Guidelines on Thesis Preparation

A. introduction.

  • The guidelines in this document seek to ensure that theses are presented in a form suitable for library cataloging, preserving and access by users. The thesis will take its place in the library as a product of original thinking, research, and writing; its form must be comparable to other published works.
  • These guidelines cover the general rules of format and appearance. For content requirements, students should consult their Thesis Supervision Committee (TSC).
  • It is the student’s responsibility to follow the requirements presented here. Thesis copies that do not meet these requirements will not be accepted.
  • Because of changes in requirements over time, students should not use existing library or departmental copies of theses as examples of current proper format.

B. Originality

  • Consist of the student’s own account of his/her investigations;
  • Be either a record of original work or an ordered, critical and thorough exposition of existing knowledge,
  • Be an integrated whole, presenting a coherent argument;
  • Give a critical assessment of the relevant literature, describe the method of research and its findings, and discuss those findings; and
  • Include a full bibliography.
  • Consist of the student’s own account of his/her investigations
  • Make original, distinct contribution(s) to our knowledge of the subject and afford evidence or originality by the discovery of new facts and/or by the exercise of independent critical power;
  • Be an integrated whole with a coherent argument;
  • Give a critical assessment of the relevant literature, describe the method of research and its findings, and discuss those findings, particularly with regard to how these findings appear to the candidate to have advanced the study of the subject;
  • Include a full bibliography; and
  • Be of a standard to merit publication in whole, in part or in a revised form (for example, as a monograph or as a number of articles in learned journals).

  • The copyright of the thesis as a literary work vests in its author (the student).
  • The authorization gives HKUST Library a non-exclusive right to make it available for scholarly research.
  • Signature page. This page provides signatures of the thesis supervisor(s) and Department Head confirming that the thesis is satisfactory.

The student is required to declare, in this section, the extent to which assistance has been given by his/her faculty and staff, fellow students, external bodies or others in the collection of materials and data, the design and construction of apparatus, the performance of experiments, the analysis of data, and the preparation of the thesis (including editorial help). In addition, it is appropriate to recognize the supervision and advice given by the thesis supervisor(s) and members of TSC.

Every copy of the thesis must have an English abstract, being a concise summary of the thesis, in 300 words or less .

The list of sources and references used should be presented in a standard format appropriate to the discipline; formatting should be consistent throughout.

  • Sample pages of both MPhil and PhD theses are provided here ( MPhil / PhD ), with specific instructions for formatting page content (centering, spacing, etc.).

D. Language, Style and Format

Theses should be written in English.

Students in the School of Humanities and Social Science who are pursuing research work in the areas of Chinese Studies, and who can demonstrate a need to use Chinese to write their theses should seek prior approval from the School via their thesis supervisor and the divisional head. If approval is granted, students are also required to produce a translation of the title page, authorization page, signature page, table of contents and the abstract in English.

  • All pages, starting with the Title page should be numbered.
  • All page numbers should be centered, at the bottom of each page.
  • Page numbers of materials preceding the body of the text should be in small Roman numerals.
  • Page numbers of the text, beginning with the first page of the first chapter and continuing through the bibliography, including any pages with tables, maps, figures, photographs, etc., and any subsequent appendices, should be in Arabic numerals.
  • Start a new page after each chapter or section but not after a sub-section.
  • A conventional font, size 12-point, 10 to 12 characters per inch must be used.
  • One-and-a-half line spacing should be used throughout the thesis, except for abstracts, indented quotations or footnotes where single line spacing may be used.
  • All margins—top, bottom, sides—should be consistently 25mm (or no more than 30mm) in width. The same margin should be used throughout a thesis. Exceptionally, margins of a different size may be used when the nature of the thesis requires it.
  • Footnotes may be placed at the bottom of the page, at the end of each chapter or after the end of the thesis body.
  • Like references, footnotes should be presented in a standard format appropriate to the discipline.
  • Both the position and format of footnotes should be consistent throughout the thesis.

The format of each appended item should be consistent with the nature of that item, whether text, diagram, figure, etc., and should follow the guidelines for that item as listed here.

Figures, tables, graphs, etc., should be positioned according to the scientific publication conventions of the discipline, e.g., interspersed in text or collected at the end of chapters. Charts, graphs, maps, and tables that are larger than a standard page should be provided as appendices.

  • High contrast photos should be used because they reproduce well. Photographs with a glossy finish and those with dark backgrounds should be avoided.
  • Images should be dense enough to provide 300 ppi for printing and 72 dpi for viewing.

Raw files, datasets, media files, and high resolution photographs/images of any format can be included. Note: Students should get approval from their Department Head before deviating from any of the above requirements concerning paper size, font, margins, etc.

E. Creating PDF files

  • Theses must be submitted in PDF format. Providing a properly generated PDF file ensures the manuscript can be read using different platforms (Windows, Mac, etc.), that it displays as intended, and that it can be readily indexed.
  • All fonts should be embedded.
  • Image resolution should be dense enough to provide 300 ppi for printing and 72 dpi for viewing.
  • The final thesis should be submitted as a single PDF file.
  • PDF files should NOT be encrypted, as text cannot be extracted from encrypted PDFs for full text indexing or storage. Encrypted PDF files will NOT be accepted.

F. Thesis Submission Protocol

  • The final thesis must be free from typographical, grammatical and other errors when submitted to the Thesis Submission System. In particular, the thesis supervisor and the Department Head/Program Director should not sign off on the final thesis that is not, to the best of their knowledge, free of errors.

For examination purpose, sufficient hard or electronic thesis copies are to be submitted to the Department at least four weeks before the thesis examination. The number of copies required will depend on the number of examiners.

Students should submit the draft thesis to the iThenticate platform for originality check. The draft thesis together with the iThenticate report should be submitted to the Department no less than four weeks before the thesis examination.

On successful completion of the thesis examination, and after any required corrections, students must submit a copy of the final thesis (either hard/electronic) to their Department, which will arrange for the appropriate signatures of approval to be obtained.

For final theses which have been graded “Passed subject to minor corrections” or “Passed subject to major corrections”, students are required to submit the thesis for originality check via iThenticate . The iThenticate report should be handed in to the thesis supervisor(s), and the Thesis Examination Committee if applicable, for review and endorsement via their Department.

The Department will then return the signed Signature Page to the candidate.

The candidate will upload and submit the Signature Page and the Authorization Page as a PDF file and the final thesis as another PDF file to the University’s Thesis Submission System. The candidate does not need to replace the two unsigned pages in the thesis PDF with the scanned signature pages. The final thesis will be forwarded to the thesis supervisor(s) for approval via the Thesis Submission System.

G. Copyright

According to the University’s Intellectual Property Policy, students shall own the copyright in respect of their written coursework, theses, papers and publications themselves as a whole as literary works. More details are available here .

H. Thesis Binding

Students may wish to keep personal copies of their thesis. They may arrange for such copies on their own and at their own expense. Service from MTPC of the University is one option (details below). Students may explore other binderies for the binding service. In any case, the binding of the thesis must correspond with the University regulations.

  • The thesis submitted for examination shall be typewritten or printed on one side or both sides of International size A4 paper 1 (except for drawings, maps, or tables on which no restriction is placed), with margin of not less than 35 mm on both right- and left-hand edges of each page.
  • An abstract in English of not fewer than 200 and not more than 500 words shall be a part of each thesis. The format shall be the same as that of the thesis itself. The front page of each abstract shall contain the following statement:

Abstract of thesis entitled “ ……………………………………………………………

……………………………………………………………………………………………………………”

at The University of Hong Kong in (month and year).

  • The Faculty shall determine the number of hard copies of thesis required for examination purpose, and may also request a soft copy of thesis. Each copy of the thesis with its abstract preceding the title page, shall be bound in one or more volumes either in the manner prescribed in Regulation 4, or in a temporary heat-sealed ‘Perfect’ binding with the title, name of author, degree, date and the words ‘Temporary Binding for Examination Purposes’ lettered on the front cover (or, if a transparent cover is used, then on the first page so that the lettering may be read through the cover). In addition, extra copies of the thesis abstract, which are not bound together with the thesis, shall be submitted upon Faculty’s request.
  • After receiving notification that all formal requirements for conferment of the degree have been satisfied, the successful candidate is required to submit the finalized thesis, in hard and soft copies, as specified below:

(a) sufficient hard copies of the finalized bound thesis shall be submitted to the Faculty Office. The thesis shall be bound, in one or more volumes as determined by the Librarian, with its abstract preceding the title page, between boards faced with green cloth with the title, name of author, degree, and date to be stamped on the front cover and spine in accordance with the standard layout approved by the Librarian. The titles of theses written in Chinese shall be lettered on the cover in Chinese and in English. One copy of the finalized bound thesis shall be passed to the University Libraries for cataloguing and then accessioned by the University Archives. The remaining thesis copies shall be kept by the department and the supervisor(s). Copies of the finalized abstract, which are not bound together with the thesis, shall be submitted upon individual Faculty’s request. The Faculty shall determine the total number of finalized bound thesis and unbound abstract required; and

(b) a soft copy of the thesis shall be submitted for open access in the HKU Scholars Hub. In addition, students who register on September 1, 2017 and thereafter are required to upload their bibliography when submitting their finalized theses online.   Details on electronic theses are available on the website of the University Libraries.

Faculties' Requirement Regarding Submission of Research Proposal and Statement of Research Interest from PhD/MPhil Applicants

Length: 4 to 5 pages Format: Double-spaced Instruction: It should outline a clearly-considered and defined research topic, with an account of research questions and methodology proposed, an explanation of the value and originality of the research, and a bibliography. Applicants are advised to visit the individual departmental websites for the respective departments' guidelines on the format of research proposal required.

For MPhil applicants: Research Proposal (no standardized template)

Length: 3 to 4 pages Format: Double-spaced Instruction: It should include a brief account of the applicant's academic history (including what he/she studied and what in particular has interested him/her; also, where relevant, the reason why he/she wants to undertake research at HKU). The proposal should set out the area of study he/she proposes to work in, and the research he/she intends to do in it. The Faculty understands that the proposal at this stage will be provisional, but it should show that the applicant knows something about the field, has started on the relevant reading, and has a sense of the interesting research questions and problems likely to be faced, of the methodology proposed and, if relevant, the resources required. The applicant should append a preliminary bibliography. Applicants are advised to visit the individual departmental websites for the respective departments' guidelines on the format of research proposal required.

For PhD applicants: Research Proposal Download

Length: Not more than 20 pages (Including a 1-page abstract, and excluding references) Format: Font size 12; Double-spaced Instruction: It should give a clear description of the particular aspect of the field in which you are interested and explain the particular approach which you propose to take in studying the subject matter.

Important notes: All PhD theses should be written in English. For applicants whose research topic is in Chinese Language Education, approval may be granted for their thesis to be written in Chinese. Applications for such approval should be submitted at the time of application for admission. If an applicant intends to write the thesis in Chinese, the 1-page abstract should still be written in English but the Research Proposal may be written in Chinese. Applicants have to include a declaration in their research proposal to confirm whether (i) the proposal is all his/her own work; names of persons who have provided contribution and the nature and extent of their contribution should be specified if otherwise; and (ii) whether the proposal, in parts or in whole, has not been published or submitted to any institution; the extent and the details of the publication and/or submission to the institution(s) should be specified if otherwise.

For MPhil applicants: Research Proposal Summary Download

Unofficial LaTeX template for typesetting a thesis according to the recommendations stipulated in Preparing and Submitting Your Thesis: A Guide for MPhil and PhD Students published by the Graduate School, The University of Hong Kong (the "guide") in July 2017. You should always refer to the latest version of the guide and relevant official documents when preparing your thesis.

You should be able to produce the sample PDF with the following instructions:

Clone this repository to your working directory. (For non-Git users, you can press the "Clone or download" button, then follow the "Download ZIP" link.)

Open main.tex to edit the metadata and structure of your thesis.

The hkuthesis class inherits from the standard LaTeX book class, and provides all the required formatting. Specify your degree type ( mphil for Master of Philosophy, or phd for Doctor of Philosophy) and font size ( 10pt to 12pt recommended) in the document class options.

If you need to compile your thesis for examination (i.e., printing the words "Temporary Binding for Examination Purposes" on the abstract and title pages), include the exam option.

The metadata of the thesis and its author is specified in the preamble. The information provided will be used to generate the necessary front matter pages. Previous degrees and professional qualifications of the author (if applicable) should be put inside the \qualifications block.

The order of front matter pages is defined in the frontmatter environment. The content of front matter pages can be edited in the corresponding files in the contents/frontmatter/ directory. You can also add or remove the optional pages to suit your needs.

It is non-trivial to automate the abstract word counting in the compilation process. Alternatively, you can utilise TeXcount to count words of your abstract by running the command below, then insert the result into the argument of \abstract .

Additional content for the declaration page, for example, a list of previously published work, can be appended to the standard template via creating a contents/frontmatter/declaration.tex file.

Write your thesis chapters and appendices, then load the .tex files into the chapters and appendices environments, respectively, using the \input command ( \include might cause pagination glitches). If there is no appendix in your thesis, you can remove the entire appendices environment from main.tex .

Include the back matter pages (e.g., references and list of your publications) inside the backmatter environment. You can adopt any bibliography package ( BibLaTeX is used in the example).

Build your thesis with your preferred LaTeX toolchain.

Customisation

The typesetting styles of this template are defined in hkuthesis.cls class file. You can customise the layout according to its documentation.

The LaTeX template implementation is under MIT License , which means that you can freely use and modify it to produce your own thesis. As long as you are not redistributing this work or any of its modified versions, attribution is not strictly necessary. However, the use of the University of Hong Kong's name and identity is subject to the University's policies .

FAQs: Dissertation Template

What format is the template (doc, pdf, ppt, etc.).

The dissertation template is provided as a Google Doc. You can download it in MS Word format or make a copy to your Google Drive. You’re also welcome to convert it to whatever format works best for you, such as LaTeX or PDF.

What types of dissertations/theses can this template be used for?

The template follows the standard best-practice structure for formal academic research projects such as dissertations or theses, so it is suitable for the vast majority of degrees, particularly those within the sciences.

Some universities may have some additional requirements, but these are typically minor, with the core structure remaining the same. Therefore, it’s always a good idea to double-check your university’s requirements before you finalise your structure.

Will this work for a research paper?

A research paper follows a similar format, but there are a few differences. You can find our research paper template here .

Is this template for an undergrad, Masters or PhD-level thesis?

This template can be used for a dissertation, thesis or research project at any level of study. It may be slight overkill for an undergraduate-level study, but it certainly won’t be missing anything.

How long should my dissertation/thesis be?

This depends entirely on your university’s specific requirements, so it’s best to check with them. As a general ballpark, Masters-level projects are usually 15,000 – 20,000 words in length, while Doctoral-level projects are often in excess of 60,000 words.

The templates below conform, as much as possible, to KU and ProQuest requirements as well as APA, MLA, and Chicago/Turabian, with regard to heading styles and page numbering. They also include place-holder figures, tables and headings, which allow for automatic table of contents, list of figures and list of tables to be generated as well. These documents are also already set up to embed fonts for you (as required by ProQuest).
