Record voice narration for PowerPoint
01.11.21 • #presentation #powerpoint #voiceover #narration.
In this blog post, you'll learn how you can add a narration for your PowerPoint presentation. Adding audio or video narration can be very helpful, especially in a time where many seminars and meetings have to be conducted online. If you would rather give your presentation using a live stream (which has many benefits), scroll down to the bottom and learn how you can do that!
Here's what you need for recording:
- a microphone (your computer's microphone should do)
- a finished set of PowerPoint slides
- a video camera (only if you want to record video as well)
- Open your PowerPoint presentation or create a new one.
- In the taskbar, select Slide Show . Then click Record Slide Show .
- Choose the option Record from Beginning .
- You'll now get to a different view, which we'll call "Recorder View". Here's an overview:
- In the bottom right corner, you'll see three icons. The one on the left is for switching the microphone on/off. Make sure this function is turned on. The icon in the middle is for turning on/off your camera. You can choose if you want to switch the video recording on or not. The last icon is only available if you've chosen the video recording function. If the function is enabled, you'll be able to see a video preview.
- In the top right corner under "Settings", you can choose what microphone (and camera) you'd like to use. This is only relevant if you have an external recording device that you would like to use. If you're recording with your computer, you don't have to set anything here.
- Now it's time to record. Click the big red Record button on the top left and start speaking.
- Tip: You can either record all the slides at once without pressing pause, or you record each slide individually, then click pause, then go on to the next slide and record again. However, it's important to note that PowerPoint creates an individual audio file for each slide, even if you record all at once.
- Important : PowerPoint does not record during transitions, so only speak when you're on a slide.
- You can also draw on your slides with the painting tools on the bottom. These drawings will be saved to your presentations.
- On the bottom left corner, you'll see what slide you're on. You can also see two time counts. The first one is for the recording on the current slide, the second one is for the recording of the presentation overall.
- If you want to delete the whole voiceover, click Clear and Clear Recordings on all Slides . If you only want to delete the recording on the specific slide you are on, click Clear Recording on current Slide.
- If you want to re-record the audio from one slide after deleting it, just go to that slide and click Record again. Record what you want to say, then click Stop when you're done.
- Once you're done, leave the Recorder View. Click the small x in the top right corner or hit Esc .
- You can now either save the presentation as a regular PowerPoint file (just click Save and you're done) or as a video. If you'd like a video, follow the instructions below:
Save Presentation as Video
- Go to File in the PowerPoint taskbar
- Choose Export on the left, then Create a Video .
- Select the quality you'd like. We recommend Full HD (1080p).
- In the following drop-down menu, make sure Use Recorded Timings and Narrations is selected.
- The setting Seconds spent on each slide is only for the slides where there is no recording (if you have recordings on all of your slides, you can just ignore this setting.)
- Click Create Video and choose where the video should be saved. The video creation might take a while, so don't close PowerPoint right away!

How to Record in a PowerPoint presentation Audio & Video.
Recording audio and video in a PowerPoint presentation can improve the overall effectiveness and impact of your presentation because it can make it more interesting and keep your audience engaged.
Microsoft PowerPoint 2013 and later versions allow you to record your presentation with audio and video, so you can enhance your slides with voice narration or by recording yourself during the narration via the camera.
In this guide we show, how you can record your voice or yourself while presenting a Microsoft PowerPoint Presentation and how to insert an audio or video file to a Presentation. You will also learn how to save the presentation as a video file or as a PowerPoint Show after you have finished recording audio/video.
How to Record or Insert Audio or Video in a PowerPoint Presentation.
There are two ways to include audio and video in your PowerPoint presentation: record a slide show with audio from your microphone and video from your camera, or add external audio and video to your presentation from a file.
* Note: As mentioned above, to add sound and video to a PowerPoint presentation you should have Microsoft PowerPoint 2013, 2016, 2019 or PowerPoint for Office 365.
1. Record your Audio & Video to PowerPoint.
2. Insert External Audio or Video files to PowerPoint.
Method 1. Record your Sound and Video to a PowerPoint Presentation.
To record your voice narration and/or yourself while presenting the slides in a presentation:
Step 1. Configure Microphone & Camera Settings.
Before recording your audio/video to a PowerPoint presentation, make sure that your microphone and camera settings are properly configured.
To adjust your microphone and camera settings for optimal quality:
1. Press Windows + I keys to open Windows Settings.
2 . Go to System > Sound and under Input Settings select your microphone device and make sure the input volume is set to at least 80%
3. When done, go to Bluetooth & devices > Cameras > Connected Cameras and ensure that your camera is recognized by the system.
Step 2. Record Audio and Video to PowerPoint Slideshow.
Before you start recording audio/video in a presentation, it's important to know that audio cannot be recorded during animations and slide transitions. So, to avoid interruptions of your speech during the presentation, remember to leave a brief pause of 1-2 seconds in your narration at the beginning and end of each slide.
1. Open the PowerPoint presentation in which you want to record audio and video.
2. From the Slide Show tab (or the Recording tab), click the Record Slide Show button and choose either Record from Current slide or Record from Beginning, depending on which point you want to add audio/video.
3. The presentation will open in a recording window in full-screen mode.
4. Click the SETTINGS button at the top-right corner and ensure the correct microphone and camera devices are selected.
5. Use the Microsoft and Camera icons in the bottom right corner of the screen to turn off the input of the Microphone or Camera device if it is not needed during the presentation.
6. When you are ready, click the RECORD button to start recording your voice and/or camera input and present your slides.
7. Use the arrow keys to navigate through slides (forward only). Remember that you cannot go back or forward to a slide that already has a recording. This is to prevent accidentally recording over an existing recording.
8. If there are videos in your slides, click on them to start or stop the playback.
9. Use the Pen , Highlighter , or Laser icons from the bottom right corner to annotate your slides.
10. Look at the bottom left corner to find out the time counts for the current slide and the entire presentation.
11. If a slide already contains a recording, you will see a video preview or a speaker icon displayed at the bottom right corner.
- To re-record audio/video to a slide, click CLEAR and select Clear Recording on Current Slides .
- To delete all recordings, click CLEAR and select Clear Recordings on All Slides .
12. To pause or stop recording using the Pause and Stop buttons.
13. When finished Close the recording window (or right-click and select End Show ).
Step 3. Preview your Recordings on the Presentation.
After completing the recording, it is crucial to review the recordings of each slide before exporting the file as a PowerPoint show or video. To preview your recordings in your PowerPoint presentation:
1. Go to the Slide Show tab and click either From Beginning or From Current Slide to start playback.
2. Make sure each slide has a record and timing by changing the View to Slide Sorter .
3. On each slide where audio has been recorded you will see an audio icon along with the time/duration of the recording.
4. When you are satisfied with your recordings, you can move on to the next steps and export the entire presentation, including your audio and videos, either as a PowerPoint Show as a video file.
Step 4. Save the Presentation as a PowerPoint Show.
If you want to export your Presentation as a PowerPoint Show (.ppsx), which is useful if you want your presentation to be viewed even on computers that don't have the Microsoft PowerPoint app installed, do the following:
1. Click on File and select Save As .
2. Choose the location where you want to save the file and select PowerPoint Show (*.ppsx) format from the Save as type drop-down menu.
3. Then, click Save to save the file as a PowerPoint Show.
Step 5. Save Presentation to Video.
If you prefer to export your PowerPoint SlideShow as a video file, follow these steps:
1. Click on File and select Export .
2. Then Click the Create a Video option and select the preferred video quality from the first drop-down menu (e.g., Full HD 1080p ).
3. Then select the Use Recorded Timings and Narrations option in the next drop-down menu.
4. Then adjust the Seconds spent on each slide for the slides without recordings.
5. Finally, click the Create Video button and select the location to save the video.
6. Now wait for the PowerPoint to finish creating the video, as it may take some time depending on the performance of your computer.
7. Once the video is created, you can play it using any video player of your choice.
Method 2. Add External Audio and/or Video to a PowerPoint Presentation.
Instead of directly capturing audio and video within PowerPoint, you can insert an external audio or video file in your presentation.
Step 1. Adding an audio archive to a PowerPoint presentation.
To insert an audio file from your computer (such as pre-recorded narration, background music), to a slide:
1. Open your PowerPoint presentation and navigate to the specific slide where you want to add the audio.
2. Then, go to the Recording tab, click on the Audio button, and select the Audio on My PC option.
3. Then, choose the desired audio file from your device and click Insert .
4. The added audio file will appear as a small speaker icon in your presentation.
5. When you click on the speaker icon, the Playback tab will appear in the Ribbon. Move to the Playback tab and click the Play in Background option if you want the audio to play across all slides.
Step 2. Adding a Video file to a PowerPoint Presentation.
If you want to insert a video file from your PC, inside a Presentation.
1. Open the presentation and navigate to the specific slide where you want to add the audio.
2. Switch to the Recording tab and click on the Video button.
3. Then, select the video file that you want to add in the slide and click Insert .
4. Resize the video window as needed, and then customize the Playback settings from the Playback tab.
Step 3. Exporting or Saving the Presentation.
Once the audio and video files are inserted, you can export the presentation to a video file or save it as a PowerPoint show. To do that:
1. Select the Recording tab:
- Select Save as Show to save the file as a PowerPoint show, or…
- Export to Video to export the file as a video.

How to Make a PowerPoint into a Video in Under 5 Minutes
- how to make a powerpoint into a video
PowerPoint is, by far, the most popular tool people use to make presentations , whether for school projects or work-related activities, such as staff training or pitching a product idea to investors.
PowerPoint is genuinely a great tool. It’s simple and easy to use, offers hundreds of themes, and if you spend a bit of time playing around with all the different options inside the program, you can make professional presentations that will captivate your audience.
The only issue regarding PowerPoint—more specifically, presentations in general—is the limited usability of PPT files. You can’t upload a presentation on YouTube , for example. You could technically share it on your website or on social media, but a presentation without a presenter is just a random compilation of images.
Unless the person who created the presentation takes the time to weave the story, explain all the concepts, and expand on the bullet points the audience sees on the slides, the presentation won’t have the desired impact.
Does that mean that presentations are only viable in a face-to-face setting? Not exactly. There are a number of different ways to utilize presentations, but they all involve converting the PPT file into a video .
Now, the question begs itself— how do you make a video out of a presentation?
Turn PPTs into engaging videos
With InVideo’s online editor
Creating a Video from PowerPoint
The first thing that will go through most people’s minds is a webinar. When you stop to think about it, a webinar is nothing more than a glorified presentation. Someone takes the time to record themselves as they’re going through all the different slides and explaining everything in detail.
A webinar is a rather specific form of content, and it takes a lot of time and effort to put one together and to get enough people to watch it to make it worthwhile. Unless you’re an experienced salesperson who is adamant about selling a product and firmly believes that the best way to do so is to blabber about it for two hours, you’re probably looking for a faster, less painstaking way to turn a PowerPoint into a video.
Thankfully, there are a number of different ways to do so. In fact, PowerPoint itself gives you the option to convert the presentation into a video. In this article, we’ll walk you through the entire process step by step and show you how to make a video PPT using all the different versions of the program.
How to make a video from PowerPoint?(Office 365, PowerPoint 2019, PowerPoint 2016)
Although the option is there, keep in mind that it’s not as simple as clicking a Convert to video button. You do need to record narration and laser point gestures (mouse movement on-screen) beforehand.
The reason for that is simple and technical in nature—unless you record narration and timings beforehand, PowerPoint will default to five seconds per slide when creating a video.
You can change this by clicking the upward arrow next to the Timing under the Create a Video option, but keep in mind that you’ll be adjusting the time for all slides simultaneously. There is no option to adjust how long each individual slide will appear on the screen.
If you want to use different timings per slide, as well as record narration, select the Recording option inside PowerPoint and create a video.
Here’s how you’ll enable recording inside Office 365 PowerPoint, as well as PowerPoint 2019 and 2016:
1. Click on File and select Options on the left-hand side of the screen 2. Choose Customize Ribbon (A) from the drop-down menu 3. Check Recording (B) in the pop-up window and hit OK (C)
You’ll see a new option appear on your screen under the Recording tab, titled Record Slide Show. Clicking on the downward pointing arrow will allow you to choose whether you want to start recording the slideshow from the start or from the slide you’re currently on.
You can also choose to record the narration as audio or video, and you will be able to leverage a variety of different tools, such as pens and markers, to highlight certain elements on your slides.
As you’re recording, the red circle next to the Record Slide Show button will be blinking, indicating that the audio and/or video is being captured. Once you go through all the slides, you can either:
- Click on the square Stop button - Press S on your keyboard.
Exporting your video
The easiest way to export the video you just recorded is to navigate to the Recording tab and select Export to Video . This will open up a new menu, and PowerPoint will prompt you to choose the video quality.
One thing to keep in mind is that the Ultra HD option is available only on Windows 10 .
Next up, you’ll need to either set the timings for the slides or select the Use Recorded Timings and Narration option.
Then, click on Create a Video , name your file, and choose where you want to save it.
Finally, select the Save as Type option and choose between two available formats:
- MPEG-4 Video - Windows Media Video
PowerPoint will start converting the slideshow into a video automatically. Depending on the video quality and length, this process might take a while, so we suggest timing it so that you don’t have to use the computer during that time. For larger, Full HD or Ultra HD videos, it’s best to keep the program running overnight.
PowerPoint 2013
One notable difference with the 2013 version of PowerPoint is that the video quality options are slightly different. Ultra HD (4K) was just entering the scene, and not a lot of people owned devices that supported the 3840 × 2160 video resolution, so it’s no surprise that the option doesn’t exist in this version.
The interface didn’t change much over the years, so if you happen to be running PowerPoint 2013, you’ll go through the exact same process as with the newer versions of the program:
1. Navigate to File , click Export , and choose to Create a Video 2. Select the resolution 3. Set timing parameters or use recorded timings and narration 4. Click on Create Video 5. Choose Save as Type and select between MPEG-4 or Windows Media Video
PowerPoint 2010
If you are still using the 10-year-old version of PowerPoint, the options for creating a video out of your slideshow will be a bit different.
The first thing to keep in mind is that PowerPoint 2010 only supports .mp4 files and that the maximum resolution for the videos is 1290 x 720, which isn’t exactly ideal. If you want to create a professional-looking video from your PowerPoint presentation to share with business partners or your audience, you might want to consider a less restrictive alternative.
Here’s how you would turn your slideshow into a video in this outdated version of the program:
1. Select Save & Send under File 2. Choose the option Create a Video at the very bottom of the right-hand side of the screen 3. Find the Create a Video tab if you want to see the available video quality options 4. Click on the downward-pointing arrow next to the Computer & HD Displays option and choose from the three available options 5. Choose between Use and Don’t Use Recorded Timings and Narration depending on whether you want to use recorded timings and narration 6. Click on Create a Video , name it, choose the destination folder, and hit Save
PowerPoint Video Drawbacks
It’s always great when you can use the same tool for various different tasks. In the case of PowerPoint, you can both create the presentation within the program and convert it into a video on the spot.
That said, PowerPoint isn’t a video editing tool . What we mean by this is that you are severely limited in terms of what you can do with the video you create from your PPT. There are no transitions, you can’t leverage fade-ins and fade-outs, and there is no music, among other things.
No matter how you look at it, the videos created through PowerPoint will be bland. PowerPoint’s PPT to video conversion might get the job done if your only goal is to share a presentation internally with your team. Even then, it only makes sense in a remote work environment, where you can’t physically hold the presentation to your coworkers.
If you’re planning on using the presentation as a core part of your marketing strategy , then the video quality—and we don’t mean the resolution here—you’ll get from PowerPoint won’t suffice. No matter how professional you sound during the narration, the videos created through PowerPoint will still give off the impression that you didn’t try all that hard.
When you see the production value of the videos that businesses share on their websites, YouTube channels , and social media, it’s painfully obvious that PowerPoint videos can’t compete. This doesn’t mean you have to spend months learning video editing or spend a small fortune hiring a professional videographer to make and edit the videos for you.
With InVideo, a powerful yet easy-to-use online video editor , you can create stunning videos from your presentations in minutes! We’ll walk you through the whole process to show you how easy it is to create breathtaking videos from presentations with InVideo .

With our free plan , you’ll have access to all of InVideo’s features so that you can play around with all the different options and learn video editing at your own pace. We also have dozens of video editing tutorials for different use-cases, so you can get started right away.
Creating videos from photos and PowerPoint presentations is one of many things you can do with InVideo.
Here’s are the simple steps you can follow to create a stunning video from your presentation with InVideo:
Step 1: Create an account
To get started, you’ll need to create an account.
Navigate to our website and click Sign Up in the top right corner. Input your email, set up your password, and you’re good to go. We’ll never ask you for your credit card information or phone number. We won’t bombard you with emails either—we hate spam as much as you do.
Step 2: Select a Template or start from scratch
Once you log in, you’ll see several different options on the homepage:
The Pre-made Templates option will be selected by default. While there are over 5000 stunning video templates in our library, we strongly suggest that you go with the Blank Template option for this purpose.
You will be starting from scratch, but it’s not as scary as it might sound. The blank template is the most convenient option since you’ll be treating each slide as a separate scene and editing them individually. Here’s how to do it:
- Choose how long each slide appears on the screen - Add the appropriate narration - Throw in effects , filters, transitions , etc.
Step 3: Upload your media
Assuming you are the one who created the presentation, you should have all the necessary media on your device—photos, slides, and the script . To add it to the video, you’ll first need to upload it through our video editor .
From the menu on the left, select the Uploads option and click on the Upload button at the bottom of the screen.
You can upload files up to 800MB at a time. If you have all the photos neatly sorted into a folder, you can upload the entire folder in one go. All the media you upload will be available immediately to the left of your video—for this and all future projects—and you can drag and drop images to the center of the screen to add them to the timeline.
Step 4: Add the photos
Let’s start with a single scene—the intro of your presentation. Drag and drop the desired image from the Uploads library onto the screen to add it to the scene.
The video editor will show you what the image will look like in the video. When you drop the photo, you’ll need to select one of the two options:
- Replace - Add as a layer
If the slide consists of a single image, choose Replace. Since we’re not using a pre-made template here, the image you chose will replace the black background.
If you would like to add additional images on top of it—such as graphs, screenshots, product photos, or lifestyle images—drag and drop them to the center of the screen once again, but this time select the Add as a Layer option. This will put the new image on top (in front) of the background one, making the first one act as a backdrop.
Step 5: Edit the Scenes and add text
By default, scenes will be about five to six seconds long, which probably isn’t sufficient for the narration. You can edit how long each slide—referred to as a scene in the video editor—will be on the screen for on the timeline.
The image above shows the basic timeline, which is great for having an overview of all your scenes. To edit a specific scene, click on it on the timeline and select the Advanced Timeline option in the top right corner.
On the left side, you’ll see all the different elements that make up the scene. Select each one you’d like to edit, whether it’s a logo, the text, or the image itself.
The middle of the timeline is reserved for the length of the scene. To adjust how long this scene will be in the video, move the sliders left or right. The duration of the scene will always be displayed in the center.
On the right side, you’ll be able to zoom in and out, so you can edit the timeline more easily.
As far as text editing is concerned, you can do so either from the timeline or by selecting the text box on the screen. You’ll be able to drag and drop the text box to adjust the positioning, rotate the text, change the colors and font, and more. To add multiple text boxes, select the Text option from the left-hand menu and drag and drop the new box onto the screen.
Step 6: Add narration
All that’s left to do is add narration. If you’ve recorded the audio already, you can add it through Uploads , the same way you did with photos. If not, you can add a voice-over to each individual scene. Select the Add VO option and import an existing voice-over or choose to record it on the spot.
Step 7: Export the Video
After you record or upload the VO, add the photos, and edit the length of each scene, you’re good to go. You can play around with filters, effects, and transitions if you’d like, but the base video is complete and ready to be shared with the world!
All that’s left to do is to click on Export in the top right corner and wait for the video to render. After a few minutes, depending on the video’s length, you’ll be able to download it, post it on YouTube and social media, or copy the shareable link and use the video in your marketing campaigns.

How to record a PowerPoint presentation with audio for sharing
- October 12, 2023
Wondering how to make a video with PowerPoint? If you want to create a video presentation from your PowerPoint slides, you can use PowerPoint's in-built recording feature. The feature allows you to narrate your slides, add annotations, and insert webcam video. You can then export your recording as a video file that you can share with your audience.
This article explains how to record your PowerPoint slideshow and how to share the recorded presentation via Teams or Zoom. We'll also give you some tips on how to avoid common pitfalls and glitches that you might encounter.
Here's our step by step guide to record a PowerPoint slide show:
- Open your PowerPoint presentation and click on the Slide Show tab.
- From the PowerPoint Set Up group, click on Record Slide Show button. You can choose to record from the beginning, or from the current slide.
- A new window will open with your PowerPoint presentation in full screen mode. You will see a Recording toolbar at the top left corner of your PowerPoint screen if you are on a single monitor, or at the top of your main monitor if you are working on dual screens (as pictured in the screenshot below). You can use this toolbar to control your recording in PowerPoint, such as start, pause, stop, rewind, and forward. You can also use the pen, highlighter, and eraser tools to annotate your slides.
- To start recording your PowerPoint presentation, click on the Record button (the red circle). You will see a countdown from 3 to 1 before the recording begins.
- As you record, you can speak into your microphone to narrate your PowerPoint slides. You can also click on the Camera button (the camera icon) to turn on your webcam and insert a video of yourself in the corner of your slide.
- To move to the next or previous slide, you can use the arrow keys on your keyboard or click the Next or Previous buttons on the Recording toolbar.
- When you get to the end of your PowerPoint slideshow, you can export the video immediately by selecting export and following the prompts, or you can end your recording to review, before exporting to video format. To end your recording in PowerPoint, click the Stop button (the square icon) or press Esc on your keyboard.
- You will be taken back to the normal view of your PowerPoint presentation. You will see a speaker icon and a camera icon on each slide that has audio or video recording. You can click on these icons to preview, edit, or delete your PowerPoint recordings.
- To export your PowerPoint recording as a video file, click the File tab and select Export.
- In the Export window, choose Create a Video from the menu on the left.
- In the Create a Video panel, you can adjust the video quality, resolution, and file size. You can also choose whether to use recorded timings and narrations or not.
- Click on Create Video and choose a location and a file name for your video.
- Wait for PowerPoint to create your video. You can see the progress bar at the bottom of your screen.
- Once your PowerPoint video is ready, you can play it with any media player or upload it to any online platform.
Troubleshooting issues that may arise when recording a PowerPoint presentation
If you want to record a PowerPoint presentation with narration, annotations, or video, you may encounter some issues depending on your device, software, and settings. Here are some common problems and how to fix them:
- If your microphone is not working, make sure it is plugged in, turned on, and selected as the default recording device in your system settings (for example sometimes your monitor or webcam can also have a microphone, and the wrong device has been selected). You can test your microphone in PowerPoint by going to Slide Show > Record Slide Show > Settings > Microphone.
- If your video camera is not working, make sure it is plugged in, turned on, and selected as the default camera in your system settings. You can also test your camera in the PowerPoint app by going to Slide Show > Record Slide Show > Settings > Camera.
- If your annotations are not showing up in your PowerPoint recording, make sure you have enabled the pen and laser pointer tools in the PowerPoint app. You can do this by going to Slide Show > Record Slide Show > Settings > Pen and Laser Pointer Tools.
- If your PowerPoint recording is not saving or playing back correctly, make sure you have enough disk space and memory on your device. You can also try saving your PowerPoint presentation as a video file by going to File > Export > Create a Video.
Can I share my recorded PowerPoint presentation via Zoom or Microsoft Teams?
If you have recorded a PowerPoint presentation, you can share it with your audience via Zoom or Microsoft Teams. Here's how to share your recorded PowerPoint presentation in both platforms.
How to share recorded PowerPoint Presentations via Zoom To share your recorded PowerPoint presentation on Zoom, you need to have the Zoom app installed on your computer and the PowerPoint file saved on your device or on OneDrive. Here are the steps to follow:
- Start or join a Zoom meeting and click Share Screen in the meeting controls.
- Select your primary monitor then click Share. If you are not sure which monitor is your primary, select the one that PowerPoint opens in.
- Switch back to PowerPoint and click the Slide Show tab. Begin playing the recorded PowerPoint presentation by selecting the Play from Start or Play from Current Slide options.
- If you have recorded narration or video for your PowerPoint presentation, make sure to check the Play Narrations and Use Timings option in the Set Up group on the Slide Show tab.
- Your participants will see your PowerPoint presentation in slide show view with your narration and video playing along.
- To stop sharing your recorded PowerPoint presentation, click Stop Share on the Zoom toolbar.
How to share recorded PowerPoint Presentations via Microsoft Teams To share your recorded PowerPoint presentation on Teams, you need to have the Microsoft Teams app installed on your computer and the PowerPoint file saved either on OneDrive or your local computer. Here are the steps to follow:
- Start or join a Teams meeting and click Share content in the meeting controls.
- In the share content menu ensure 'include computer sound' is turn on
- Select Browse OneDrive or Browse my computer at the bottom of the 'share content' menu.
- Navigate to the folder where you have saved your PowerPoint presentation file and select it.
- To stop sharing, click Stop presenting on the Teams toolbar.
Troubleshooting issues when sharing recorded PowerPoint presentations via Teams or Zoom
If you want to share a recorded PowerPoint presentation with your audience via Zoom or Teams, you may encounter some issues that can affect the quality or the delivery of your presentation. Here are some common problems and how to solve them:
- If your recorded PowerPoint presentation has audio or video embedded, make sure you check the option to share computer sound when you start sharing your screen. Otherwise, your audience will not hear the sound from your presentation.
- If your recorded PowerPoint presentation has animations or transitions, make sure you play it in slideshow mode and not in editing mode. Otherwise, your audience will see the editing tools and the slides will not advance automatically.
- If your PowerPoint presentation has hyperlinks or action buttons, make sure you click on them during the presentation and not before. Otherwise, your audience will not see the linked content or the action result.
- If your PowerPoint presentation is too large or has high-resolution images or videos, make sure you compress it before sharing it. Otherwise, your presentation may lag or freeze during the presentation due to bandwidth limitations.

How to Record a Presentation with Webcam, Narration, and More
Everyone has, at some point, put a load of time and effort into creating the perfect PowerPoint presentation, only to use it once or twice. But isn’t it a shame for all that hard work to be discarded so quickly? Is every slide deck destined for deletion after just a couple of uses?
Isn’t there a better way to make the most out of your presentations? Well, yes. Yes, there is.
Rather than simply creating and presenting your work once or twice, recording your presentations can give them a new lease of life. Whether it’s a data report or a self-recorded PowerPoint, you can record a presentation in real-time, or in advance to make it available on-demand.
In this guide, we’ll explore two distinct ways of recording your presentation. First, we’ll discuss how to record a presentation from PowerPoint with audio and webcam, and then we’ll look at how to turn your .ppt slides into a video.
Benefits of Recording a Presentation
As well as there being many different ways to record a presentation, there are also many benefits of recording them. So, before we show you the ‘how,’ let’s talk about the ‘why.’
- Encouraging asynchronous communication : One key benefit is fostering asynchronous communication . By recording presentations, you’re letting your audience engage with the content in their own time, breaking the constraints of time zones and scheduling conflicts. This also ensures your viewers can absorb information at their own pace, and revisit it as needed.
- Boosting SEO : You can use your presentation to create a YouTube video and share it on your website to increase your online visibility and attract prospective customers. This can be a great way to expand your audience, increase web traffic, and establish yourself as an expert in your field.
- Perfecting your presentation : Whether it’s in-person or over Zoom, you don’t get second chances with live presentations. However, a pre-recorded keynote lets you perfect the content and the narration before anyone sees it. This is a great way to combat stage fright while honing your presentation skills and building confidence.
With this in mind, turning your slides into a video is a no-brainer. It’s an easy way to grow your audience and make the information you’re sharing more accessible and easier to digest.

How to record your presentation (with Snagit)
Depending on your audience and the type of presentation you need to deliver, TechSmith’s Snagit could just be the perfect tool for recording your PowerPoint. With its user-friendly interface and advanced features, Snagit is ideal for capturing top-notch presentation videos, in just a few clicks.
Now, there’s no denying that presentations are better when you can see the presenter… Fortunately, Snagit lets you capture your screen and webcam at the same time to create a Picture-in-Picture video.
In this section, we’ll guide you through the steps to record your presentation and webcam with Snagit.
Step 1: Open video capture
First, open Snagit and navigate to the Capture window. Select the Video tab, and start by clicking the big red Capture button.
Step 2: Select a recording area
Next, you’ll be prompted to choose which parts of your screen you want to record. Use Snagit’s orange crosshairs to select a specific region, window, or your entire screen.
Step 3: Configure recording settings
With the Video Recording toolbar, you can set options like Cursor Capture and Effects, System Audio, and Webcam.
If your webcam isn’t showing, click on the webcam icon. If you have an external webcam, select the one you want to use by clicking the dropdown arrow next to the webcam icon.
Step 4: Adjust your webcam
Next, adjust your webcam options to ensure your Picture-in-Picture recording looks how you want it. Here you can change the Picture-in-Picture placement as well as the shape and size of your webcam recording. You can even toggle between Picture-in-Picture and fullscreen webcam modes as you like.
The best part? You can make these adjustments even while recording.
Step 5: Manage recording
When you’re ready to roll, hit the Record button and click the Stop button when you’re finished. It’s that simple!
And remember, if there’s an interruption (like an unexpected visit from the mailman), just hit Pause. It’s okay to take a break — your video won’t be ruined by a little interruption.
Step 6: Edit your video
Once you’ve finished recording, Snagit will automatically open your video in the Snagit Editor, which is super easy to use. From here, you can make light edits to the footage as needed.
For example, if you need to cut or trim your footage , you can! Here’s how:
- Set Start Point : Drag the Start handle (green) on the timeline to your desired starting point.
- Set End Point : Similarly, drag the End handle (red) to where you want to end the cut.
- Review the Segment : Before making any cuts, you can review the segment by dragging the Playhead (white) left and right across the timeline. This ensures you’re only cutting the footage you intend to.
- Make the Cut : Once you’re satisfied with the selection, click the Cut button, which will pop up once you’ve made a selection.
And that’s all there is to it! If you want to go the extra mile, you can also use Snagit to save individual frames of your video as images , which can be used to create a thumbnail for your video .
How to record a presentation from PowerPoint with audio and webcam
Now, Snagit is great for recording less formal videos in a flash, but if your presentation is intended for a particularly large or important audience, you might be looking to create something more polished. This is where TechSmith’s Camtasia comes in.
Camtasia is one of the smartest and most intuitive pieces of editing software out there, but it also makes for a pretty nifty screen recorder too. Camtasia is great for recording presentations when you need more control and editing powers over the final product.
But best of all, Camtasia streamlines the process by letting you record your presentation and voice over directly within PowerPoint.
Step 1: Set up your presentation video recording
If you’re a Windows user, you’ll have the option to include a PowerPoint Add-in Toolbar when you install Camtasia. While this feature isn’t currently available on MacOS, the Camtasia Add-in Toolbar allows you to start, stop, and control your recordings from within PowerPoint — so you don’t need to switch between applications.
Just open the presentation you want to record and locate the Add-in toolbar under the Add-ins tab.
Don’t see the add-in toolbar? Go to File > Options > Add-ins, to enable it. Click on the Manage drop-down, select Disabled Items, then click Go. If the Camtasia Add-in is listed, select it, and click Enable.
If you’re an Apple user, don’t panic! You can still record your screen (with audio) on a Mac using Camtasia, and it’s just as easy. Alternatively, you can skip ahead to the next section and import your slides directly into Camtasia.
Step 2: Customize your recording options
Now let’s walk through each of the options on the toolbar before we begin recording.
Record audio
The microphone button controls whether or not audio is recorded as part of your presentation. When you enable it, you’ll be able to record your narration using a microphone.
If you are planning to record audio, this is where you’ll select your microphone. If you want to record great audio , we suggest using an external microphone, rather than the one that’s built into your laptop.
Some of the best microphones for recording video are likely to be less expensive than you think. But, if you’re on a shoestring budget, even the mic that’s built into your headphones could produce better audio than your laptop.
Once you’re set up, be sure to test the mic and adjust the volume slider as needed. You’ll also need to decide whether or not to record your system audio, which is any sound that comes out of your speakers, such as email notifications.
Record webcam
If you have a webcam, you can also record your camera during the presentation to create a Picture-in-Picture clip — just as you can with Snagit!
To customize even more of the recording settings, click the Recording Options button. Here you’ll find settings that let you record with a watermark and adjust your video frame rate . There are a few more options too, but the default settings should work just fine.
When you’re ready, click OK to close this window and save any changes made.
Step 3: Record your presentation
The final step is as simple as clicking the Record button in the toolbar. This will launch your slides into the Presentation Mode and start recording.
When you exit Presentation Mode or reach the end of your slideshow, you can either continue recording your screen, or stop recording and save your file. Pretty easy right?
Before you get started, let us show you another way to turn your presentation into a video, without recording your desktop .
How to turn your PowerPoint presentation slides into a video
Another way to create a video from your presentation is to import your PowerPoint slides into Camtasia. This way you can adjust how long each slide appears on screen, as well as add Behaviors and Annotations to personalize your presentation and highlight important information.
By importing your slides into Camtasia, and recording your voice over separately, you get a lot more flexibility with the editing process, which means you have more control over the finished article.
If you do decide to record your audio separately, you might want to take a look at TechSmith’s Audiate . This advanced audio recorder will transcribe your voice over in real-time and let you edit the audio file as if it were a text-based document. We don’t want to brag, but it’s probably the best way to add a voice over to a PowerPoint .
Regardless of how you decide to narrate your PowerPoint, here’s how to turn your presentation into a video:
1. Import your PowerPoint slides
First, start by importing your PowerPoint slides directly into Camtasia. Once your media is imported, you can edit it by dragging your slides into the Editing Toolbar.
You can now add the images to the Timeline, and edit them like any other media in a Project.
If you drag your slides to the Timeline, the slides will be placed in the order of the presentation, each with a default 5-second duration.
With your presentation on the timeline, use Ripple Move to create space in between slides to adjust the timing of each one. To do this, hold shift, then click and drag.
Once you’ve imported your slides and adjusted the duration of each one to correlate with your voice over, it’s time to start editing.
How to edit a presentation video (in Camtasia)
Add behaviors.
Firstly, add some visual interest with Camtasia Behaviors . A Behavior is an animation that brings movement to your slides, making them stand out on screen. This is a great way to bring parts of your presentation to life and take it from ordinary to extraordinary — because nobody likes a boring presentation .
To add a Behavior, click and drag the Behavior you wish to use onto the slide you want to animate. Once added, you can adjust the Behavior using the Properties tab.
Add annotations
Another good way to grab and direct your audience’s attention is to add some Annotations, which are great for highlighting important information.
To insert an Annotation, click the Annotation tab on the left side of the screen and drag it into the designated slide. You can then re-position and edit the Annotation in the Properties tab as needed.
Recording a PowerPoint Presentation, the FAQs
Absolutely! Both Snagit and Camtasia are excellent choices for recording a professional and polished presentation. Snagit is perfect for no-fuss recording and editing. If you require more sophisticated editing capabilities, Camtasia is the ideal choice, offering the added convenience of recording your slideshow and voice over directly within PowerPoint.
Click the Record button in the toolbar to launch your slides into the Presentation Mode and start recording. When you exit Presentation Mode or reach the end of your slideshow, you can either continue recording your screen or stop and save your file.
If you’re planning to record audio, select your microphone in the recording options. The microphone button controls whether or not audio is recorded as part of your presentation. If you have a webcam attached to your computer, you can also record your camera to create a Picture-in-Picture clip, perfect for showing the presenter during the presentation.
With Snagit, you can conveniently record your voice over as you go through your presentation, capturing both the audio and visuals in one go. If you’re looking for more advanced recording and editing options, you might also consider using Camtasia, which allows you to record your voice over while presenting. For even more control, use Audiate to record your audio separately and then import it into Camtasia for fine-tuning.

How to add a video to a microsoft powerpoint presentation.
If a picture speaks a thousand words, a video speaks a million words!
Quick Links
Embedding videos versus linking to videos, supported video formats in powerpoint, how to insert a video into a powerpoint presentation, manage an embedded video's playback in powerpoint.
Videos can make presentations even more interesting or exciting. If you're looking to add a video to your Microsoft PowerPoint presentation, it's easy to do so. We'll show you how.
In PowerPoint, you can either embed a video or link to a video from your presentation. If you embed a video, your video becomes part of the presentation, which increases the overall size of the presentation file.
Related: How to Send PowerPoint Presentations With an Embedded Video
If you link to a video, PowerPoint only adds a reference to that video in your presentation. The downside of this method is that you need to send the video file separately if you share your presentation with someone. We have written a guide on how to send PowerPoint presentations with videos , so check that out.
In this guide, we'll focus on embedding a video in your presentation so you don't have to worry about sending separate files. And, if you're looking to add a YouTube video to your presentation , there's a way to do that, too.
Related: How to Embed a YouTube Video in PowerPoint
PowerPoint supports multiple video formats, including ASF, AVI, MP4, M4V, MOV, MPG, MPEG, and WMV. If your video is already in one of these formats, you can quickly add that to your presentation.
If your video is in another format, you can convert it to a supported format and then add it to your presentation.
Related: How to Use Handbrake to Convert Any Video File to Any Format
First, make sure the video you want to add to your presentation is saved on your Windows or Mac computer. Then, open your presentation with PowerPoint on your computer.
On the PowerPoint window, in the left sidebar, click the slide in which you want to add a video.
At the top of the PowerPoint window, click the "Insert" tab.
In the "Insert" tab, under the "Media" section (which is to the extreme right side of the interface), click "Video."
You'll now see an "Insert Video From" menu. Here, select "This Device."
Your computer's standard "open" window will open. In this window, access the folder that has your video file. Then double-click your video file to add it to your presentation.
You'll see your selected video in your presentation. To resize this video, click it and use the handles around the video to change its size. Then drag the video to place it at its desired location in your slide.
If you'd like to test the video, at the bottom-left corner of the video, click the play icon.
And you're all set.
Now that you have added a video to your presentation, you might want to change how it plays in your slides. In PowerPoint, you have multiple ways to change your video's playback.
To access these playback options, first, click your video in your presentation. Then, at the top of the PowerPoint window, click "Playback."
In the "Playback" tab, under the "Video Options" section, you will find various options to manage your video's playback.
For example, to change how your video starts to play in your presentation, click the "Start" drop-down menu and select one of these options:
- In Click Sequence : This plays your video in the click sequence. This means if you press the button for the next slide, your video will play.
- Automatically : This option automatically plays your video when the slide with your video opens.
- When Clicked On : Select this option to play your video only when you click it.
The other options are "Play Full Screen," which opens your video in full screen, and "Loop Until Stopped" that plays your video over and over again until you manually stop it.
Before you close PowerPoint, make sure you save your presentation so that your embedded video is saved with it. Do this by clicking File > Save in PowerPoint's menu bar.
And that's how you make your PowerPoint presentations even more engaging by including videos in them. Exciting!
If you don't want to add a video but you do want audio, you can add music to your presentations . This also helps enhance your presentation quality.

Adding Audio from your Computer
Recording audio from powerpoint, editing audio, adding online audio, adding music from youtube, playing several clips in succession during your presentation.
- Before we begin, please note the following: in PowerPoint 2010 or older, you should use .wav or .wma files in Windows, and .wav files in Mac. If you’re using a newer version, we recommend that you work with AAC .m4a files.
- Open your PowerPoint presentation and select the slide where you want to add audio.
- On the Insert tab, in the Media group, click the Audio drop-down arrow. You’ll see two options: the first one allows you to add audio from your PC, whereas the second one allows you to record audio (you’ll need to have a microphone set up in your computer).
- Select Audio from My PC. A new window will open, where you have to locate the audio file you want to add to your presentation.
- Once located, click the drop-down arrow next to Insert. You’ll see two options:
- If you choose Insert , the audio will be directly inserted into your presentation, increasing the size of the document.
- If you choose Link to File , a link to the file will be created, reducing the size of the document. However, there could be issues if you use the presentation in a different computer, forcing you to link the audio file to the presentation again.
- Select the option that best suits your needs.
- If you want to export any audio included in your PowerPoint presentation, right-click its icon → Save Media As (you can only do this with audio inserted from your PC).
- Please note that if you want to play a different audio in each slide, you’ll need to add the audio files one by one. You’ll also need to uncheck “Play Across Slides”. You can refer to the “ Editing Audio ” section in this tutorial if you want more information.
- On the Insert tab, in the Media group, click the Audio drop-down arrow. Select Record Audio. A new window will open.
- Enter the name of the audio file you’re about to record.
- Press Record to start recording. To stop, press the Stop button. To play what you’ve recorded, press Play.
- If you’re happy with what you’ve recorded, click OK. If that’s not the case, click Cancel.
- Select the audio whose format you want to adjust. A new set of tabs, called Audio Tools, will appear on the toolbar.
- In the Bookmarks group, you’ll find an option to add bookmarks, which will be visible in the timeline. These can be helpful if you want to quickly find the main points in your audio during the presentation.
- In the Editing group, there are options to add a fade in and a fade out. You’ll also find the Trim Audio option. If you click it, a new window will open, where you can set the start point and the end point of the audio clip.
- In the Audio Options group, you’ll find the following options to adjust the behavior of the audio clip:
- Volume: It allows you to set the volume of the clip.
- Start: Click the drop-down arrow to choose how you want the audio to start. If you’re using Office 2010, you’ll also find an option here to play the audio clip during the entire presentation.
- Loop until Stopped: Once the audio clip finishes, it starts again indefinitely until you stop it.
- Play Across Slides: If you enable this, the audio clip will be played during the entire presentation. If “Loop until Stopped” is enabled too, it won’t stop playing until you reach the end of the presentation.
- Hide During Show: Check this option if you want to hide the icon.
- Rewind after Playing: Check this option if you want the timer of the audio clip to go back to the beginning when it reaches the end.
- If you’re using newer versions of PowerPoint, you’ll find a group called Audio Styles. Choose “No Style” if you don’t want additional effects. Choose “Play in Background” if you want the audio clip to be played in the background during your presentation.
- You can change the icon of the audio clip. To do so, on the Format tab, in the Adjust group, click Change Picture.
- Insert an icon or a picture. We’ll use it to link the online audio. Please refer to the How to Add and Modify Icons tutorial to learn how to insert icons.
- Add the link to the online audio resource. If you don’t know how to do it, please refer to the How to Insert a Hyperlink in PowerPoint tutorial.
- Once added, click the icon of this audio. A new window will open, where you must click the Play button. Some audio platforms, such as Soundcloud, allow you to generate an autoplay sharing link. With that, you just need to click the icon to play the audio automatically.
- If you want to pause the playback, you’ll need to exit the presentation mode and do it manually.
- Insert the video containing the audio or music you want. If you don’t know how, please refer to the How to Add a Video in PowerPoint tutorial.
- Decrease the size of the video and place it outside the visible part of the slide.
- We need to set it to automatically play in presentation mode. To do this, on the Playback tab, in the Video Options group, click the Start drop-down arrow and select “Automatically”. If you need more information, please refer to the How to Add a Video in PowerPoint tutorial.
- Please note that the audio will stop when changing slides.
To create a playlist that plays across all slides during your presentation, you need to use an audio editing software, such as Audacity or Adobe Audition, and edit the clips so that they come one after another. When you’re done, export it as a single audio file, which you can now use in your presentation.
