, easy-to-follow way of ensuring your team can move forward. 

Great solutions can’t be enacted without action and ownership. Your problem-solving process should include a stage for allocating tasks to individuals or teams and creating a realistic timeframe for those solutions to be implemented or checked out. Use this method to keep the solution implementation process clear and simple for all involved.

Depending on the needs of the group, giving an alternative can help ensure everyone can contribute to your problem-solving model in the way that makes the most sense for them.

TRIZ has 40 problem solving techniques derived from methods inventros and patent holders used to get new patents. Every day kids are bombarded with messages, information, and images. Whether they are at school, online, or talking to their friends, they need to know how to evaluate what they are hearing and seeing in order to form their own opinions and beliefs. Critical thinking skills are the foundation of education as well as an important life skill. Without the ability to think critically, kids will struggle academically, especially as they get older.

In fact, no matter what your child plans to do professionally someday, they will need to know how to think critically, solve problems, and make decisions. As a parent, it's important that you ensure that your kids can think for themselves and have developed a healthy critical mindset before they leave the nest.

Doing so will help them succeed both academically and professionally as well as benefit their future relationships. Here is what you need to know about critical thinking, including how to teach your kids to be critical thinkers.

Critical thinking skills are the ability to imagine, analyze, and evaluate information in order to determine its integrity and validity, such as what is factual and what isn't. These skills help people form opinions and ideas as well as help them know who is being a good friend and who isn't.

"Critical thinking also can involve taking a complex problem and developing clear solutions," says Amy Morin, LCSW, a psychotherapist and author of the best-selling books "13 Things Mentally Strong People Don't Do" and "13 Things Mentally Strong Parents Don't Do."

In fact, critical thinking is an essential part of problem-solving, decision-making, and goal-setting . It also is the basis of education, especially when combined with reading comprehension . These two skills together allow kids to master information.

Why Critical Thinking Skills Are Important

According to the Programme for International Student Assessment (PISA), which evaluated 15-year-old children in 44 different countries, more than one in six students in the United States are unable to solve critical thinking problems. What's more, research indicates that kids who lack critical thinking skills face a higher risk of behavioral problems.

If kids are not being critical thinkers, then they are not thinking carefully, says Amanda Pickerill, Ph.D. Pickerill is licensed with the Ohio Department of Education and the Ohio Board of Psychology and is in practice at the Ohio State School for the Blind in Columbus, Ohio.

"Not thinking carefully [and critically] can lead to information being misconstrued; [and] misconstrued information can lead to problems in school, work, and relationships," she says.

Critical thinking also allows kids to gain a deeper understanding of the world including how they see themselves in that world. Additionally, kids who learn to think critically tend to be observant and open-minded.

Critical thinking skills can help someone better understand themselves, other people, and the world around them. [They] can assist in everyday problem-solving, creativity, and productivity.

There are many ways critical thinking skills can benefit your child, Dr. Pickerill says. From being able to solve complex problems in school and determining how they feel about particular issues to building relationships and dealing with peer pressure, critical thinking skills equip your child to deal with life's challenges and obstacles.

"Critical thinking skills [are beneficial] in solving a math problem, in comparing and contrasting [things], and when forming an argument," Dr. Pickerill says. "As a psychologist, I find critical thinking skills also to be helpful in self-reflection. When an individual is struggling to reach a personal goal or to maintain a satisfactory relationship it is very helpful to apply critical thinking."

Critical thinking also fosters independence, enhances creativity, and encourages curiosity. Kids who are taught to use critical thinking skills ask a lot of questions and never just take things at face value—they want to know the "why" behind things.

"Good critical thinking skills also can lead to better relationships, reduced distress, and improved life satisfaction," says Morin. "Someone who can solve everyday problems is likely to feel more confident in their ability to handle whatever challenges life throws their way."

How to Teach Kids to Be Critical Thinkers

Teaching kids to think critically is an important part of parenting. In fact, when we teach kids to be critical thinkers, we are also teaching them to be independent . They learn to form their own opinions and come to their own conclusions without a lot of outside influence. Here are some ways that you can teach your kids to become critical thinkers.

Be a Good Role Model

Sometimes the best way to teach your kids an important life skill is to model it in your own life. After all, kids tend to copy the behaviors they see in their parents. Be sure you are modeling critical thinking in your own life by researching things that sound untrue and challenging statements that seem unethical or unfair.

"Parents, being the critical thinkers that they are, can begin modeling critical thinking from day one by verbalizing their thinking skills," Dr. Pickerill says. "It’s great for children to hear how parents critically think things through. This modeling of critical thinking allows children to observe their parents' thought processes and that modeling lends itself to the child imitating what [they have] observed."

Play With Them

Children are constantly learning by trial and error and play is a great trial and error activity, says Dr, Pickerill. In fact, regularly playing with your child at a very young age is setting the foundation for critical thinking and the depth of their critical thinking skills will advance as they develop, she says.

"You will find your child’s thinking will be more on a concrete level in the earlier years and as they advance in age it will become more abstract," Dr. Pickerill says. "Peer play is also helpful in developing critical thinking skills but parents need to be available to assist when conflicts arise or when bantering takes a turn for the worse."

As your kids get older, you can play board games together or simply spend time talking about something of interest to them. The key is that you are spending quality time together that allows you the opportunity to discuss things on a deeper level and to examine issues critically.

Teach Them to Solve Problems

Morin says one way to teach kids to think critically is to teach them how to solve problems. For instance, ask them to brainstorm at least five different ways to solve a particular problem, she says.

"You might challenge them to move an object from one side of the room to the other without using their hands," she says. "At first, they might think it’s impossible. But with a little support from you, they might see there are dozens of solutions (like using their feet or putting on gloves). Help them brainstorm a variety of solutions to the same problem and then pick one to see if it works."

Over time, you can help your kids see that there are many ways to view and solve the same problem, Morin says.

Encourage Them to Ask Questions

As exhausting as it can be at times to answer a constant barrage of questions, it's important that you encourage your child to question things. Asking questions is the basis of critical thinking and the time you invest in answering your child's questions—or finding the answers together— will pay off in the end.

Your child will learn not only learn how to articulate themselves, but they also will get better and better at identifying untrue or misleading information or statements from others. You also can model this type of questioning behavior by allowing your child to see you question things as well.

Practice Making Choices

Like everything in life, your child will often learn through trial and error. And, part of learning to be a critical thinker involves making decisions. One way that you can get your child thinking about and making choices is to give them a say in how they want to spend their time.

Allow them to say no thank-you to playdates or party invitations if they want. You also can give them an allowance and allow them to make some choices about what to do with the money. Either of these scenarios requires your child to think critically about their choices and the potential consequences before they make a decision.

As they get older, talk to them about how to deal with issues like bullying and peer pressure . And coach them on how to make healthy choices regarding social media use . All of these situations require critical thinking on your child's part.

Encourage Open-Mindedness

Although teaching open-mindedness can be a challenging concept to teach at times, it is an important one. Part of becoming a critical thinker is the ability to be objective and evaluate ideas without bias.

Teach your kids that in order to look at things with an open mind, they need leave their own judgments and assumptions aside. Some concepts you should be talking about that encourage open-mindedness include diversity , inclusiveness , and fairness.

In fact, in today's information-saturated world, they need these skills in order to thrive and survive. 8. Look beyond the obvious

We tend to focus on the most conspicuous or straightforward solutions, but the best option isn’t always obvious. Try these techniques to stimulate unconventional thinking:

  • Restate the problem in new ways. A new phrasing can reveal alternative solutions.
  • Remove constraints and imagine an ideal scenario. Then work backwards to find realistic options.
  • Make unexpected associations between the problem and unrelated concepts or objects. Look for parallels and analogies in different domains.
  • Play with hypothetical scenarios to find combinations you may not logically deduce. Some of the wildest ideas can lead to innovative solutions!

With an open and curious mindset, you can overcome assumptions, gain new insights, and find unconventional solutions to your most complex problems. The key is looking at the situation in new ways and exploring all possibilities.

9. practice active listening.

To become an effective problem solver, you need to practice active listening. This means paying close attention to what others are saying and asking follow-up questions to gain a deeper understanding of the issues.

Listen without judgment

When someone is explaining a problem to you, listen with an open mind. Avoid interrupting or criticizing them. Your role is to understand their perspective and concerns, not pass judgment. Nod, make eye contact, and give verbal affirmations like “I see” or “go on” to show you’re engaged.

Ask clarifying questions

If something is unclear or you need more details, ask questions. Say something like, “Can you explain that in more detail?” or “What specifically do you mean by that?” The more information you have about the problem, the better equipped you’ll be to solve it. Ask open-ended questions to encourage the other person to elaborate on their points.

Paraphrase and summarize

Repeat back parts of what the speaker said in your own words to confirm you understood them correctly. Say something like, “It sounds like the main issues are…” or “To summarize, the key points you’re making are…” This also shows the other person you were paying attention and care about addressing their actual concerns.

10. Withhold suggestions initially

When someone first presents you with a problem, avoid immediately suggesting solutions. Your first task is to understand the issue thoroughly. If you start proposing solutions too soon, it can seem like you’re not really listening and are just waiting for your turn to talk. Get clarification, summarize the issues, and ask any follow up questions needed before offering your input on how to solve the problem.

Developing the patience and discipline to actively listen takes practice. But by listening without judgment, asking clarifying questions, paraphrasing, and withholding suggestions initially, you’ll gain valuable insight into problems and be better equipped to solve them. Active listening is a skill that will serve you well in all areas of life.

11. Ask Lots of Questions

To solve problems effectively, you need to ask lots of questions. Questioning helps you gain a deeper understanding of the issue, uncover hidden factors, and open your mind to new solutions.

Asking “why” helps you determine the root cause of the problem. Keep asking “why” until you reach the underlying reason. For example, if sales numbers are down, ask why. The answer may be that you lost a key client. Ask why you lost the client. The answer could be poor customer service. Ask why the customer service was poor. And so on. Getting to the root cause is key to finding the right solution.

Challenge Assumptions

We all have implicit assumptions and biases that influence our thinking. Challenge any assumptions you have about the problem by asking questions like:

  • What if the opposite is true?
  • What are we missing or ignoring?
  • What do we think is impossible but perhaps isn’t?

Questioning your assumptions opens you up to new perspectives and innovative solutions.

12. Consider Different Viewpoints

Try to see the problem from multiple angles by asking:

  • How do others see this problem?
  • What solutions might employees, customers, or experts suggest?
  • What would someone from a different industry or background recommend?

Getting input from people with diverse experiences and ways of thinking will lead to better solutions.

13. Brainstorm New Possibilities

Once you have a good understanding of the root problem, start generating new solutions by asking open-ended questions like:

  • What if anything were possible, what solutions come to mind?
  • What are some wild and crazy ideas, even if implausible?
  • What solutions have we not yet thought of?

Don’t judge or evaluate ideas at this stage. Just let the questions spark new creative solutions. The more questions you ask, the more solutions you’ll discover. With an inquisitive mindset, you’ll be well on your way to solving any problem.

14. Document what you find

As you research, keep notes on key details, facts, statistics, examples, and advice that stand out as most relevant or interesting. Look for common themes and threads across the different resources. Organize your notes by topic or theme to get a better sense of the big picture. Refer back to your notes to recall important points as you evaluate options and determine next steps.

Doing thorough research arms you with the knowledge and understanding to develop effective solutions. You’ll gain a deeper appreciation for the complexity of the problem and be able to make more informed choices. Research also exposes you to new ideas you may not have considered. While it requires an investment of time, research is a crucial step for achieving an optimal solution.

15. Start With the End in Mind: Define the Problem Clearly

To solve a problem effectively, you need to first define it clearly. Without a concrete understanding of the issue at hand, you’ll waste time and energy grappling with a vague, nebulous challenge.

Identify the root cause

Ask probing questions to determine the underlying reason for the problem. Get specific by figuring out who is affected, what’s not working, where the breakdown is happening, when it started, and why it’s an issue. Look beyond the symptoms to find the source. The solution lies in resolving the root cause, not just alleviating surface-level pain points.

Gather objective data

Rely on facts, not opinions or assumptions. Observe the situation directly and collect information from multiple sources. Get input from people with different perspectives. Hard data and evidence will give you an accurate, unbiased view of the problem.

Define constraints and priorities

Determine any restrictions around time, money, resources, or policies that could impact your solution. Also identify what’s most important to solve—you can’t fix everything at once. Focus on high-priority issues and leave lower-priority problems for another time.

Frame the problem statement

With a clear understanding of the root cause, supporting data, and constraints, you can craft a concise problem statement. This articulates the issue in 1 or 2 sentences and serves as a guiding vision for developing solutions. Refer back to your problem statement regularly to ensure you stay on track.

Developing a problem-solving mindset is within your reach if you commit to continuous learning, looking at challenges from new angles, and not being afraid to fail. Start small by picking one problem each day to solve in a creative way. Build up your confidence and skills over time through practice.

Worrying is a natural response to life's problems. But when it takes over and we can start to feel overwhelmed, it can really help to take a step back and break things down.

Learning new ways to work through your problems can make them feel more manageable, and improve your mental and physical wellbeing.

Steps and strategies to help you solve problems

1. focus on your values.

Feeling like you have lots of problems to solve in different areas of your life can make it difficult to know how and where to start.

A great way to focus is to write down a few areas of your life that are most important to you right now – for example, a relationship, finances or a long-term goal like studying or developing your career.

This can make it easier to prioritise which problems to tackle.

2. Tackle problems with possible solutions first

It's important to work out if your problem can be solved or is a "hypothetical worry" – things that are out of your control even though you might think about them often.

They might be based on something that happened in the past that cannot be changed or a worry about the future that starts with "what if…".

Ask yourself whether a problem can be dealt with by doing something practical. If the answer is no, it's a hypothetical worry.

Make a list of your problems, and work out which are solvable and which are hypothetical.

3. Set aside time to work through solvable problems

Set aside 5 or 10 minutes to think about possible solutions for one of your solvable problems.

Try to be as open-minded as you can, even if some ideas feel silly. Thinking broadly and creatively is often when the best solutions come to mind.

It may feel difficult at first but, over time, this approach can start to feel easier.

Once you have some ideas, think through or write down:

  • the pros and cons of each solution
  • whether it's likely to work
  • if you have everything you need to try it

4. Make a plan

The next step is to choose a solution you want to try and make a plan for putting it into action. Try to be specific:

  • What are you going to do?
  • Do you need the support of anybody else?
  • How much time do you need?
  • When will you do it?

5. Try 'worry time'

Not all of our problems can be solved right away, but it can be difficult to switch off and stop ourselves from dwelling on them.

Using the "worry time" technique to stick to a short set time – say 10 to 15 minutes in the evening – for worrying can make this much easier to manage.

6. Find time to relax

Worrying about our problems can make it harder to relax, but there are lots of things you can try to help you clear your mind and feel calmer.

The most important thing is to find what works for you. It might be getting active, spending time on an existing hobby or trying a new one, or techniques like mindfulness, meditation or our progressive muscle relaxation exercise.

7. Review and reflect

Once you start trying new approaches to solving and managing problems, consider setting aside time to review what went well with your solutions or anything else you noticed.

Make notes of the problems you face and any strategies you use to overcome them. This can come in handy later on and also be a good reminder of what works best for you.

Ticking off on a checklist any problems you manage to solve is a great way to recognise your achievements and boost your confidence.

8. Give journaling a go

Sometimes getting our thoughts out of our head – and down onto paper, our phones or anything else – is a great way to stop our worries and "what ifs" from spiralling out of control.

Expressing ourselves in this way can also make it easier to spot when our thoughts are unhelpful and we may benefit from a more balanced outlook. Give it a go to see if this works for you.

Play therapy is a form of psychotherapy that is primarily used for children. Since children may not have the verbal language for their feelings and experiences yet, play is how they best learn and communicate. Play is their natural way of expressing themselves and making sense of the world, which is why play therapy is so effective.

This article will discuss the benefits of play therapy, when and how it is used, and where to begin if you think play therapy would be a good fit for your child.

Benefits of Play Therapy

There are numerous benefits of play therapy. Play therapy helps children:

  • Take responsibility for their own behaviors and develop more successful strategies
  • Find new, creative solutions to problems
  • Respect and accept themselves and others
  • Experience and express their emotions
  • Cultivate empathy and respect for others
  • Learn new social skills and relational skills
  • Develop self-efficacy (become more confident in their own abilities)

Play therapy may also encourage the use of language and the development of fine motor skills.

Is Play Therapy Effective?

Analyses of over 100 research studies show that play therapy has moderate to high positive effects. Additionally, play therapy is shown to be effective equally across ages, gender, and conditions being treated. The positive outcomes of play therapy are further amplified when there is an active parent involved in the child's treatment.

When Play Therapy Is Used

Play therapy has been shown to help children with a wide variety of social, emotional, behavioral, and learning problems. Often times, problematic behaviors are a result of life stressors, such as divorce, death, relocation, hospitalization, chronic illness, physical or sexual abuse, domestic violence , or natural disaster. What may appear as behavioral problems in children (e.g., acting out) is a result of having exhausted their coping mechanisms.

Play therapy is commonly utilized in treating people with a variety of mental health conditions, including:

  • Anxiety disorders , including social anxiety and panic disorders
  • Obsessive-compulsive disorders
  • Attention deficit hyperactivity disorder (ADHD)
  • Autism spectrum
  • Anger management
  • Academic, social, and physical learning disabilities

Play Therapy for Adults

While play therapy is especially effective for children ages 3-12, teenagers and adults can also benefit from play therapy techniques. More recently, play therapy has been used with adults in mental health and other healthcare settings. Since play therapy utilizes creativity and imagination, the patient may feel a sense of safety and more distance from a traumatizing or threatening experience.

How Does Play Therapy Work?

Play therapy uses activities and materials (such as clay, blocks, puppets, action figures, dolls, finger paint, or other art supplies and toys) that allow a child to express themselves. While it may look like fun and games to an outsider, it is not. A trained play therapist uses play time to observe and gain insight about a child's internal conflicts, unresolved trauma, and relationships.

Using pretend characters, stories, or art, children have a safe outlet to work through and express their feelings and perception of the people, relationships, and events around them. Since the child leads the session, play helps them feel more confident in their abilities. Through play, they practice problem solving and develop new coping behaviors and social skills.

There are two main types of play therapy:

  • Directive play therapy : In directive play therapy, the therapist plays an active role by structuring and selecting play materials. They may encourage the child to use the props to enact "pretend" scenarios, express their feelings, or engage them in conversations about their present life situations.
  • Nondirective play therapy : In nondirective play therapy, the therapist provides an encouraging environment for the child to select their own toys and materials. The child leads the play session where the therapist acts as an interested and non-judgemental bystander.

There are many types of techniques that may be applied in a play therapy session. The therapist may choose different games and activities based on the problem that the child is struggling or their age and abilities.

Techniques may include a variety of approaches, including but not limited to:

  • Toy or object play such as using a ball, doll, baby, telephone, magic wand, blocks, medical, or sensory objects like water or sand
  • Creative arts such as clay, drawing, painting, dance/movement, or music
  • Storytelling or metaphors such as externalization play (creating a story or character that represents one of the child's problems) or bibliotherapy (discussion involving reading or other forms of literature)
  • Roleplay such as using costumes, masks, superheroes, or puppets
  • Imagery and fantasy such as guided imagery (visualizing positive, peaceful settings) or dollhouse play
  • Games that incorporate communication, self-control, cooperative, strategy, or chance games

Examples of Play Therapy

No matter the technique chosen to be used in play therapy, they are meant to help a child become aware of their feelings and learn to express them, manage anger, improve self-control, reduce fear, anxiety, and depression, increase empowerment, and enhance their problem-solving skills. Some examples of play therapy are:

  • The feeling word game : A therapist will ask a child to write down the names of feelings that a person their age might have. After writing down or drawing the feelings on pieces of paper, a therapist may tell a story about themselves that include many positive and negative feelings and ask the child to put poker chips on each of the feelings to demonstrate the different feelings expressed in the story, as well as different amounts of each feeling. The therapist may then repeat the exercise using a non-threatening story about the child. The child will then tell the next story for the therapist to put down poker chips. This process is repeated until the presenting problems are discussed.
  • Puppet to create a symbolic client : If a child is frightened, a therapist may show the child a puppet, tell the child that the puppet is frightened, and reassure it of its safety. Next, the therapist will ask the child to help with comforting the puppet. The puppet may become a safety object for the child throughout therapy. The therapist may ask questions to the puppet instead and have the child respond, which may feel less threatening to the child.
  • Broadcast news : In this activity, the therapist introduces a news program starring the therapist and child, who is the "expert guest" on the news show. In the scenario, the therapist will pretend to be a younger child calling into the news show to ask the expert questions (pertaining to the child's problems). The child then has to respond to the questions as the expert, thereby solving their own problems.

To get started with play therapy, it's important to find a licensed mental health professional that has experience in play therapy. Play therapy requires extensive and specialized training and supervision. The Association for Play Therapy offers a directory of registered play therapists that have completed their training and are credentialed in play therapy.

It is also important to find a play therapist that you and your child feels completely comfortable with. Make sure that you research the therapist you are considering, ask for recommendations, and speak with the therapist about their approach before introducing them to your child.

Play therapy is a well-researched technique that can help children who may be struggling with mental health or behavioral issues. When children have exhausted their coping mechanisms, they may appear to be acting out. Play therapy addresses these issues by offering a healthy and safe outlet.

Becoming a play therapist requires earning a Master's or Doctorate degree in the mental health field, general and specialized clinical experience, supervision, and a mental health professional license.

With additional specialized training, a mental health professional may earn the Registered Play Therapist (RPT), Registered Play Therapist-Supervisor (RPT-S) or School Based-Registered Play Therapist (SB-RPT) credentials from the Association for Play Therapy (APT).

Benefits of Empathetic Listening

How do you show empathetic listening, what are the four skills of empathetic listening, examples of what empathetic listening sounds like, tips for developing empathic listening skills.

Communication skills are the building blocks of good relationships , from interacting successfully in the workplace to connecting with our closest loved ones. What we say and how we say it is vital, but listening is one aspect of the communication puzzle that matters just as much. Not just listening to hear but listening to understand in a way that makes others feel seen and heard—a skill known as empathetic listening.

Empathic listening—or empathetic listening—is rooted in compassion that involves much more than just listening to people's words. This powerful skill focuses on understanding the emotions and meaning behind what people say (as well as what they might not be saying).

"Empathic listening is an art. It’s the art of listening to someone in such a way that they feel truly heard, deeply understood, and genuinely cared for," explains Carl Nassar, Ph.D, LPC, CIP, CIIPTS . "When you empathically listen, you’re giving someone a gift—the gift of bring seen and the gift of feeling known."

It’s all about forging connections and relating to people as individuals with unique needs, emotions, opinions, and experiences. Relationships are stronger when we feel like we are being heard and understood. It helps forge trust and create a safe space for authentic connection and understanding.

"We live in a go-go world where everything and everyone around us seems to move at a breakneck speed, hurrying from one task to the next," he says.

All too often, when we do take a moment to pause, we end up picking up our phones to scroll or respond to some notification. It's a cycle that keeps us busy, but also distracts us from building meaningful human connections.

Empathic listening asks us to slow down, because listening to someone, really listening to them, requires that we slow down enough to offer up our complete attention.

When you listen empathetically, you not just trying to understand the content of what is said so that you can respond. In conversations, listening with empathy can help others feel welcomed, safe, and heard. When people feel comfortable, they are more comfortable expressing themselves freely and openly.

Pay Attention to Subtle Signals

When you engage in empathetic listening, you pay attention not only to the words people say, but also to their body language, tone of voice, and subtle changes in facial expressions. Such signals can add nuance to what people are saying so that you can better interpret what they mean and how they feel.

Try to See Things From Their Point of View

Empathetic listening is all about trying to understand the other person's perspective. This means imagining yourself in their place, walking a mile in their shoes, and feeling what they feel. Consider it your 'emotional radar' that allows you to pick up on spoken and unspoken signals.

Recalling similar situations from your own life can help you place yourself in their shoes.

"Imagine a situation you were once in, a situation that was similar to the one you’re listening to," Nassar suggests. "Let yourself feel what it was like to be there, and tell yourself this is what the person you’re listening to is most likely feeling as well."

Be Present in the Moment

Don’t worry about how you will respond or what arguments you will present. Focusing on being fully present in the conversation can make for a heartfelt dialogue. Again, think about conversations you've had in the past—how did it make you feel when someone wasn't listening to you or wasn't fully engaged with a conversation that was important to you? Stay present.

Validate Their Emotion

Listen without judging what the other person says or interrupting to add your own commentary. Convey your interest and empathy through your facial expressions and body language. Use non-verbal cues such as nods, smiles, and facial expressions to show encouragement and understanding.

Reflect on What They Say

When we listen reflectively, we listen more than we respond. When we do talk, we restate what has been said or validate the speaker's emotions.

For example, you might say something like, "So what you are saying is..." or "I can understand how that would be upsetting." The goal is to reflect but not interject questions or opinions.

Be Patient and Respectful

Don’t try to rush the other person. Let them speak at their own pace, and recognize that it might be challenging if they are sharing something difficult. 

"Empathic listening does not mean we need to agree,” Latimer explains. "We can hear and empathize without agreeing with someone, as agreeing with them is not always the most supportive thing to do."

Even if you don’t agree with what they are say, make sure that you avoid expressing judgment. Remember that each person’s lived experience is different from your own. Just because you haven’t experienced the same thing does not mean they haven’t.

Empathetic listening involves many different skills. Such abilities can be roughly categorized into four main components:

Active Listening

Active listening is an essential part of being an empathetic listener. The goal of active listening is to listen not only to the words people say but to truly understand the meaning and intentions that lie behind them.

Important aspects of active listening include being fully present, using good body language, and giving verbal cues to convey your interest.

Reflective Responding

When we listen reflectively, we paraphrase or summarize what the other person is saying to ensure we truly understand what they mean. Rather than making assumptions, we reflect back on what they've said to show that we are listening and confirm their meaning.

You might use phrases such as "Let me make sure I've got this right..." or "So what you mean is..."

Empathy is about more than showing sympathy; it involves truly tuning into someone else's emotions and experiences and imagining yourself in their shoes. When we listen with empathy, we show people that we really get what they are saying and we genuinely care.

Non-Verbal Signals

Our non-verbal communication plays a vital role in empathetic listening.

This listening experience is often felt more by the nonverbal expression of leaning in, showing true interest without distraction, and asking more when appropriate. “I hear you” is something so many people need to feel and hear.

Good eye contact shows interest and understanding. Welcoming posture and friendly facial expressions can help the other person feel comfortable and safe to share how they feel.

All four of these skills help foster an environment of trust, safety, support, and understanding. People feel like what they say has value and their feelings are truly being heard.

It can be helpful to consider some examples of things you might say to show support and empathy when listening to others. These phrases can be used to convey different aspects of empathetic listening.

To validate what people are feeling, you might say:

  • "What you're feeling is totally valid."
  • "It's understandable that you would feel that way."
  • "I can see why that would be really challenging."
  • "That sounds really hard."

To reflect on what people are saying:

  • "If I understand correctly, what you are saying is that..."
  • "Let me make sure I've got this right; what you mean is that..."
  • "In other words, you're saying that..."

To encourage them to share more, you might say:

  • "I'm really interested in hearing your feelings on this."
  • "Take as long as you need; I'm here to listen."
  • "Please, let me know your thoughts on this."

To show empathy and understanding, you might say:

  • "It sounds like you're dealing with a lot."
  • "I'm here for you."
  • "I want to understand what you're going through."
  • "Thank you for trusting me with this."
  • "I'm sorry you’re dealing with that."
  • "I'd feel the same way if that happened to me."

To show support, you might say:

  • "You're not alone in this; I'm here to support you."
  • "I want to support you in any way I can."
  • "We'll get through this together."

These types of phrases help show empathy, validate the speaker's emotions , and create a supportive space where people feel safe sharing their thoughts and feelings. You should choose responses that are specific to the situation and the individual's needs.

We can foster greater understanding and closer relationships when we listen to people with care, concern, and an open mind. Here are a few tips to strengthen your empathetic listening abilities:

Practice Letting Go of Judgments

Approach the conversation with an open mind . If you react negatively or want to interject your opinions, try to let go of those thoughts and judgments.

Of course, that’s sometimes easier said than done. We all make judgments each day. It takes effort to let go of that kind of scrutiny and accept people as they are. Practicing kindness and empathy can be a powerful antidote to feelings of judgment. 

When you feel tempted to judge, try to replace it with curiosity. Instead of wondering how a person can think that way, ask yourself why they might feel that way. Getting curious about their motivations and experiences can add even more depth and nuance to your understanding

The goal of empathetic listening is to understand the other person's perspective. If you stifle their thoughts by asserting your own, they will likely shut down and stop sharing.

Even if you don't agree with them or if their experience is different from yours,  that does not mean it is any less valid. Showing people that you care about them doesn't require you to agree with them or approve of their actions. You just need to be willing to listen.

Try Loving-Kindness Meditation

Loving-kindness meditation is a specific form of meditation that can help foster a greater sense of connection and acceptance of others. 

It's a practice that starts by seeing yourself with complete compassion and then shifting your focus toward other people in your life. 

Research has found that practicing loving-kindness meditation can help people become more forgiving of others. It also improves empathy and emotional processing in the brain.

People who engage in this type of mediation tend to be more compassionate, helpful, and empathetic. One study found it could also help decrease implicit bias against stigmatized minority groups.

While it may take some time and practice, adding loving-kindness meditation to your regular self-care routine may help make you a more empathetic listener.

Practice Patience

To be an empathetic listener, you also need to practice being a patient listener . It can take time for someone to get to the point or put their feelings into words. 

Sitting with silence and waiting for them to speak on their own terms isn't always easy. You might be tempted to fill the silence with your own thoughts, platitudes, or attempts to solve their problems.

When you do this, the other person will feel rushed or dismissed. While it can be hard to get used to, consciously embrace those moments of silence. Let them gather their thoughts and show your encouragement in other ways, such as body language or facial expressions . 

Remember that a pause doesn't mean the conversation is over. It just means they need a moment to reflect before moving forward.

Know How to Respond

Of course, a conversation involves more than just listening. Once a person has said their piece and it's your turn to speak, remember to reflect on what they have said. You can keep the conversation going by asking open-ended questions, encouraging them to share more, or making clarifying comments to help improve your understanding.

Once the conversation is finished, let them know how much you appreciate them sharing their thoughts with you. Remind them that you care and that you'll be there to support them, both now and in the future. You can make the connection even stronger by planning to talk again soon.

The key, Nassar suggests, is to make sure these words come from the heart and show that you understand and care. This, he says, is what makes empathetic listening such a powerful communication tool.
