Five tips to set yourself apart.

Never underestimate the power of great communication. It can help you land the job of your dreams, attract investors to back your idea, or elevate your stature within your organization. But while there are plenty of good speakers in the world, you can set yourself apart out by being the person who can deliver something great over and over. Here are a few tips for business professionals who want to move from being good speakers to great ones: be concise (the fewer words, the better); never use bullet points (photos and images paired together are more memorable); don’t underestimate the power of your voice (raise and lower it for emphasis); give your audience something extra (unexpected moments will grab their attention); rehearse (the best speakers are the best because they practice — a lot).

When giving presentations, either on a video conference call or in person, your slides, videos and graphics (or lack of them) can be an important element in helping you tell your story or express your idea. This is the first of a series of blog posts that will give you tips and tricks on how to perfect your visual presentations.

Your job as a presenter is to build your idea -- step-by-step -- in the minds of your audience members. One tool to do that is presentation graphics, such as slides and videos.

Why graphics for your presentation?

A common mistake is using slides or videos as a crutch, even if they don’t actually add anything to your presentation. Not all presentations need graphics. Lots of presentations work wonderfully with just one person standing on a stage telling a story, as demonstrated by many TED Talks.

You should only use slides if they serve a purpose: conveying scientific information, art, and things that are hard to explain without pictures. Once you have decided on using slides, you will have a number of decisions to make. We’ll help you with the basics of making a presentation that is, above all, clear and easy to understand. The most important thing to remember here is: less is more.

Less is so much more

You want to aim for the fewest number of slides, the fewest number of photos, the fewest words per slide, the least cluttered slides and the most white space on your slides. This is the most violated slide rule, but it is the secret to success. Take a look at these examples.

As you can see in the above example, you don’t need fancy backgrounds or extra words to convey a simple concept. If you take “Everything you need to know about Turtles”, and delete “everything you need to know about” leaving just “turtles”, the slide has become much easier for your audience to read, and tells the story with economy.

The above example demonstrates that a single image that fills the entire screen is far more powerful than a slide cluttered with images. A slide with too many images may be detrimental to your presentation. The audience will spend more mental energy trying to sort through the clutter than listening to your presentation. If you need multiple images, then put each one on its own slide. Make each image high-resolution and have it fill the entire screen. If the photos are not the same dimensions as the screen, put them on a black background. Don’t use other colors, especially white.

Your slides will be much more effective if you use the fewest words, characters, and pictures needed to tell your story. Long paragraphs make the audience strain to read them, which means they are not paying attention to you. Your audience may even get stressed if you move on to your next slide before they’ve finished reading your paragraph. The best way to make sure the attention stays on you is to limit word count to no more than 10 words per slide. As presentation expert Nancy Duarte says “any slide with more than 10 words is a document.” If you really do need a longer explanation of something, handouts or follow-up emails are the way to go.

Following a “less is more” approach is one of the simplest things you can do to improve your presentation visuals and the impact of your presentation overall. Make sure your visuals add to your presentation rather than distract from it and get your message across.

Watch your timing, both while speaking and going through your slides. You don't want to go too fast, but make sure you don't go over your allotted time, either. (This is where practice comes in!) You might want to leave a few minutes at the end for questions.

Sort Your Slides

Try breaking your slides into smaller chunks or segments, and make sure they flow. But don’t use too many slides, either; find a nice middle ground. If you look at all of them in the slide sorter, do they seem to flow logically without your speech backing them up?

The "B" Key

During your presentation (on either PowerPoint or Keynote) you can press the "B" key on the keyboard, and the screen will go blank. This is useful if you need to go off topic for a minute, or you want people to focus on you while you say something extremely important. Press "B" again and your presentation will reappear.

  • Keep it simple, but not simplistic
  • Have a theme and be consistent
  • Be smart with colors

  • Pace yourself

Slideshows are an intuitive way to share complex ideas with an audience, although they're dull and frustrating when poorly executed. Here are some tips to make your Microsoft PowerPoint presentations sing while avoiding common pitfalls.

It all starts with identifying what we're trying to achieve with the presentation. Is it informative, a showcase of data in an easy-to-understand medium? Or is it more of a pitch, something meant to persuade and convince an audience and lead them to a particular outcome?

It's here where the majority of these presentations go wrong with the inability to identify the talking points that best support our goal. Always start with a goal in mind: to entertain, to inform, or to share data in a way that's easy to understand. Use facts, figures, and images to support your conclusion while keeping structure in mind (Where are we now and where are we going?).

I've found that it's helpful to start with the ending. Once I know how to end a presentation, I know how best to get to that point. I start by identifying the takeaway---that one nugget that I want to implant before thanking everyone for their time---and I work in reverse to figure out how best to get there.

Your mileage, of course, may vary. But it's always going to be a good idea to put in the time in the beginning stages so that you aren't reworking large portions of the presentation later. And that starts with a defined goal.

A slideshow isn't supposed to include everything. It's an introduction to a topic, one that we can elaborate on with speech. Anything unnecessary is a distraction. It makes the presentation less visually appealing and less interesting, and it makes you look bad as a presenter.

This goes for text as well as images. There's nothing worse, in fact, than a series of slides where the presenter just reads them as they appear. Your audience is capable of reading, and chances are they'll be done with the slide, and browsing Reddit, long before you finish. Avoid putting the literal text on the screen, and your audience will thank you.

Right off the bat, we're just going to come out and say that Papyrus and Comic Sans should be banned from all PowerPoint presentations, permanently. Beyond that, it's worth considering the typeface you're using and what it's saying about you, the presenter, and the presentation itself.

Consider choosing readability over aesthetics, and avoid fancy fonts that could prove to be more of a distraction than anything else. A good presentation needs two fonts: a serif and sans-serif. Use one for the headlines and one for body text, lists, and the like. Keep it simple. Veranda, Helvetica, Arial, and even Times New Roman are safe choices. Stick with the classics and it's hard to botch this one too badly.

There reaches a point where bullet points become less of a visual aid and more of a visual examination.

Bullet points should support the speaker, not overwhelm his audience. The best slides have little or no text at all, in fact. As a presenter, it's our job to talk through complex issues, but that doesn't mean that we need to highlight every talking point.

Instead, think about how you can break up large lists into three or four bullet points. Carefully consider whether you need to use more bullet points, or if you can combine multiple topics into a single point instead. And if you can't, remember that there's no one limiting the number of slides you can have in a presentation. It's always possible to break a list of 12 points down into three pages of four points each.

Animation, when used correctly, is a good idea. It breaks up slow-moving parts of a presentation and adds action to elements that require it. But it should be used judiciously.

Adding a transition that wipes left to right between every slide or that animates each bullet point in a list, for example, starts to grow taxing on those forced to endure the presentation. Viewers get bored quickly, and animations that are meant to highlight specific elements quickly become taxing.

That's not to say that you can't use animations and transitions, just that you need to pick your spots. Aim for no more than a handful of these transitions for each presentation. And use them in spots where they'll add to the demonstration, not detract from it.

Sometimes images tell a better story than text can. And as a presenter, your goal is to describe points in detail without making users do a lot of reading. In these cases, a well-designed visual, like a chart, might better convey the information you're trying to share.

The right image adds visual appeal and serves to break up longer, text-heavy sections of the presentation---but only if you're using the right images. A single high-quality image can make all the difference between a success and a dud when you're driving a specific point home.

When considering text, don't think solely in terms of bullet points and paragraphs. Tables, for example, are often unnecessary. Ask yourself whether you could present the same data in a bar or line chart instead.

Color is interesting. It evokes certain feelings and adds visual appeal to your presentation as a whole. Studies show that color also improves interest, comprehension, and retention. It should be a careful consideration, not an afterthought.

You don't have to be a graphic designer to use color well in a presentation. What I do is look for palettes I like, and then find ways to use them in the presentation. There are a number of tools for this, like Adobe Color , Coolors , and ColorHunt , just to name a few. After finding a palette you enjoy, consider how it works with the presentation you're about to give. Pastels, for example, evoke feelings of freedom and light, so they probably aren't the best choice when you're presenting quarterly earnings that missed the mark.

It's also worth mentioning that you don't need to use every color in the palette. Often, you can get by with just two or three, though you should really think through how they all work together and how readable they'll be when layered. A simple rule of thumb here is that contrast is your friend. Dark colors work well on light backgrounds, and light colors work best on dark backgrounds.

Spend some time in the Slide Sorter before you finish your presentation. By clicking the four squares at the bottom left of the presentation, you can take a look at multiple slides at once and consider how each works together. Alternatively, you can click "View" on the ribbon and select "Slide Sorter."

Are you presenting too much text at once? Move an image in. Could a series of slides benefit from a chart or summary before you move on to another point?

It's here that we have the opportunity to view the presentation from beyond the single-slide viewpoint and think in terms of how each slide fits, or if it fits at all. From this view, you can rearrange slides, add additional ones, or delete them entirely if you find that they don't advance the presentation.

The difference between a good presentation and a bad one is really all about preparation and execution. Those that respect the process and plan carefully---not only the presentation as a whole, but each slide within it---are the ones who will succeed.

This brings me to my last (half) point: When in doubt, just buy a template and use it. You can find these all over the web, though Creative Market and GraphicRiver are probably the two most popular marketplaces for this kind of thing. Not all of us are blessed with the skills needed to design and deliver an effective presentation. And while a pre-made PowerPoint template isn't going to make you a better presenter, it will ease the anxiety of creating a visually appealing slide deck.

Slides are an expected and crucial part of most speeches, presentations, pitches and addresses. They can simplify complex information or messages, showcase relevant images, and help hold an audience’s attention. But quite often, the best slides aren’t those that make people sit up and comment on how good they are; instead, they’re the ones that people take in without really noticing because the content is effortlessly conveyed and matches the speaker’s words so well.

These days, showing high-quality slides is more important than ever. “We’re living in a visual culture,” says Paul Jurczynski , the cofounder of Improve Presentation and one of the people who works with TED speakers to overhaul their slides. “Everything is visual. Instagram is on fire, and you don’t often see bad images on there. The same trend has come to presentations.”

He says there is no “right” number of slides. However, it’s important that every single one shown — even the blank ones (more on those later) — be, as Jurczynski puts it, “connected with the story you’re telling.” Here, he shares 6 specific tips for creating the most effective slides. ( Note: All of the examples below were taken from the actual slides of TED speakers. )

1. Do keep your slides simple and succinct

“The most common mistake I see is slides that are overcrowded. People tend to want to spell everything out and cover too much information,” says Jurczynski. Not only are these everything-but-the-kitchen-sink slides unattractive and amateurish, they also divert your audience’s attention away from what you’re saying. You want them to listen to the words that you slaved over, not get distracted by unscrambling a jam-packed slide.

“The golden rule is to have one claim or idea per slide. If you have more to say, put it on the next slide,” says Jurczynski. Another hallmark of a successful slide: The words and images are placed in a way that begins where the audience’s eyes naturally go and then follows their gaze. Use the position, size, shape and color of your visuals to make it clear what should come first, second and so on. “You don’t just control what the audience sees; you have to control how they see it,” says Jurczynski.

2. Do choose colors and fonts with care

Colors and fonts are like the herbs and spices of your presentation. When used wisely and with intention, they’ll enhance your slides; but when tossed in haphazardly, they’ll make it an unappealing mess.

Let’s start with color. “Color is a key way to communicate visually and to evoke emotion,” says Jurczynski. “It can be a game changer.” Your impulse might be to pick your favorite hue and start from there, but he advises, “it’s important to use color with a purpose.” For example, if you’re giving a presentation about a positive topic, you’ll want to use bright, playful colors. But if you’re speaking about a serious subject such as gun violence or lung cancer, you’d probably go for darker or neutral colors.

While it’s fine to use a variety of colors in your presentation, overall you should adhere to a consistent color scheme, or palette. “The good news is you don’t need a degree in color theory to build a palette,” says Jurczynski. Check out one of the many free sites — such as Coolors or Color Hunt — that can help you assemble color schemes.

With fonts, settle on just one or two, and make sure they match the tone of your presentation. “You don’t have to stick to the fonts that you have in PowerPoint,” or whatever program you’re using, says Jurczynski. “People are now designing and sharing fonts that are easy to install in different programs. It’s been an amazing breakthrough.” Experiment. Try swapping a commonly used font like Arial for Lato or Bebas , two of many lesser known fonts available online. Most important: “Use a big enough font, which people often forget to do,” advises Jurczynski. Your text has to be both legible and large enough to read from the back of the room, he recommends — about 30 points or so.

3. Don’t settle for visual cliches

When you’re attempting to illustrate concepts, go beyond the first idea that comes to your mind. Why? The reason it appears so readily may be because it’s a cliché. For example, “a light bulb as a symbol for innovation has gotten really tired,” says Jurczynski. Other oft-used metaphors include a bull’s-eye target or shaking hands. After you’ve come up with your symbol or idea, he advises people to resist the lure of Google images (where there are too many low-quality and clichéd choices) and browse other free image sites such as Unsplash to find more unique visuals. One trick: If you do use stock, amp it up with a color overlay (as in the pic at the top of this article) or tweak it in some other way to counteract — or at least muffle — its stock-i-ness.

One potential source of pictures is much closer at hand. “If it fits the storyline, I encourage people to use their own images,” says Jurczynski. “Like one TED Talk where the speaker, a doctor, used photos of his experience treating people in Africa. That was all he needed. They were very powerful.” Major caveat: Any personal photos must support your speech or presentation. Do not squander your audience’s precious time by showing them a gratuitous picture of your children or grandparents — beautiful as they may be.

4. Don’t get bogged down by charts and graphs

Less is also more when it comes to data visualization. Keep any charts or graphs streamlined. When building them, ask yourself these questions:

What do I want the audience to take away from my infographic?

Why is it important for them to know this?

How does it tie into my overall story or message?

You may need to highlight key numbers or data points by using color, bolding, enlarging or some other visual treatment that makes them pop.

Maps are another commonly used infographic. Again, exercise restraint and use them only if they enhance your talk. “Sometimes, people put a map because they don’t know what else to show,” says Jurczynski. He suggests employing labels, color schemes or highlighting to direct your audience where to look. He adds, if you have the skill or know an artist, “you may even consider a hand-drawn map.”

5. don’t be scared of blank slides.

It may seem counterintuitive, but at certain points in your speech or pitch, the best visual is … no visual at all. “At the beginning, I was not a fan of blank slides,” says Jurczynski. “But the more talks I’ve seen, the more a fan I am of them, because sometimes you want all the attention on yourself and you don’t want people distracted by what they see in the slides. Or, you might use them to give the audience a visual break from a series of slides. Or maybe you want to shift the mood or tempo of the presentation.”

The blank slide is the visual equivalent of a pause, and most stories could use at least one. And with blank slides, Jurczynski has one main “don’t”: “You cannot use white blank slides, because if you do, people will see it and think something is broken.”

6. Do remember to practice

The easiest way to figure out if your slides really work? Recruit a colleague, friend or family member, and run through your entire presentation with them. Sometimes, people can get so carried away with rehearsing their delivery and memorizing their words that they forget to make sure their slides complement and synch up with what they’re saying.

“Even if you have the best visual s in the world, you need to practice in front of someone else. Once you start practicing, you may see, ‘I’m talking about a sad story, but on the slide behind me, I have something funny and that doesn’t make sense,'” says Jurczynski. “Or, ‘Oh, this could be a good place for a blank slide.’”

Best practices for designing presentation slides

When designing presentation slides, you need to find a balance between keeping the interest of your audience and maintaining their attention, while not distracting them from your key message.

The aim of presentation slides is to enhance learning and understanding, by supplementing what you’re saying (not be the main focus of your talk).

Below we discuss the best practices for designing presentation slides.

Keep it simple

If your slides are more important than what you’re saying then your message will lose impact. Your slides must be an accompaniment and not distract from your words.

  • Avoid slides with lots of text, especially if it’s just a repetition of what you’re saying. The audience may be reading rather than listening to you. If you need text-heavy slides then gradually reveal the text when needed.
  • Ideally you should only include main speaking points in the form of short and concise bullet points on your slides. This is far less dull for the audience and the best slides have no text – some speakers just use images.
  • Don’t fill up empty spaces with unnecessary elements as this won’t help the audience understand what you’re saying. The less clutter there is on a slide the more impact your visual message will have.
  • The design elements should be kept to a minimum to prevent distraction, such as, ensuring you have a clear and simple background.

Decide your presentation’s slides ratio

You must decide which  ratio for your slides  will best suit the context of the presentation:

  • A 4:3 ratio if beneficial for presentation slides that need to be viewed across multiple devices.
  • A 16:9 ratio should be used conference presentations.

Have a title page that stands out

Create a visually engaging title page so the audience is interested and ready to listen before you begin speaking.

Limit transitions and animations

Using lots of animations is distracting and amateurish. It doesn’t add much meaning to your presentation and it’s boring for the audience if they are watching constant animation. It can also be problematic and frustrating to view the presentation on different devices due to this.

  • Only use animations for a purpose, such as, to reveal the stages of a process.
  • Your animations should subtle and professional, for example, “Wipe” is effective for introducing bullet points but “Move” and “Fly” are too slow.
  • Don’t animate every element in your slide.
  • Avoid using animations between every slide and don’t use more than three different types of animations for this.

Use visual aids

Visual aids are chosen depending on their purpose, for example, you may want to:

  • Summarise information.
  • Reduce the amount of spoken words.
  • Clarify and show examples.
  • Create more of an impact by making the audience feel a certain emotion.
  • Emphasise what you’re saying.
  • Make a point memorable.
  • Enhance your credibility.
  • Engage the audience and maintain their interest.
  • Make something easier for the audience to understand.

We go into detail on specific visual aids later in the article but here are some general tips for using visual aids:

  • Think about how can a visual aid can support your message. What do you want the audience to do?
  • Ensure that your visual aid follows what you’re saying or this will confuse the audience.
  • Avoid cluttering the image as it may look messy and unclear.
  • Visual aids must be clear, concise and of a high quality.
  • One message per visual aid.
  • Use visual aids in moderation – they are additions meant to emphasise and support main points.
  • Ensure that your presentation still works without your visual aids in case of technical problems.

Use high-quality graphics

If you want your presentation slides to look professional then you need to use high-quality graphics. Main points can be illustrated with images but these images shouldn’t be a stretched low-resolution photo as this will look sloppy. Also, avoid using Clip Art as it’s likely the audience has already seen the images and it generally looks unprofessional.

Photographs are particularly valuable to enhance understanding because they allow the audience to see what you’re saying. Ensure that you use simple photos that relate closely with your speech.

Alter images to focus on elements

If an image is not the focal point consider decreasing its opacity and if it’s the current focus then make the image more pronounced. Masking can be a useful way of achieving these results and it can also be used to direct attention to something important within an image. It looks more professional than highlighting or using arrows etc.

Use panning for large images

You may want to show a large image in your presentation, such as, a web page. Consider using the Chrome extension to capture this. This will prevent you from scaling the image and distorting it. Instead you’ll be able to pan as you talk about it.

Use suitable charts and diagrams

Present data using charts and diagrams because they display data in a visually compelling way and you’ll avoid overwhelming the audience compared to, for example, presenting a list of statistics. Select data most relevant to the points you’re making and ensure that your charts are necessary.

  • Horizontal bar charts should be used for comparing quantities.
  • Vertical bar charts are for displaying changes in quantities over a length of time. There should be a maximum of eight bars.
  • Pie charts highlight percentages. They should include a maximum of six segments.
  • Line charts show trends.
  • Tables are useful for side-by-side comparisons of quantitative date but charts are generally better as they are quicker to understand and they clearly emphasise significance.

Use suitable charts and diagrams in presentation

Use video or audio

Using videos and audio clips are a great wait to engage the audience and increase their interest because they introduce a change of pace and they enhance understanding.

  • Ensure that any videos or audio clips used are relevant to the presentation’s content.
  • Only play as much of the clip as necessary.
  • Never show a really long clip.
  • Video and audio can be difficult to fit into the structure of a presentation so ensure that you tell that audience why you’re playing them a clip and tell them what to look for or listen out for.

Avoid using autoplay for videos

With autoplay it can take a moment for a video to start playing which can lead to the speaker clicking in this time. This causes the slideshow to move on to the next slide rather than playing the video. Instead of allowing autoplay ensure that you have to click something for the video to play as this will give you more control.

Research suggests that using colour increases people’s motivation to read and their enthusiasm for a presentation. Colours also evoke emotions and can improve understanding by, for example, highlighting certain themes in specific colours.

  • Colours opposite each other in the wheel are complementary and they create contrast. Using complementary colours makes your text more readable and it allows you to draw the audience’s attention towards desired elements.
  • Colours next to each other are analogous and they are harmonious. Using analogous colours makes your presentation more unified.

Avoid using too many colours in your presentation as this can look cluttered and unprofessional and keep your colour themes continuous, for example, if you use the colour blue to highlight all the key words on your second slide continue to do this throughout the presentation. Also be careful with colour associations, for example, in many cultures red is linked to danger. Try to represent your words and topics with “appropriate” colours that make sense.

Many people are blue-green or red-green colour-blind so avoid putting these colours next to each other in, for example, a graph. If you cannot avoid placing these colours next to each other then use text to clearly label items.

Choose fonts carefully

Use the same clear fonts throughout your slideshow and use no more than two fonts that go well together. Avoid using Serif fonts, such as Time New Roman because: they’re designed to be used in text-heavy documents, they’re easier to read in smaller sizes and they cannot be seen well when projected. San-serif fonts, such as Arial are usually better for presentations.

A popular choice of font is Gill Sans but whatever font your choose make sure it looks professional and can be read from the back of the room.

Avoid using custom fonts that are unlikely to be on all computers because this can be problematic on the day of your presentation.

Use large font sizes

Your font size should be a  minimum of 24pt  so everything can be easily read. Ensure that you keep font sizes consistent throughout the slides or it can look messy.

Create consistent slides

The slides should have the same design, including colour scheme, font size, font type, etc. This makes the presentation flow better and emphasises that each slide is part of same story you’re telling so this consistency will help with understanding and it’s less frustrating for the audience.

However, some speakers like to have one style for the main slides and other styles for transitions between topics, for example, you may switch around the background and text colours for transition slides so it feels like part of the same presentation but it shows the audience that you’re moving on to a new theme or subject.

Sort your slides

Use the  Slide Sorter view  to confirm that your presentation’s structure is effective. Slide Sorter shows you how logical the flow of your presentation is and it’s easy to re-arrange your slides in this view.

Include white space on your slides

Empty space is needed on your slides or it will look too cluttered. Make sure that you have empty space between each element in your slides. Don’t try to fill the white space unnecessarily or you’ll reduce the significance of your points.

Experts do not agree on the use of premade templates but if you do use a premade template, ensure that there is consistency and that it looks professional.

Presentation slides come last

Design your presentation slides after deciding on your message and your supporting evidence. Remember that the slides enhance the experience but the actual speech needs to stand out on its own.

10-20-30 slideshow rule

Guy Kawasaki, an entrepreneur and author, suggests that slideshows should follow a  10-20-30 rule :

  • There should be a maximum of 10 slides – people rarely remember more than one concept afterwards so there’s no point overwhelming them with unnecessary information.
  • The presentation should last no longer than 20 minutes as this will leave time for questions and discussion.
  • The font size should be a minimum of 30pt because the audience reads faster than you talk so less information on the slides means that there is less chance of the audience being distracted.

The above are common preferences rather than absolute suggestions – you have to design your presentation slides in a way that works best for you and the situation.

You must take into account the type of person you are, the characteristics of the audience, your topic, the context of your presentation etc. All of this will affect what you find suitable for your presentation’s design.

Best practices for making awesome PowerPoint slides

Whether you’re presenting a slideshow to your executives, clients, or peers, you want to convey your message clearly and successfully. Unfortunately, many mistakes can be made when creating PowerPoint presentations .

Choose the fonts wisely

From hard-to-read fonts to colors that hurt the eyes of your audience, here are some best practices to keep in mind for your next PowerPoint slideshow.

Using a fancy, dramatic, or even whimsical font can be tempting. But you must consider the readability of the font. You want your audience to easily see your headings and bullet points. Consider the two basic font styles: serif and sans serif.

Serif fonts are more decorative, have a classic appearance, and are frequently used in print publications. Each letter has a stroke that extends from a point in the letter. Popular serif styles include Times New Roman, Garamond, Georgia, and Baskerville.

Sans serif fonts are more precise, have a clean appearance, and are frequently used in digital publications. Each letter is clear-cut without wings or curves at its points. Popular sans serif styles include Arial, Verdana, Tahoma, and Calibri.

Because of the extended strokes, serif fonts can appear a bit blurry on a screen. This makes a sans serif font the favored choice. The bottom line is that you should remain consistent and use the same type, serif or sans serif, for all fonts in the slideshow.

The colors you use in your PowerPoint presentation can be just as important as the content. You want to use those that enhance the appearance of the slideshow, not distract or give your audience a headache.

As Robert Lane explains in his article about combining colors in PowerPoint , mixing red and blue or red and green can cause eye strain. Plus, red and green mixtures are difficult to see for those with color blindness.

The article mentions that warm colors like reds, oranges, and yellows are eye-catching, whereas cool colors like blues, greens, and purples draw less attention. Additionally, lighter colors are more noticeable than dark.

One of the easiest ways to choose the colors for your presentation is to use a built-in theme. Select the Design tab and you’ll see a collection of Themes in the ribbon.

Once you select a theme, you can then use the Variants section to choose a different color scheme. Each scheme includes eight complementing colors. You can also pick the font style you want to use in the Variants drop-down menu.

Don’t overuse animations and effects

Animations can be attention-grabbing additions to a slideshow. But if you overuse or misuse them, they can be detrimental to your presentation and actually turn off viewers. The best thing to do is consider your audience and slideshow’s purpose.

For instance, if you are presenting the slideshow to a classroom of 8-year-old students, animations can grab and hold their attention more than simple images or words. However, if you’re presenting to your company’s executive team or board of directors, animations can come across as unprofessional.

If you really want to include animations, make them subtle or purposeful. As an example, you may want to expand on each bullet point in your list. You can create an animation to display the bullet points one by one and only when you click.

To do this, select the first bullet point, go to the Animations tab, and choose the Appear effect. Then, in the Timing section of the ribbon, choose On click in the Start drop-down list. Do the same for each bullet point in your list.

This creates a simple animation that benefits your presentation. It doesn’t distract but instead keeps your audience focused on your current talking point.

What is the 10/20/30 rule of PowerPoint? What is the five-by-five rule? What about the 5/5/5 and seven-by-seven rules? Rules, rules, rules. These are different standards that many recommend using when it comes to creating PowerPoint presentations.

  • The 10/20/30 rule : Have no more than 10 slides, a presentation no longer than 20 minutes, and a font size no smaller than 30 points.
  • The five-by-five rule : Have no more than five words per line and five lines per slide.
  • The 5/5/5 rule : Have no more than five words per line, five lines per slide, and five text-heavy slides in a row.
  • The seven-by-seven rule : Have no more than seven words per line and seven lines per slide.

What each of these rules basically means is: Keep it simple.

The first rule, 10/20/30, is a good rule to follow for your overall presentation. While it may not always be possible, the more succinct a presentation, the more successful it will be.

The last three rules are helpful ones to follow when you’re adding text to your slides. As you know, presentations are visual. Using too much text means your audience is reading more than watching.

We have all experienced the pain of a bad PowerPoint presentation. And even though we promise ourselves never to make the same mistakes, we can still fall prey to common design pitfalls.  The good news is that your PowerPoint presentation doesn’t have to be ordinary. By keeping in mind a few guidelines, your classroom presentations can stand above the crowd!

One framework that can be useful when making design decisions about your PowerPoint slide design is Baddeley and Hitch’s model of working memory .

As illustrated in the diagram above, the Central Executive coordinates the work of three systems by organizing the information we hear, see, and store into working memory.

The Phonological Loop deals with any auditory information. Students in a classroom are potentially listening to a variety of things: the instructor, questions from their peers, sound effects or audio from the PowerPoint presentation, and their own “inner voice.”

The Visuo-Spatial Sketchpad deals with information we see. This involves such aspects as form, color, size, space between objects, and their movement. For students this would include: the size and color of fonts, the relationship between images and text on the screen, the motion path of text animation and slide transitions, as well as any hand gestures, facial expressions, or classroom demonstrations made by the instructor.

The Episodic Buffer integrates the information across these sensory domains and communicates with long-term memory. All of these elements are being deposited into a holding tank called the “episodic buffer.” This buffer has a limited capacity and can become “overloaded” thereby, setting limits on how much information students can take in at once.

Laura Edelman and Kathleen Harring from Muhlenberg College , Allentown, Pennsylvania have developed an approach to PowerPoint design using Baddeley and Hitch’s model. During the course of their work, they conducted a survey of students at the college asking what they liked and didn’t like about their professor’s PowerPoint presentations. They discovered the following:

  • Too many words on a slide
  • Movement (slide transitions or word animations)
  • Templates with too many colors

Characteristics students like like about professors’ PowerPoint slides

  • Graphs increase understanding of content
  • Bulleted lists help them organize ideas
  • PowerPoint can help to structure lectures
  • Verbal explanations of pictures/graphs help more than written clarifications

According to Edelman and Harring, some conclusions from the research at Muhlenberg are that students learn more when:

  • material is presented in short phrases rather than full paragraphs.
  • the professor talks about the information on the slide rather than having students read it on their own.
  • relevant pictures are used. Irrelevant pictures decrease learning compared to PowerPoint slides with no picture
  • they take notes (if the professor is not talking). But if the professor is lecturing, note-taking and listening decreased learning.
  • they are given the PowerPoint slides before the class.

Advice from Edelman and Harring on leveraging the working memory with PowerPoint:

  • Leverage the working memory by dividing the information between the visual and auditory modality.  Doing this reduces the likelihood of one system becoming overloaded. For instance, spoken words with pictures are better than pictures with text, as integrating an image and narration takes less cognitive effort than integrating an image and text.
  • Minimize the opportunity for distraction by removing any irrelevant material such as music, sound effects, animations, and background images.
  • Use simple cues to direct learners to important points or content. Using text size, bolding, italics, or placing content in a highlighted or shaded text box is all that is required to convey the significance of key ideas in your presentation.
  • Don’t put every word you intend to speak on your PowerPoint slide. Instead, keep information displayed in short chunks that are easily read and comprehended.
  • One of the mostly widely accessed websites about PowerPoint design is Garr Reynolds’ blog, Presentation Zen . In his blog entry:  “ What is Good PowerPoint Design? ” Reynolds explains how to keep the slide design simple, yet not simplistic, and includes a few slide examples that he has ‘made-over’ to demonstrate how to improve its readability and effectiveness. He also includes sample slides from his own presentation about PowerPoint slide design.
  • Another presentation guru, David Paradi, author of “ The Visual Slide Revolution: Transforming Overloaded Text Slides into Persuasive Presentations ” maintains a video podcast series called “ Think Outside the Slide ” where he also demonstrates PowerPoint slide makeovers. Examples on this site are typically from the corporate perspective, but the process by which content decisions are made is still relevant for higher education. Paradi has also developed a five step method, called KWICK , that can be used as a simple guide when designing PowerPoint presentations.
  • In the video clip below, Comedian Don McMillan talks about some of the common misuses of PowerPoint in his routine called “Life After Death by PowerPoint.”

  • This article from The Chronicle of Higher Education highlights a blog moderated by Microsoft’s Doug Thomas that compiles practical PowerPoint advice gathered from presentation masters like Seth Godin , Guy Kawasaki , and Garr Reynolds .

Have you ever given a PowerPoint presentation and noticed that something about it just seemed a little … off? If you’re unfamiliar with basic PowerPoint design principles, it can be difficult to create a slide show that presents your information in the best light.

Poorly designed presentations can leave an audience feeling confused, bored, and even irritated. Review these tips to make your next presentation more engaging.

Don't read your presentation straight from the slides

If your audience can both read and hear, it’s a waste of time for you to simply read your slides aloud. Your audience will zone out and stop listening to what you’re saying, which means they won’t hear any extra information you include.

Instead of typing out your entire presentation, include only main ideas, keywords, and talking points in your slide show text. Engage your audience by sharing the details out loud.

To keep your audience from feeling overwhelmed, you should keep the text on each slide short and to the point. Some experts suggest using the 5/5/5 rule : no more than five words per line of text, five lines of text per slide, or five text-heavy slides in a row.

Don't forget your audience

Who will be watching your presentation? The same goofy effects and funny clip art that would entertain a classroom full of middle-school students might make you look unprofessional in front of business colleagues and clients.

Humor can lighten up a presentation, but if you use it inappropriately your audience might think you don’t know what you’re doing. Know your audience, and tailor your presentation to their tastes and expectations.

Choose readable colors and fonts

Your text should be easy to read and pleasant to look at. Large, simple fonts and theme colors are always your best bet. The best fonts and colors can vary depending on your presentation setting. Presenting in a large room? Make your text larger than usual so people in the back can read it. Presenting with the lights on? Dark text on a light background is your best bet for visibility.

Don't overload your presentation with animations

As anyone who’s sat through a presentation while every letter of every paragraph zoomed across the screen can tell you, being inundated with complicated animations and exciting slide transitions can become irritating.

Before including effects like this in your presentation, ask yourself: Would this moment in the presentation be equally strong without an added effect? Does it unnecessarily delay information? If the answer to either question is yes—or even maybe—leave out the effect.

Use animations sparingly to enhance your presentation

Don’t take the last tip to mean you should avoid animations and other effects entirely. When used sparingly, subtle effects and animations can add to your presentation. For example, having bullet points appear as you address them rather than before can help keep your audience’s attention.

Slideshows are quick to produce, easy to update and an effective way to inject visual interest into almost any presentation.

However, slideshows can also spell disaster even for experienced presenters. The key to success is to make certain your slideshow is a visual aid and not a visual distraction.

Tips for Making Effective PowerPoint Presentations

  • Use the slide master feature to create a consistent and simple design template. It is fine to vary the content presentation (bulleted list, two-column text, text and image, etc.), but be consistent with other elements such as font, colors and background.
  • Simplify and limit the number of words on each screen. Use key phrases and include only essential information.
  • Limit punctuation and avoid putting words in all-capital letters. Empty space on the slide will enhance readability.
  • Use contrasting colors for text and background. Light text on a dark background is best. Patterned backgrounds can reduce readability.
  • Avoid the use of flashy transitions such as text fly-ins. These features may seem impressive at first but are distracting and get old quickly.
  • Overuse of special effects such as animation and sounds may make your presentation “cutesy” and could negatively affect your credibility.
  • Use good-quality images that reinforce and complement your message. Ensure that your image maintains its impact and resolution when projected on a larger screen.
  • If you use builds (lines of text appearing each time you click the mouse), have content appear on the screen in a consistent, simple manner; from the top or left is best. Use the feature only when necessary to make your point, because builds can slow your presentation.
  • Limit the number of slides. Presenters who constantly “flip” to the next slide are likely to lose their audience. A good rule of thumb is one slide per minute.
  • Learn to navigate your presentation in a nonlinear fashion. PowerPoint allows the presenter to jump ahead or back without having to page through all the interim slides.
  • Know how to and practice moving forward  and  backward within your presentation. Audiences often ask to see a previous screen again.
  • If possible, view your slides on the screen you’ll be using for your presentation. Make sure the slides are readable from the back row seats. Text and graphic images should be large enough to read but not so large as to appear “loud.”
  • Have a Plan B in the event of technical difficulties. Remember that transparencies and handouts will not show animation or other special effects.
  • Practice with someone who has never seen your presentation. Ask them for honest feedback about colors, content and any effects or graphic images you’ve included.
  • Do not read from your slides. The content of your slides is for the audience, not for the presenter.
  • Do not speak to your slides. Many presenters face their presentation onscreen rather than their audience.
  • Do not apologize for anything in your presentation. If you believe something will be hard to read or understand, don’t use it.

The Seven Deadly Sins of PowerPoint Presentations

It’s not surprising PowerPoint© slideshows have become the norm for visuals in most business presentations. Slideshows are quick to produce, easy to update and effective to inject visual interest into the presentation. However, slideshows can also spell disaster even for experienced presenters. The key to success is to make certain your slide show is a visual aid and not a visual distraction. For the best results, avoid these common “seven deadly sins” of PowerPoint© presentations.

  • Slide Transitions And Sound Effects:  Transitions and sound effects can become the focus of attention, which in turn distracts the audience. Worse yet, when a presentation containing several effects and transitions runs on a computer much slower than the one on which it was created, the result is a sluggish, almost comical when viewed. Such gimmicks rarely enhance the message you’re trying to communicate. Unless you are presenting at a science fiction convention, leave out the laser-guided text! Leave the fade-ins, fade-outs, wipes, blinds, dissolves, checkerboards, cuts, covers and splits to Hollywood filmmakers. Even “builds” (lines of text appearing each time you click the mouse) can be distracting. Focus on your message, not the technology..  
  • Standard Clipart:  Death to screen beans! PowerPoint© is now so widely used the clipart included with it has become a “visual cliché.” It shows a lack of creativity and a tired adherence to a standard form. First, make certain that you need graphical images to enhance your message. If you do, use your own scanned photographs or better-quality graphics from companies such as PhotoDisc (www.photodisc.com) or Hemera’s Photo Objects (www.hemera.com). Screen captures can add realism when presenting information about a Website or computer program. Two popular screen capture programs are Snagit (www.techsmith.com) for Windows and Snapz Pro (www.ambrosiasw.com) for Macintosh. Both are available as shareware.  
  • Presentation Templates:   Another visual cliché. Templates force you to fit your original ideas into someone else’s pre-packaged mold. The templates often contain distracting backgrounds and poor color combinations. Select a good book on Web graphics and apply the same principles to your slides. Create your own distinctive look or use your company logo in a corner of the screen.  
  • Text-Heavy Slides:  Projected slides are a good medium for depicting an idea graphically or providing an overview. Slides are a poor medium for detail and reading. Avoid paragraphs, quotations and even complete sentences. Limit your slides to five lines of text and use words and phrases to make your points. The audience will be able to digest and retain key points more easily. Don’t use your slides as speaker’s notes or to simply project an outline of your presentation.  
  • The “Me” Paradigm:  Presenters often scan a table or graphical image directly from their existing print corporate material and include it in their slide show presentations. The results are almost always sub-optimal. Print visuals are usually meant to be seen from 8-12 inches rather than viewed from several feet. Typically, these images are too small, too detailed and too textual for an effective visual presentation. The same is true for font size; 12 point font is adequate when the text is in front of you. In a slideshow, aim for a minimum of 40 point font. Remember the audience and move the circle from “me” to “we.” Make certain all elements of any particular slide are large enough to be seen easily. Size really does matter.  
  • Reading:  A verbal presentation should focus on interactive speaking and listening, not reading by the speaker or the audience. The demands of spoken and written language differ significantly. Spoken language is shorter, less formal and more direct. Reading text ruins a presentation. A related point has to do with handouts for the audience. One of your goals as a presenter is to capture and hold the audience’s attention. If you distribute materials before your presentation, your audience will be reading the handouts rather than listening to you. Often, parts of an effective presentation depend on creating suspense to engage the audience. If the audience can read everything you’re going to say, that element is lost.  
  • Faith in Technology:  You never know when an equipment malfunction or incompatible interfaces will force you to give your presentation on another computer. Be prepared by having a back-up of your presentation on a CD-ROM. Better yet is a compact-flash memory card with an adapter for the PCMCIA slot in your notebook. With it, you can still make last-minute changes. It’s also a good idea to prepare a few color transparencies of your key slides. In the worst-case scenario, none of the technology works and you have no visuals to present. You should still be able to give an excellent presentation if you focus on the message. Always familiarize yourself with the presentation, practice it and be ready to engage the audience regardless of the technology that is available. It’s almost a lost art.

Tips for Effective PowerPoint Presentations

  • Select a single sans-serif fonts such as Arial or Helvetica. Avoid serif fonts such as Times New Roman or Palatino because these fonts are sometimes more difficult to read.
  • Use no font size smaller than 24 point.
  • Use the same font for all your headlines.
  • Select a font for body copy and another for headlines.
  • Use bold and different sizes of those fonts for captions and subheadings.
  • Add a fourth font for page numbers or as a secondary body font for sidebars.
  • Don’t use more than four fonts in any one publication.
  • Clearly label each screen. Use a larger font (35-45 points) or different color for the title.
  • Use larger fonts to indicate importance.
  • Use different colors, sizes and styles (e.g., bold) for impact.
  • Avoid italicized fonts as these are difficult to read quickly.
  • Avoid long sentences.
  • Avoid abbreviations and acronyms.
  • Limit punctuation marks.
  • No more than 6-8 words per line
  • For bullet points, use the 6 x 6 Rule. One thought per line with no more than 6 words per line and no more than 6 lines per slide
  • Use dark text on light background or light text on dark background. However, dark backgrounds sometimes make it difficult for some people to read the text.
  • Do not use all caps except for titles.
  • Put repeating elements (like page numbers) in the same location on each page of a multi-page document.
  •  To test the font, stand six feet from the monitor and see if you can read the slide.

Design and Graphical Images

  • Use design templates.
  • Standardize position, colors, and styles.
  • Include only necessary information.
  • Limit the information to essentials.
  • Content should be self-evident
  • Use colors that contrast and compliment.
  • Too may slides can lose your audience.
  • Keep the background consistent and subtle.
  • Limit the number of transitions used. It is often better to use only one so the audience knows what to expect.
  • Use a single style of dingbat for bullets throughout the page.
  • Use the same graphical rule at the top of all pages in a multi-page document.
  • Use one or two large images rather than several small images.
  • Prioritize images instead of a barrage of images for competing attention.
  • Make images all the same size.
  • Use the same border.
  • Arrange images vertically or horizontally.
  • Use only enough text when using charts or graphical images to explain the chart or graph and clearly label the image.
  • Keep the design clean and uncluttered. Leave empty space around the text and graphical images.
  • Use quality clipart and use it sparingly. A graphical image should relate to and enhance the topic of the slide.
  • Try to use the same style graphical image throughout the presentation (e.g., cartoon, photographs)
  • Limit the number of graphical images on each slide.
  • Repetition of an image reinforces the message. Tie the number of copies of an image to the numbers in your text.
  • Resize, recolor, reverse to turn one image into many. Use duplicates of varying sizes, colors, and orientations to multiply the usefulness of a single clip art image.
  • Make a single image stand out with dramatic contrast. Use color to make a dramatic change to a single copy of your clip art.
  • Check all images on a projection screen before the actual presentation.
  • Avoid flashy images and noisy animation effects unless it relates directly to the slide.
  • Limit the number of colors on a single screen.
  • Bright colors make small objects and thin lines stand out. However, some vibrant colors are difficult to read when projected.
  • Use no more than four colors on one chart.
  • Check all colors on a projection screen before the actual presentation. Colors may project differently than what appears on the monitor.

General Presentation

  • Plan carefully.
  • Do your research.
  • Know your audience.
  • Time your presentation.
  • Speak comfortably and clearly.
  • Check the spelling and grammar.
  • Do not read the presentation. Practice the presentation so you can speak from bullet points. The text should be a cue for the presenter rather than a message for the viewer.
  • Give a brief overview at the start. Then present the information. Finally review important points.
  • It is often more effective to have bulleted points appear one at a time so the audience listens to the presenter rather than reading the screen.
  • Use a wireless mouse or pick up the wired mouse so you can move around as you speak.
  • If sound effects are used, wait until the sound has finished to speak.
  • If the content is complex, print the slides so the audience can take notes.
  • Do not turn your back on the audience. Try to position the monitor so you can speak from it.

Some tips to keep in mind when designing:

  • Keep it simple, elegant and professional. Limit the use of animation, transitions, and sound.
  • Practice no more than 4 by 4 rule when possible, 4 bullets with 4 words.
  • Edit ruthlessly. Have others proofread if possible.
  • Use real images whenever possible, not clipart.
  • Font size needs to be large enough to read, 18-24 pt is standard. Specialty fonts are hard to read.
  • Colors - change for emphasis as needed, but be consistent with design
  • Structure the presentation with an opening slide, outline of discussion, the subject material and a conclusion or summary.

Some tips when presenting:

  • Do not read your slides; there should be a balance between you and the slide content, otherwise, you are not needed!
  • Begin with a story to connect your audience, introduce yourself and the topic and make the subject matter relevant to them.
  • Know your audience and respect them.
  • Rehearse, rehearse, rehearse!

Handouts- Before or After?

There is much debate about distributing handouts for presentations before or after the presentation. There are pros and cons to both scenarios. Most researchers agree that print outs of your slides does not make the best handout, expecially if you are subscribing to the simpliar design with images and few words. It can be beneficial to have a way for attendees to take notes, so a simplified handout with blank space will not distract from your presentation. Save the detailed and multiple page handout for afterwards.

How to Create the Perfect Handouts for a Presentation

As we presenters know, aiming for a flawless presentation experience involves not only top-notch presentation skills but also graphics, a well-thought-out presentation structure, and articulating both how to start a presentation and how to conclude a presentation. Yet, very little is said about presentation handouts and their role in large-scale meetings, or their value when securing business deals.

Seasoned presenters acknowledge the impact of a presentation handout, and today we’ll guide you in the process of creating these printed-format assets to make your presentation more memorable.

A presentation handout is a supplementary document provided to the audience by the presenter or the event’s organization during or before a presentation. The core purpose is to enhance the understanding and retention rate of the information shared or to provide contact points with the presenter via email, LinkedIn, website, or social media profiles.

Handouts in presentations allow attendees to follow along more easily, take notes on specific parts, and have a further reference – ideal in large corporation events. The talk may not fully cover information, like detailed metrics, supplementary graphs, etc.; thus, they can be featured inside the handout to provide additional background on the presentation topic. In short, think of handouts as deliverable presentation aids .

The utility of handouts for presentations

Picture yourself attending a series of presentations at a large-scale event, like a medical conference. How many research presentations can you retain in your head? 3-4 top, whereas perhaps you attended over 12 in the past 8 hours. Handouts for presentations simplify attendees’ efforts, as they have a palpable reference about the presentations they attended, who delivered the talk, the conference presentation slides , etc. 

Another interesting point of view for handouts is when we position ourselves in the shoes of an attendee with a physical impairment, like lessened hearing capacity. In this situation, we can picture a handout example, as the presenter integrates the audience, even those who cannot fully participate, by delivering information in a physical format.

When covering examples of handouts for presentations, we can position ourselves in generalistic situations as follows.

Helping people with physical impairments

Handouts don’t necessarily have to be printed in text format. Braille handouts can be used to assist people with low visual acuity to understand the missing gaps between the speech and the visuals shown in the slides. Electronic devices with screen readers can assist, as well as an audible format of the handout.

For people with hearing impairments, printed handouts summarizing the presentation’s key points are valid, but another creative method is to insert a QR code in PowerPoint and link to a PDF document with the transcript of the presentation, plus the slides. 

Illustrations and Diagrams

Think about hard-to-understand topics involving a series of charts or graphs to comprehend the disclosed information. Those same graphics can be given to the audience in the format of handouts, with callouts or visual aids that remind the attendees of the importance of those concepts.

Summarize Key Information

Suppose you attended a chef conference, where new technologies, methodologies, or recipes are shared in presentations. You can refer to the handouts for detailed instructions and focus on the training presentation in real time rather than taking notes.

Contact Data

Finally, we can consider a handout format for people who want to get in touch for business partnerships, academic collaborations, etc. Rather than delivering a business card, provide additional information about your work and deliver a handout.

Follow these steps to create handouts in PowerPoint.

Open your presentation in PowerPoint. Go to the View tab and find Handout Master .

You can customize the appearance of your handout by adding a header, date, logo, contact details, etc. This works exactly the same as Slide Master in PowerPoint , so all changes will be reflected on all pages in your handout.

Now, go to File > Export and select Create Handouts .

Click on the Create Handouts button, and you will be prompted with a context menu with the following options:

  • Notes next to slides
  • Blank lines next to slides
  • Notes below slides
  • Blank lines below slides
  • Outline only

Select the option you prefer. We highly recommend selecting Paste to add a tiny version of the slides to your new handouts document.

How to create Handouts in PowerPoint

Once that’s done, a new Microsoft Word document will open with your presentation handouts, which can also be customized from Word.

For Google Slides, the instructions are much simpler. Select your desired presentation in Google Slides and go to File > Print Preview . All options for how to print slides in Google Slides are now available.

The option we’re interested in is the menu below the top bar that says 1 slide without notes .

Open that and select Handout , with the number of slides per page you prefer.

Then click on Print, and a new PDF document will be generated. Unlike PowerPoint, you have to edit everything beforehand or opt for a PDF editor like Adobe Acrobat.

Handouts should be concise. The idea is to summarize information, not to confuse the audience with an overwhelming amount of data. Although these recommendations are valid for all handouts created with PowerPoint templates and Google Slides, the same rules apply to handouts created in Graphic Design Software (Adobe Illustrator, Corel Draw, etc.), as it’s tempting to keep adding unnecessary data or complex illustration effects.

Sharing your handout before the presentation starts is advisable, as it’s the moment most attendees will gather and where the expectation about what the talk will be about is at its highest. In our experience, the audience tends to grow restless toward the last 5 minutes of your presentation, with some attendees leaving if they have to attend another conference with a very limited timeframe between both. Distributing a handout during the presentation is distracting and will negatively impact your presentation’s performance.

Finally, as you would do with poster presentations , focus on readability. Avoid using heavily contrasting colors or text that looks too small to read for the sake of adding more data. The handout is a tool to complement your presentation, not to summarize countless words.

Handouts for presentations are not an optional add-in. They are a vital element of effective academic and business presentations. By providing a clear structure to your handout or using digital mediums to help people with impairments, you are taking into account accessibility, one of the best practices you can engage early on in your path to becoming a professional presenter.

In a new Office document, you may want to make use of Smart View content in an existing document that contains not only the formatting and layout that you need, but data points as well. Instead of recreating the Smart View content from scratch, you can reuse the work that is already available.

When you use the Microsoft Office copy and paste commands to copy Smart View content within or between Office documents, the static data and formatting is copied; but the Smart View metadata is not copied. This may cause a "Member out of place " error after refreshing an ad hoc sheet which has copied data in it. To prevent this error, you need to use the Import Metadata command to ensure that any additional data is also carried over to the new sheet.

By using the Import Metadata command, after the data is copied, you can import the metadata from the original Office document into the new Office document.

You can use the Office copy and paste commands to copy content within individual Office applications as follows:

From an Excel worksheet to another worksheet within the current Excel workbook or to a different workbook

From a Word document to the same or different page within the current Word document or to a different Word document

From a PowerPoint slide or presentation to a slide within the current PowerPoint presentation or a different presentation

Guidelines and Best Practices for Importing Metadata

Note the following guidelines and best practices when copying, pasting, and importing metadata:

You can import metadata in the following:

  • Ad hoc mode, including Smart Slices
  • Query-bound functions in sheets created by Smart View copy and paste
  • Non-query-bound functions created by the Function Builder
  • Worksheets that contain reports imported from Reporting and Analysis providers

You cannot import metadata in worksheets that contain Report Designer objects, but such workbooks can be replicated by cascading as described in Cascading Reports and Ad Hoc Grids .

This procedure should be performed only by advanced users.

  • You can copy and paste graphs
  • You can copy and paste entire tables containing data points or copy and paste individual data points inline, within existing text
  • Metadata must be imported from the same object or shape that was copied.
  • Metadata is copied only for the copied objects or shapes, only rather than copying all the metadata present in the source Word document.
  • For the Import Metadata command to work, there must be at least one copied Smart View object in the destination document, whether it is the current Word document or a different one.
  • Copying the POV or slider within the same Word document will result in incorrect behavior in the document.

PowerPoint:

  • You must select a single slide to begin the import process. Smart View displays an error message if you invoke the Import Metadata command when either no slide is selected or multiple slides are selected.
  • You must first copy objects before selecting the Import Metadata command; otherwise, Smart View prompts you with a message.
  • The slide from which the object is copied and the slide from which the metadata is to be imported must be the same.
  • Metadata is copied only for the copied objects or shapes, only rather than copying all the metadata present in the source slide.
  • You can duplicate a slide containing a POV or slider, but importing the metadata will result in an error.
  • Copying a POV or slider within the same presentation will result in incorrect behavior in the presentation.

Best practice when turning a presentation into a document

I am hoping you can help me find the best way to go about achieving what I need.

I have a presentation that is a template for everyone in my organisation to use.

When they take a copy of this presentation, they make updates, such as adding a logo to all pages via the master slide and updating selected slides with specific information about the task at hand.

When the presentation was designed, key presentation principles were considered, such as keeping the details on the slide simple and letting the presenter discuss them in detail.

To help with this, we have added notes to the slide with points on what the presenter should cover.

This is perfect,

We then want to give the audience we are presenting to a copy of the presentation; however, without the words of the presenter, the slides can lack meaning. So, what we have done is create a duplicate of the presentation and updated the notes to support each slide by being much more detailed. We then print this as a PDF handout that shows the notes.

This is perfect.

However, the pain here is that we have two presentations, and the updates made on the first one (like the logo and slide updates) need to be done again on the second. We can get them to copy the slides from the first presentation to the second, but then they need to copy the notes from one slide to the copied (i.e. new) one.

It is like I need two note sections on the slide. One for presenting and one for printing.

Any ideas on how I can best achieve what is needed?

A little bit of VBA can automate the swap for you.

On each slide's notes page, add another text box OFF the page.

Add the printout version of the notes text into that text box.

Each slide should have one of these text boxes, even if it's filled with a few spaces (ie, no printout notes).

Otherwise, the VBA below won't work right. No point in my adding all the tests and safeties if it turns out you can't/don't want to use a VBA solution. But it COULD be fixed.

Click off the page so that nothing is selected, then press tab repeatedly. Note how many tabs it takes to select a) the normal notes text placeholder and b) the added text box. You'll need that info in a bit.

Run this code; for simplicity's sake, put it in a different file that's saved as a PPTM and that you open whenever you need to run the code. Insert a new module into the VB editor in the file and copy/paste in the code below.

Whenever you run it, it'll swap the text in the normal notes placeholder with the text in the text box you added.

Swap back and forth as often as you like.
