How to Convert PowerPoint to Word: A Step-by-Step Guide

Converting a PowerPoint presentation to a Word document can be a useful skill, whether you’re looking to create handouts, collaborate on content, or just prefer the Word format. It’s a pretty straightforward process that involves a few simple steps using Microsoft Office’s built-in features. After reading this paragraph, you’ll have a basic understanding of how to convert your PowerPoint file into a Word document.

Step by Step Tutorial: Converting PowerPoint to Word

Before jumping into the steps, it’s important to understand that converting your PowerPoint to Word will create a new document that displays the content of your slides in Word format. This can be handy for editing or sharing in a more universally accessible format.

Step 1: Open your PowerPoint presentation

First things first, you need to have your PowerPoint presentation open. Make sure it’s the final version, as any changes made after conversion won’t be reflected in the Word document.

Opening your PowerPoint presentation is the initial step in the conversion process. Ensure that all the information you want to convert is included and that you’re satisfied with the layout and content of your slides.

Step 2: Click on ‘File’ in the top-left corner

Once your PowerPoint is open, you’ll need to access the File menu to begin the conversion process.

Clicking on ‘File’ will bring up a list of options, including ‘Save As’ and ‘Export,’ which are the two main routes you can take to convert your PowerPoint into a Word document.

Step 3: Select ‘Export’ from the drop-down menu

After clicking on ‘File,’ you’ll see an option labeled ‘Export.’ Click on this to move forward with the conversion.

In the ‘Export’ menu, you’ll find different options for how you can convert and save your PowerPoint presentation. You’ll want to look for ‘Create Handouts.’

Step 4: Choose ‘Create Handouts’

Within the Export menu, you’ll see an option to ‘Create Handouts.’ This is the feature that will allow you to convert your PowerPoint slides into a Word document.

When you choose ‘Create Handouts,’ a new menu will pop up, giving you a few different options for how your content will appear in the Word document.

Step 5: Select ‘Create Handouts in Microsoft Word’

Click on the ‘Create Handouts in Microsoft Word’ button to initiate the conversion process.

After clicking this button, you’ll be prompted to choose how you want the slides to be arranged in the Word document. You can choose to have slides with notes next to them, blank lines next to the slides for audience notes, or just the slides themselves.

Step 6: Choose your page layout and click ‘OK’

Decide how you want your slides to be laid out in the Word document. You can have them appear as thumbnail images with or without accompanying notes.

Once you’ve selected your desired layout, click ‘OK.’ The PowerPoint will then convert and open as a Word document, which might take a few moments depending on the size of your presentation.

After completing these steps, you’ll have a new Word document with the content of your PowerPoint slides. You can now edit, format, and save this document just like any other Word file.

Tips: Making the Most of Your PowerPoint to Word Conversion

  • Save your PowerPoint presentation before starting the conversion process to ensure you don’t lose any work.
  • Consider the layout of your slides and how they will translate to a Word document. Some complex designs might not convert cleanly.
  • If you have extensive notes in your PowerPoint, make sure to choose a layout that includes these in the Word document.
  • Review and edit your converted Word document to fix any formatting issues that may have arisen during conversion.
  • Save your new Word document in a location you’ll remember, and consider giving it a descriptive name that differentiates it from the original PowerPoint file.

How To Convert PowerPoint to Word Easily: PPT to Word

What is the difference between powerpoint and word, why would you want to convert powerpoint to word, tips for converting powerpoint to word, how do you convert powerpoint to word on windows, how do you convert powerpoint to word on mac, how to convert powerpoint to word: different methods, converting powerpoint to word helps share information.

Microsoft's PowerPoint is one of the world's most widely used business applications. It's the standard app for creating and delivering presentations, with few (if any) major competitors. However, PowerPoint's native PPT file format is less suitable for sharing information. Each slide I can only contain a limited amount of text, making it a chore to read an entire file in one sitting. Businesses work around this issue by converting PowerPoint presentations to Microsoft Word documents. This conversion process ensures that a presentation's valuable information is more easily shared with employees, customers, and other stakeholders.

Fortunately, converting PowerPoint to Word is a quick and easy process. And the task can be performed equally well on a Windows PC or a Mac. If you've ever wanted to convert PPT to Word but weren't sure how, here is everything you need to know.

While PowerPoint is a presentation tool for creating slides with graphics, photos, and videos, Word is a word-processing application. PowerPoint is an excellent tool for slideshows, speeches, and lectures—situations where a speaker uses slides to help illustrate their points. Word is much better suited for reading and writing text-based documents.

Both apps have their place, but they don't do each other's jobs very well. You wouldn't try to make a presentation with a Word document, just as you wouldn't write a 15-page report in PowerPoint.

PowerPoint documents typically contain valuable information that is relevant long after a presentation concludes. Imagine an all-company meeting where the CEO gives a presentation on business goals for the next year. This is a perfect example of when employees would want a written document that covers the presentation's material. Also, any employees who couldn't attend the meeting would benefit from reading this information.

You could just share the PPT file with anyone who wants a copy of the presentation. However, the PPT file format is less than ideal for reading. Each slide in a PowerPoint presentation contains a small amount of information. It would work much better if all the text found in a presentation and the accompanying notes could be converted to a file format designed for reading. That's why people seek to convert PowerPoint to Word, a format designed for long-form reading. With the important information captured in a Word document, more people are likely to read it.

It's important to remember that not all PowerPoint presentation elements will convert into a Word document cleanly. Videos embedded in a PPT may or may not work, and graphics may take up needless space in a Word doc.

Microsoft anticipated this and created the "Handouts" format for converting PowerPoint to Word documents. Handouts are like summaries of a PowerPoint's slides, with the accompanying notes included. Using this format for PPT conversions is highly recommended since other conversion options like PDF/XPS documents and videos won't work well (or at all) with Word.

How to convert PowerPoint to Word without losing formatting

If preserving a PowerPoint presentation's formatting is important to you, choose to export the PPT as an RTF (Rich Text Format) file. RTF is a universal word-processing file format that will do a better job of retaining text formatting.

To convert a PowerPoint document to Word on a Windows PC, open the PPT file in PowerPoint. Select the File tab in the left corner of the menu bar. On the next screen, click Export from the list of options on the left.

Select the File tab and then click Export from the list of options on the left in Ms PowerPoint

Next, you will be presented with a list of export options. Choose Create Handouts .

A window titled Send to Microsoft Word will appear. Choose the page layout option you would like. Under the Add slides to a Microsoft Word document option, select Paste .

Choose page layout options and select Paste. Source: Author screenshot, Microsoft 365 PowerPoint on Windows 11.

Finally, click OK to finish converging the PowerPoint presentation. A new Handouts document will open in Word.

On PowerPoint for Mac, the Handouts feature only exists for printing, not for converting to Word. That leaves the RTF format as the best option to convert PowerPoint to Word on Mac since Word can read and write RTF.

To get started, open the PowerPoint document, then choose Export from the File menu. In the pop-up box, select Rich Text Format (.rtf) from the pop-up menu, then pick a name and a save location for your new RTF file. Then click the Export button.

Choose the RTF file format and a location for your file in Ms PowerPoint

Choose the RTF file format and a location for your file. Source: Author screenshot, Microsoft 365 PowerPoint on macOS 14.1.

The RTF file you just created can now be opened in Word.

On both a Windows PC and a Mac, you can export a PowerPoint document to PDF, which can then be opened, with limited functionality, in Word. It's likely that you won't be able to select text or graphics in a PDF file opened in Word.

Third-party applications exist for converting PowerPoint to Word documents. While not free, these tools can be worthwhile for businesses that need to convert a large number of documents regularly.

Businesses rely on PowerPoint to communicate important information. Sharing that information beyond an in-person presentation is best accomplished by converting PPT to Word. This helps make presentations more accessible and ensures a wider audience for critical information.

How to Convert PowerPoint to Word (Step-by-Step)

  • Shortcuts & Hacks
  • October 2, 2019

In this article, you’ll learn how to convert PowerPoint to Word so that you can edit your handouts or speaker notes directly in Microsoft Word.

Converting PowerPoint to Word

The only issue you need to be aware of is the content on your slides.

Converting PPT to Word does NOT convert the content of your slides into a Microsoft Word document. Instead, the process exports your slides as thumbnails in one of five following handout layouts:

In the export PowerPoint to word dialog box, select Noes next to slides

The five handout options when converting PowerPoint to Word are:

  • Notes next to slides
  • Blank lines next to slides
  • Notes below slides
  • Blank lines below slides
  • Outline only

There is currently no way to convert the content of your individual slides – text boxes, shapes, SmartArt graphics, etc. – into a native Word document. For that, you will unfortunately have to copy and paste your information manually, slide by slide.

Below you’ll find a variety of methods to convert your PowerPoint slides to Word. Choose the method that works best for you.

NOTE: If you are just trying to convert your slides into the PDF file format, you DO NOT need to convert your PowerPoint presentation into a Word document first. Instead, you can simply save your PowerPoint presentation in the PDF file format. Read our guide here for details .

Exporting your slides to Microsoft Word like this embeds your slides as thumbnails within a table.

While you cannot edit the individual PowerPoint slides, you can manipulate the table to format your handouts any way you like.

To see an example of how to convert PowerPoint speaker notes to Word without the thumbnail, watch the short video above. To learn more different ways you can print PowerPoint notes, read our guide here .

How to Convert PowerPoint to Word

To export your PowerPoint slides to Word, File tab, Export, Create Handouts, choose your handout type and click ok

To convert your PowerPoint slides into Microsoft Word handouts, simply:

  • Navigate to the File tab
  • Select Export
  • Click on the Create Handouts section
  • Select the Create Handouts command
  • Choose your Handout Type
  • Select Paste or Paste Link (explained below)

As a result, Microsoft Word opens, and your PowerPoint slides are converted into handouts based on your  selection. For example, here’s how your slides look for the ‘Blank lines next to slides’ option.

Example of PowerPoint slides converted into a Word document with lines next to the slides

Paste vs. Paste Link Options

At the bottom of the Send to Microsoft Word dialog box, you are given the option to  Paste  or  Paste link  (as pictured below).

PowerPoint gives you the option to link your slides to Word, this is something I do not recommend

Paste:  Exports your slides to Microsoft Word as a standalone file. Any updates or edits you make to your slides in PowerPoint will not be reflected in Word.

If you update your slides and want those changes reflected in Word, you will need to export your slides all over again.

Paste link: Exports your slides to Word as linked thumbnail images. Any edits you make to your slides in PowerPoint will be automatically updated within the thumbnail images inside Word.

This is all great. However, there are two caveats to the  Paste link  option to be aware of. Read on to see what they are.

Caveat #1: Only the PowerPoint thumbnails are linked to Word

The link created only updates the thumbnails of your slides in Word.

That means that if you export your slides to Word with your Speaker Notes beneath the slides, and you later update those speaker notes in PowerPoint, your changes will not be reflected in the Word document.

You’ll need to follow the steps above to convert PPT to Word all over again, to have your changes accurately reflected.

Caveat #2: The Word thumbnails only live in Word

Any updates and edits you make to your slides in PowerPoint will be updated in Microsoft Word.

But if you delete slide thumbnails in Word or move things around, none of those changes will be reflected in PowerPoint.

In fact, any changes like these will be overwritten as soon as PowerPoint pushes its latest updates back to Word.

How to View linked PowerPoint Slides in Microsoft Word

To view any linked files in Word, simply navigate to the File tab, Info group and select Edit Links to Files

To view any linked PowerPoint slides you have in Microsoft Word, simply:

  • Select the Info tab
  • Click  Edit Links to Files

This opens the Links dialog box, which you can see below.

Example using the Links dialog box to review the linked slides in Word

This is where you can update, edit, and manage any linked files to your Word document. Here is a quick rundown of what each of these options does:

Update Now: This forces Word to update based on whatever is in your PowerPoint file. This normally happens by default whenever you save your PowerPoint presentation, but you can control when it happens here.

Open Source:  This will open the PowerPoint presentation from which these slides are linked. This can be faster than trying to find the original presentation you used to create your handouts.

NOTE: If you move your PowerPoint presentation to a different place on your computer or change its file name after you convert PowerPoint to Word, you will get the following error: “This object is corrupt or no longer available”.

To fix this, simply use the Change Source option to re-locate the file. It’s either in a different location on your computer or has a new name.

Microsoft Word warning if your presentation has been moved or renamed on your computer

Change Source:  This allows you to change which PowerPoint file you are linked to. It’s useful if you have updated the name of your PowerPoint file after you converted it to Word.

To maintain an active link between PowerPoint and Word, the PowerPoint file’s name needs to be the same.

Break Link: This allows you to break the PowerPoint to Word links for individual slides. When you break the link to a slide (as discussed further below), it will no longer update in Word as you edit it in PowerPoint.

Update method for selected link:  If you don’t want your files to automatically update, you can choose to manually update them instead.

How to Update a Linked PowerPoint Slide

Now that you know how to link PowerPoint slides to Word, there are two ways that you can update the links. Both methods achieve the same goal, so just pick the one that makes the most sense (and is easiest to remember) for you.

1. Right-click the slides in Word

Right click your linked PowerPoint slide and select Update Link to update it in Word

To update an individual linked PowerPoint slide in Word, simply:

  • Navigate to the slide you want to update
  • Right-click the slide’s thumbnail picture in Word
  • Select  Update Link

NOTE: This only updates the converted PowerPoint slide you selected. If you want to update the rest of your slides, you’ll need to right-click them individually or use the next technique.

2. Use the Edit Links to Files command

Updating a slide in the Links dialog box in Microsoft Word. File, Info, Edit links to Files, Update Now

To update all your linked PowerPoint slides in Microsoft Word, simply:

  • Click the Info tab
  • Select Edit Links to Files
  • Select the slide you want to update
  • Click Update Now

If you have multiple slides you want to update, you can continue selecting slides and updating them in Word.

If your document is set to Automatic Update, you can also just close and reopen Word to have all of your links automatically update (as long as you have saved and closed your PowerPoint presentation).

How to Break Linked PowerPoint Slides in Word

To break a link to a file in Microsoft Word, click the file tab, click info, select edit links to files, select the link and click break link, then click ok

To break the links between your PowerPoint and Word files, from within Microsoft Word, simply:

  • Select the linked slide you want to break
  • Click Break Link

Because each PowerPoint slide thumbnail is considered a link, if you want to remove all the links, you will need to click on each slide and break it individually.

How to Insert PowerPoint into Word (as an embedded presentation)

An alternative to converting PowerPoint to Word as handouts is to instead embed your presentation inside of Microsoft Word.

When you do this, instead of inserting pictures of your slides, your entire PowerPoint presentation is is embedded. You can then double-click it to launch your presentation in PowerPoint.

how to change powerpoint presentation to word document

To embed a PowerPoint presentation inside of Word, from within Microsoft Word simply:

  • Navigate to the Insert tab
  • Open the Object dropdown menu
  • Select Object
  • Choose Create from file
  • Click Browse
  • Navigate to and select your PowerPoint file
  • Choose Link to File (assuming you want changes to automatically update)

As a result, your PowerPoint presentation becomes embedded in your Word document.

Example of a PowerPoint presentation embedded in Microsoft Word

As you can see, there are several ways to convert PowerPoint to Word depending on what you are trying to accomplish. In addition, you have several options to choose from for each method.

Is it worth your time to link the two programs together? That depends on how frequently you need to update your PowerPoint slides (and want those updates reflected in Word). If you decide to go this route, I recommend spending a few extra minutes reviewing the tips above on linking and updating links, so you know what to expect (and how to fix things if your links get broken).

If you decide not to link PowerPoint to Word, you can always easily export your PowerPoint slides to Word whenever you update them. This is my recommendation for you if you are not updating your slides frequently.

Yes this is true. You can check the compression options in Word to try to reduce the file size. Select a picture, go to Picture Format tab > Compress (inside Adjust) and select either Print or Web. It’s the same steps as for PPT, as we cover in our tutorial here: https://nutsandboltsspeedtraining.com/powerpoint-tutorials/powerpoint-compress-images/

Before you convert a PowerPoint to Word, be sure to delete PowerPoint slides if unnecessary.

Sometimes you want the simplicity of a Word document to back up or print handouts of an important presentation. Find out how to convert a PowerPoint into a Word Document.

Instructions in this article apply to PowerPoint for Microsoft 365, PowerPoint 2019, PowerPoint 2016, PowerPoint 2013, and PowerPoint 2010.

Convert PowerPoint Handouts to Word

When you want to edit PowerPoint handouts, convert the handouts into a document that can be edited in Word.

To convert handouts to Word format:

Open the PowerPoint presentation that you want to convert to a Word document.

Select File > Export . In PowerPoint 2010, select File > Save & Send .

Select Create Handouts and choose Create Handouts . In PowerPoint 2010, select Create Handouts under File Types and select Create Handouts under Create Handouts in Microsoft Word. The Send to Microsoft Word dialog box opens.

Select the page layout option you want to use.

Converting PowerPoint presentations to Word documents can be done in five different ways:

  • Notes next to slides
  • Blank lines next to slides
  • Notes below slides
  • Blank lines below slides
  • Outline only

Comparing the options can help you choose the best one for you.

Notes Next to Slide on Handout

The first option when converting PowerPoint presentations to Word is the most commonly used printout option. A miniature version of the slide is printed on the left and a box showing any speaker notes written to accompany the slide are shown on the right.

Three thumbnail versions of your slides print on each page.

Blank Lines Beside Slide on Handouts

The second option when converting PowerPoint presentations to Word is to print blank lines beside the slide on the handout for the audience to make notes during your presentation.

Three thumbnail slides print on each page.

Notes Below Slides on Handouts

The third option when converting PowerPoint presentations to Word is to print speaker notes below the slide for easy reference during the presentation.

One slide prints on each page.

Blank Lines Below Slides on Handouts

The fourth option when converting PowerPoint presentations to Word is to print blank lines below the slide on the handout for the audience to make notes during your presentation.

One thumbnail version of the slide prints on each page.

Outline Only

When converting PowerPoint presentations to Word, the fifth option is to print an outline of all the text in the PowerPoint presentation. No graphics are shown in the outline, but this view is the quickest to use when editing is needed.

Paste or Paste Link

Another feature that PowerPoint offers when it converts your presentation to a Word document is the choice of Paste or Paste Link. Here is the difference.

  • Choose Paste to create the handout in the style you have chosen.
  • Choose Paste Link to create a handout in the style you choose as well. However, if the PowerPoint presentation is later edited, the changes appear in the Word document the next time it is opened. This is not the case when you choose the Paste command.

When you have made all your selections select OK and a new Word document opens with the PowerPoint handouts in the format you selected.

How to Convert PowerPoint to Word Document in Windows 10

With a simple trick, you can convert almost any PowerPoint document to word document. Here are the exact steps you should follow.

When it comes to presentations of any sort or rich resumes, there is nothing that even comes close to the MS Office PowerPoint. After giving a presentation, there might be times when you need to give printed handouts. This especially true for organized seminars, boot camps, etc. Though you can print PPTs directly from the PowerPoint itself, you can also make them editable word documents, customize it as needed with the rich formatting tools, and then print the handouts. This is especially useful to add watermarks, additional contact info, and other things.

To create an editable word document, you first need to convert PowerPoint to Word . As long as the PowerPoint PPT has no complicated animations, it is really simple to convert the PPT to Word.

Thankfully, the PowerPoint software itself has options to convert PowerPoint to Word document. Let me show the exact steps on how to do it.

Steps to Convert PowerPoint to Editable Word Document

To convert PowerPoint document to an editable Word document, you need to use the Create Handouts feature in the PowerPoint itself. The option is available in the Export tab. Follow the below steps to know how to do it.

  • First, open the PPT document in the PowerPoint.
  • After opening the PowerPoint document, click on the “File” tab .

Powerpoint-export-option-260920

  • In the Export tab, click on the “ Create Handouts ” option.

Powerpoint-create-handouts-260920

  • This action will open the Send to Word window. Here, select the preferred layout under the “ Page Layout in Microsoft Word ” section.
  • Next, select the “Paste” option under the “Add slides to Microsoft Word document” section.

Export-powerpoint-to-word-260920

As soon as you click the button, the Word application will open automatically and imports the PPT document according to the settings you chose earlier. Depending on how many slides you have and how complicated they are, it can take a few seconds to complete the import process. Once completed, you can start editing it just like any other Word document.

Things to Note:

If you want to automatically update the imported document as soon as you update the PPT document, choose the “Paste link” option in step 7. Since you are only pasting a link to the PPT slide, the Word document will be auto-updated as soon as you update the PowerPoint presentation.

Depending on the PPT document and how complex it is, you might have to choose a different layout option in step 6. If the current layout is not to your liking, play with other layout styles and see how it works for you.

I hope that helps. If you are stuck or need some help, comment below and I will try to help as much as possible. If you like this article, check out how to convert PDF to Word document .

How to Convert PowerPoint Slides to Word Documents

how to change powerpoint presentation to word document

Converting PowerPoint slides to Word documents is a common task for many professionals. You may need to edit the content for a handout, make updates to the text, or simply share the information in a more accessible format.

Fortunately, there are several straightforward methods to export your PowerPoint presentation into an editable Word document. This article will walk through the step-by-step process using PowerPoint’s built-in conversion tools.

Benefits of Converting PowerPoint to Word

There are a few key reasons why you may want to convert your PowerPoint slides to a Word doc:

  • Editability – Once the content is in Word, you can easily edit, reformat, and update the text. This allows you to customize the content as a handout, report, or other document.
  • Accessibility – The Word format (.doc or .docx) is more universally accessible than a PowerPoint (.pptx) file. People without PowerPoint can open, read and print the content.
  • Sharing – It’s usually easier to share and collaborate on a Word document compared to emailing PowerPoint slide decks back and forth.
  • Printing – You can print handouts, notes pages, outlines, or full slide pages using Word’s printing capabilities.

Overall, converting to Word gives you more flexibility and options for reusing your presentation content.

PowerPoint Export Options

When you export a PowerPoint presentation to Word, you have a few formatting options to choose from:

  • Notes next to slides – Exports slides and speaker notes side-by-side
  • Blank lines next to slides – Leaves space for notes without exporting them
  • Notes below slides – Exports slides and speaker notes stacked vertically
  • Outline only – Exports just the slide titles in outline format

Think about how you want your exported Word document formatted and structured before choosing an export setting. The options with slides and notes are best for handouts, while outline view works well for a quick text summary.

Step-by-Step Guide: Export PowerPoint to Word

Follow these simple steps to export your PowerPoint slides into an editable Word document:

Open PowerPoint Presentation

First, open the PowerPoint presentation you want to convert using PowerPoint desktop app.

Go to Export Menu

Click File > Export from the top menu bar and select Create Handouts from the left pane.

Select Export Settings

In the popup window, choose your desired export formatting:

  • Notes next to slides
  • Blank lines next to slides
  • Notes below slides
  • Outline only

You can also select additional settings like paper size, orientation, slides per page, and image quality.

Export to Word

With your settings selected, click Create Handouts . Your presentation will automatically open as an editable Word document.

From here, you can print, share, customize formatting, and work with the content just like any other Word doc.

Save as .DOCX

Finally, save your new Word document in the standard .docx format for maximum compatibility:

File > Save As > Browse to choose save location and filename > Save as type: Word Document (.docx)

And that’s it! By following these basic export steps, you can quickly convert PowerPoint slides into an editable Word document for additional flexibility.

Tips for Converting Presentations to Word

Here are some additional pointers when exporting PowerPoint slides to Word docs:

  • Simplify first – Delete unnecessary slides and content before converting to keep the Word file simple and streamlined.
  • Maintain formatting – Use copy/paste or “keep source formatting” option to preserve fonts, colors, and design from PowerPoint slides.
  • Break into sections – For very long presentations, export sections into multiple Word docs for easier editing. Then combine files later.
  • Edit carefully – Avoid making edits in both the original PowerPoint AND new Word file. Keep one master source of content to prevent synchronization issues.
  • Update cautiously – If you paste a link to the PowerPoint file, updates made later won’t transfer over. Export a fresh copy to include newest changes.

Following these tips will help optimize the PowerPoint to Word conversion process for your unique needs.

Alternative Methods

In addition to PowerPoint’s built-in conversion tool, you also have a few other options for getting your slides into an editable Word document:

  • Copy/paste – Manually copy and paste slide text into a new Word file. This will not retain slide formatting.
  • Save as RTF – On Mac, export PowerPoint as a rich text format (RTF) file then open in Word.
  • Third-party apps – Use a dedicated file conversion tool for more advanced PowerPoint to Word exports.

For occasional conversions, PowerPoint’s handout export works fine for most users. But explore alternative options if you need more customization or have issues with the built-in tool.

Whether creating handouts, updating content, or making your presentation more accessible, converting PowerPoint slides into Word is fast and straightforward.

By following the export steps outlined in this article, you can seamlessly transition your PowerPoint presentations into editable Word documents. This unlocks new possibilities for customizing, printing and sharing your hard work.

Hopefully this guide gave you the step-by-step process you need to convert PowerPoint slides into Word. Now master the technique and take advantage of the added flexibility for all your presentation materials.

Maybe you want a jumpstart on creating your presentation using the text that you've saved in Word. Or maybe you've realized that your document would be better presented as a PowerPoint slideshow. With Word on the web, you can convert your document easily.

Here are a few things to keep in mind in terms of converting Microsoft Word documents to PowerPoint presentations. These points might be updated over time. The feature began rolling out in early 2021 :

  • The ability to convert PowerPoint presentations is currently only available in Word for the web.
  • The option is currently only available in English.
  • The feature is not currently available when using Safari or Internet Explorer.
  • At the time of writing, text content is available for export. If you have media content in your Word document, you'll need to add it to the PowerPoint presentation separately.

Now, if you're ready to give this feature a try, let's get to it! Head to the  Microsoft Office online  website, sign in to your account, and open your document in Word. You do not have to open PowerPoint in another tab or window.

Click File > Export and choose the "Export to PowerPoint Presentation" option.

You'll see a pop-up window with a collection of themes. Select the theme that you want to use and click "Export." You can change the theme in PowerPoint once it's exported if you like.

After several moments, you'll receive a notification that your newly converted presentation is ready. Click the "Open Presentation" button.

The slideshow will open in Microsoft PowerPoint for the web in a new tab.

The presentation will be saved to OneDrive automatically with the same name as your Microsoft Word document. If you haven't named your document, the slideshow will have a default name, such as Document 1. Click the name in the top-left corner and give it a new file name.

Styles like headings and bullet points should transfer as such. However, this could change depending on the theme that you select. Keep in mind that you might need to make some adjustments to the slideshow after you export it.

How to convert a Word document to a PowerPoint presentation

OnlyOffice fillable form

Whether you’re more comfortable working in PowerPoint or you’d like to present the content of your Word document in a different way, we’ve got you covered, There are a few different ways to convert a Word document to a PowerPoint presentation. If you have a Microsoft 365 account, you can use Word for the Web to make the conversion or you can do it directly with PowerPoint. There’s another option, too. Don’t want to convert your document to a presentation, but still need to use it as a reference? You can insert it as an object directly in a slide. If this all sounds super complicated, don’t worry. We’ll guide you each step of the way.

Convert a Word Document to a PowerPoint Presentation Using Word for the Web

First, open your web browser and log in to Office. Once logged in, open the document you want to convert in Word for the Web, and click the “File” tab in the top-left corner of the window.

Click file

IDG / Marshall Gunnell

Click “Export” in the left-hand pane and select “Export to PowerPoint Presentation (Preview).”

Export to PowerPoint option

The Export to Presentation window will appear. Here, select the design theme you’d like to use and click “Export.”

Choose a design theme

Word for the Web will then begin preparing your new presentation. Once ready, click “Open Presentation.”

Click open presentation

Your presentation will open in PowerPoint for the Web. If you need a local copy, you can always download it by going to File > Save as > Download a Copy.

Convert a Word Document to a PowerPoint Presentation Using PowerPoint

You can convert your Word document to a PowerPoint presentation using PowerPoint itself, but you’ll need to make sure your Word document is properly formatted for the conversion first. For content that you want to use as a slide title, make sure you give it the Heading 1 style. For content you want to use as text in the slide, give it the Heading 2 style.

Once you’re ready, open PowerPoint and make sure you’re in the “Home” tab. Next, select “New Slide” in the ribbon and then “Slides from Outline” from the bottom of the menu that appears.

Insert slides from outline

From here, locate the Word document you want to use, select it, and click “Insert.”

Insert a Word document

PowerPoint will then do its thing. While this way isn’t as good as using Word for the Web, it’ll still get the job done.

Insert Your Word Document as an Object in Your Presentation

If you’re not interested in converting your Word document to a PowerPoint presentation, you can insert it as an object for quick access.

Before we proceed, it’s important you understand the difference between the two types of objects you can insert your document as: Linked or Embedded.

The main difference between the two is where the data is stored. If you embed the object in your presentation, the data from that object is stored in the presentation. This is good if you’re worried about the location of the word document changing (which can break a linked object), but it will increase your file size. A linked object only inserts a link to the source file. In other words, the data from the object isn’t stored in the presentation—it simply links to it. This will keep your file size down, but that link may break if the source file is moved to a different location.

To insert your Word document as an object in your presentation, open your presentation and navigate to the slide you would like to add the object to. From there, click the “Insert” tab and select “Object.”

Insert an Object option

The Insert Object window will appear. Select “Create from File and click “Browse.”

Browse for your word file

Locate and select the document you would like to insert. Once inserted, you have two choices. You can either display the entire Word document in the PowerPoint slide or simply display the document icon. If you choose the latter, the document will open in Word when selected.

Choose how to insert the document

Click “OK” to insert the object. That’s all there is to it!

How to Convert a Word Document into a PowerPoint Presentation

Easily convert a Word document into a PowerPoint presentation by formatting the document with proper Headings to automatically create separate slides in the presentation.

Kazim Ali Alvi

If you are heavily invested in Microsoft Office and use it for both personal and professional purposes, chances are you might need to convert your document from one format to another. One of the most common conversions users generally go with is Word document to PowerPoint presentation.

Copy/pasting the content of a document in a presentation is not feasible if the document is lengthy. Also, with the conversion feature embedded right into Microsoft Word, the need to use such outdated concepts negates. The feature to convert uses Artificial Intelligence for the job and is highly effective.

Preparing the Document for Converting into a Presentation

It is fairly easy to convert, given, you are aware of the basic formatting. All you have to do is format the text using the various heading options available in Microsoft Word.

The conversion process will use the Headings in your Word document and create separate slides based on the same into a PowerPoint presentation.

Since we are discussing the basics of the subject, we will only be using ‘Heading 1’ for slide’s Title in the converted presentation and ‘Heading 2’ as the slide content. You can similarly use the other available options in the ‘Style’ section of Word to enhance the clarity and quality of the presentation.

To format the titles, highlight them and then select ‘Heading 1’ from the ‘Styles’ section at the top. Remember, this will be used as the slide title in the PowerPoint presentation after being converted.

For the text under the heading, you can use other heading options. Again, highlight the content under the topic and select ‘Heading 2’. Since this will be nested under the Heading 1 that we previously used, the conversion process will put it as the slide content for the heading.

You can similarly format the rest of the document and make it readable and ready for conversion.

After you format the text, the text color will change to blue, which can be changed later on, using the themes options in Word.

To change the theme, go to the ‘Design’ tab at the top and then select the suitable document formatting from the listed options.

In this case, we have used ‘Basic (Stylish)’ and the text now looks green which is catchy and enhances the visual appeal of a presentation.

Converting Word Document to Presentation

There are two ways you can convert your document to a presentation, either through Microsoft Word or through Microsoft PowerPoint. However, for both methods, you will have to format the text in headings (for slide titles) and sub-headings (for slide content) structure in the document so that it can be converted.

Converting with Microsoft Word

After you have formatted the document, you will need to add the option to convert a document to presentation in the app’s toolbar, if not enabled currently, which will then be added to the top of Microsoft Word.

Click on the ‘File’ menu at the top-left corner to view the various options.
