As a result of this, and in addition to the increasing number of private schools, adult readers, secondary and college students, the demand for books dramatically increased in the country. Though electronic books, audio books and digital magazines have come into use, many people still enjoy buying and reading traditional, printed books.

It is estimated that the government pays fees for more than 10 million pupils in primary schools and about 2.1 million students in secondary schools. A total of Sh.670 is budgeted for each primary school pupil to cater for textbooks, instructional materials and facilitation of internal examinations.

The demand for exercise books, text books and other stationery materials will therefore keep rising. This tells you that bookshops will remain viable businesses for many years to come. An entrepreneur can therefore greatly benefit by investing in a bookshop business. You can identify a niche market or stock a mixture of school books and other types.

Book business has serious competition. Your location should therefore be in a place that is not already saturated with bookshops. Choose a place that has high human foot traffic. Make your bookshop business highly visible and accessible. Such places are mostly found in established busy shopping malls, busy residential shopping centers and areas with high economic activities

In a city like Nairobi, busy areas like River road, Tom Mboya Street, Accra Road, Latema Road, Commercial, and Tea Room are some of the strategic areas to locate a bookshop business in Kenya. In residential areas, it is better to operate from busy shopping malls since these areas are frequented by large numbers of people all the time.

Other towns in Kenya also have busy sections that are suitable for a bookshop business in Kenya.

The size of your operating space will depend on your expected volume of business. It is more expensive to rent a big space therefore, clearly map out your demand and expected turnover before deciding on the size of room/premises to rent for your bookshop business. It will also depend on whether you may want to stock other stationery items such as office supplies.

Requirements

We have already talked about the space to operate your bookshop business. Other requirements will be the stock of books and shelves to stock them. Bookshelves should cost you roughly Sh.10,000. You will need a well-designed stocking system fully labelled to enable you easily find the books. You will also need an assistant who understands the books very well. You may need to make a catalogue of your stocks, divided into different categories, and complete with retail prices. This will help you and/or your assistant to easily locate any book that you need to sell.

Other requirements will be a single business permit from the county to legally operate your business.

Before you buy from publishers, you will need to be a member of Kenya Booksellers and Stationers Association, therefore it is advisable to join this association. To join this association, visit their offices at Shankardass House on Moi Avenue with copies of your business license, ID and PIN. Annual fee is Sh.12,500 renewable at Sh.5,000 annually. Their year runs from October to October. Note this very carefully.

Primary and secondary school textbooks may form a big portion of your sales. It is therefore advisable to stock these books as a priority. With the numerous changes in our education syllabuses, as a bookshop owner, it will be in your interest to keep in close touch with the happenings in the Ministry of Education and the policies.

You should identify the fast moving books in the area where your bookshop is located. These should be the books to give priority as you stock. Apart from text books, other stationery items such as exercise books, pens, note books, geometrical sets and dictionaries also move fast.

Buying stock of books in bulk from these suppliers attracts good discounts. To minimize your costs and increase your profit margins, consider buying school textbooks books in bulk from the publishers. You should also buy exercise books and other supplies in bulk directly from the printers and other major stationery suppliers. If you are well established, publishers will be fighting over each other to deliver books to you, mostly on credit, which is payable once the books are sold.

Competition

As already mentioned, bookshop business has stiff competition. Apart from locating in a busy and accessible point, your bookshop business setup should also differentiate itself from competitors. Aggressive marketing will be crucial for survival. You will be competing with major established players such as Book Point on Moi Avenue, Text Book Center on Kijabe Street, Sarit Center and other major malls, Svanis on Latema and many others in supermarkets and all over town.

You may need to reach out to clients instead of waiting for them to come to your bookshop. They may just go to your competitors since most books are standard; there is no recommended text book that can be said to be more superior. You may also stock a section for second hand books, both textbooks and novels. These have a higher margin than new books.

Try to lobby head teachers and school principals in the area and also use creative and innovative promotional efforts to draw attention to your bookshop. Branding and careful pricing will also help you in keeping ahead of competition in this business. Stocking most recommended text books will also create loyalty among your clients and they will keep coming to you knowing that they will get the books or items they require. It will be your responsibility to attract and retain as many clients as possible.

Remember you will also be competing with many street vendors who sell text books on the pavements in major towns. These vendors may undercut you since some of them have low overheads, e.g they do not pay rent, electricity etc.

Complete Budget

Below is an estimated budget of what your cost structure may look like as you start. These are only estimates and are based on a medium bookshop so use them as a guide only. Stocking the bookshop will take majority of the money. Exact amounts will depend on the size of your bookshop, quantity and variety of your stocks, location and projected demand.

  • No equipment to start
  • Stocks are clearly defined.
  • High demand for book exists.
  • Does not require a very big space to start
  • May require high capital to stock depending on size
  • Frequent changes in syllabuses may affect demand

A bookshop business can be quite profitable especially on school opening season of January and February. Some bookshops claim that they make almost 50% more during this time. You can target to make most of your profits for the year on these dates. Some of the street book vendors surveyed claimed to sell about 10 text books and 15 novels each day. Small and medium bookshops sell minimum of 35 books per day on average. Margins of 15% and 35% are recorded if you purchase your stock in bulk directly from publishers.

As you have seen, a bookshop business in Kenya is simple to start although may need a higher amount of capital to fully stock.

What Is a Bookstore Business Plan?

A business plan provides a snapshot of your bookstore as it stands today, and lays out your growth plan for the next five years. It explains your business goals and your strategy for reaching them. It also includes market research to support your plans.

Why You Need a Business Plan for Your Bookstore

If you’re looking to start a bookstore or grow your existing bookstore you need a business plan. A business plan will help you raise funding, if needed, and plan out the growth of your bookstore in order to improve your chances of success. Your bookstore business plan is a living document that should be updated annually as your company grows and changes.

Source of Funding for Bookstores

With regards to funding, the main sources of funding for a bookstore are bank loans and angel investors. With regards to bank loans, banks will want to review your business plan and gain confidence that you will be able to repay your loan and interest. To acquire this confidence, the loan officer will not only want to confirm that your financials are reasonable. But they will want to see a professional plan. Such a plan will give them the confidence that you can successfully and professionally operate a business.

The second most common form of funding for a bookstore is angel investors. Angel investors are wealthy individuals who will write you a check. They will either take equity in return for their funding, or, like a bank, they will give you a loan.

Your business plan should include 10 sections as follows:

Executive Summary

Your executive summary provides an introduction to your business plan, but it is normally the last section you write because it provides a summary of each key section of your plan.

The goal of your Executive Summary is to quickly engage the reader. Explain to them the type of bookstore business you are operating and the status; for example, are you a startup, do you have a bookstore that you would like to grow, or are you operating a chain of bookstores.

Next, provide an overview of each of the subsequent sections of your plan. For example, give a brief overview of the bookstore industry. Discuss the type of bookstore you are operating. Detail your direct competitors. Give an overview of your target customers. Provide a snapshot of your marketing plan. Identify the key members of your team. And offer an overview of your financial plan.

Company Analysis

In your company analysis, you will detail the type of bookstore you are operating.

For example, you might operate one of the following types:

  • Traditional bookstore : the traditional bookstore maintains a broad inventory of books in a variety of genres and subjects.
  • Religious bookstore : this type of bookstore stocks primarily religious books and accessories.
  • Used bookstore : this type of bookstore sells books that have been previously owned.
  • Specialty bookstore : this type of bookstore stocks books for a particular niche audience (i.e. New Age, Comic Books, etc.).

In addition to explaining the type of bookstore you operate, the Company Analysis section of your business plan needs to provide background on the business.

Include answers to question such as:

  • When and why did you start the business?
  • What milestones have you achieved to date? Milestones could include sales goals you’ve reached, new store openings, etc.
  • Your legal structure. Are you incorporated as an S-Corp? An LLC? A sole proprietorship? Explain your legal structure here.

Industry Analysis

In your industry analysis, you need to provide an overview of the bookstore business.

While this may seem unnecessary, it serves multiple purposes.

First, researching the bookstore industry educates you. It helps you understand the market in which you are operating.

Secondly, market research can improve your strategy particularly if your research identifies market trends. For example, if there was a trend towards cookbook consumption, it would be helpful to ensure your plan calls for a substantial cooking section.

The third reason for market research is to prove to readers that you are an expert in your industry. By conducting the research and presenting it in your plan, you achieve just that.

The following questions should be answered in the industry analysis section of your bookstore business plan:

  • How big is the bookstore business (in dollars)?
  • Is the market declining or increasing?
  • Who are the key competitors in the market?
  • Who are the key suppliers in the market?
  • What trends are affecting the industry?
  • What is the industry’s growth forecast over the next 5 – 10 years?
  • What is the relevant market size? That is, how big is the potential market for your bookstore. You can extrapolate such a figure by assessing the size of the market in the entire country and then applying that figure to your local population.

Customer Analysis

The customer analysis section of your bookstore business plan must detail the customers you serve and/or expect to serve.

The following are examples of customer segments: college students, sports enthusiasts, soccer moms, techies, teens, baby boomers, etc.

As you can imagine, the customer segment(s) you choose will have a great impact on the type of bookstore you operate. Clearly baby boomers would want a different atmosphere, pricing and product options, and would respond to different marketing promotions than teens.

Try to break out your target customers in terms of their demographic and psychographic profiles. With regards to demographics, include a discussion of the ages, genders, locations and income levels of the customers you seek to serve. Because most bookstores primarily serve customers living in their same city or town, such demographic information is easy to find on government websites.

Psychographic profiles explain the wants and needs of your target customers. The more you can understand and define these needs, the better you will do in attracting and retaining your customers.

Bookstore Competitive Analysis

Your competitive analysis should identify the indirect and direct competitors your business faces and then focus on the latter.

Direct competitors are other local bookstores.

Indirect competitors are other options that customers have to purchase from that aren’t direct competitors. This includes online bookstores, ebooks, libraries, etc. You need to mention such competition to show you understand that not everyone who reads frequents a bookstore each day.

With regards to direct competition, you want to detail the other bookstores with which you compete. Most likely, your direct competitors will be bookstores located very close to your location.

For each such competitor, provide an overview of their businesses and document their strengths and weaknesses. Unless you once worked at your competitors’ businesses, it will be impossible to know everything about them. But you should be able to find out key things about them such as:

  • What types of customers do they serve?
  • What products do they offer?
  • What is their pricing (premium, low, etc.)?
  • What are they good at?
  • What are their weaknesses?

With regards to the last two questions, think about your answers from the customers’ perspective. And don’t be afraid to stand outside your competitors’ locations and ask customers as they leave what they like most and least about them.

The final part of your competitive analysis section is to document your areas of competitive advantage. For example:

  • Will you provide superior products?
  • Will you provide products that your competitors don’t offer?
  • Will you make it easier or faster for customers to acquire your products?
  • Will you provide better customer service?
  • Will you offer better pricing?

Think about ways you will outperform your competition and document them in this section of your plan.

Marketing Plan

Traditionally, a marketing plan includes the four P’s: Product, Price, Place, and Promotion. For a bookstore business plan, your marketing plan should include the following:

Product : in the product section you should reiterate the type of bookstore that you documented in your Company Analysis. Then, detail the specific products you will be offering. For example, in addition to books, will your bookstore include a cafe, where it will offer items such as coffee, espresso, bakery items, etc.?

Price : Document the prices you will offer and how they compare to your competitors. Essentially in the product and price sub-sections of your marketing plan, you are presenting the items you offer and their prices.

Place : Place refers to the location of your bookstore. Document your location and mention how the location will impact your success. For example, is your bookstore located next to a heavily populated office building, or gym, etc. Discuss how your location might provide a steady stream of customers.

Promotions : the final part of your bookstore marketing plan is the promotions section. Here you will document how you will drive customers to your location(s). The following are some promotional methods you might consider:

  • Making your storefront extra appealing to attract passing customers
  • Advertising in local papers and magazines
  • Reaching out to local bloggers and websites
  • Social media advertising
  • Local radio advertising
  • Banner ads at local venues

Operations Plan

While the earlier sections of your business plan explained your goals, your operations plan describes how you will meet them. Your operations plan should have two distinct sections as follows.

Everyday short-term processes include all of the tasks involved in running your bookstore such as serving customers, procuring new books, keeping the store clean, etc.

Long-term goals are the milestones you hope to achieve. These could include the dates when you expect to serve your 5,000th customer, or when you hope to reach $X in sales. It could also be when you expect to hire your Xth employee or launch a new location.

Management Team

To demonstrate your bookstore’s ability to succeed as a business, a strong management team is essential. Highlight your key players’ backgrounds, emphasizing those skills and experiences that prove their ability to grow a company.

Ideally you and/or your team members have direct experience in the bookstore business. If so, highlight this experience and expertise. But also highlight any experience that you think will help your business succeed.

If your team is lacking, consider assembling an advisory board. An advisory board would include 2 to 8 individuals who would act like mentors to your business. They would help answer questions and provide strategic guidance. If needed, look for advisory board members with experience in bookstores and/or successfully running retail and small businesses.

Financial Plan

Your financial plan should include your 5-year financial statement broken out both monthly or quarterly for the first year and then annually. Your financial statements include your income statement, balance sheet and cash flow statements.

Income Statement : an income statement is more commonly called a Profit and Loss statement or P&L. It shows your revenues and then subtracts your costs to show whether you turned a profit or not.

In developing your income statement, you need to devise assumptions. For example, will you serve 20 customers per day or 100? And will sales grow by 2% or 10% per year? As you can imagine, your choice of assumptions will greatly impact the financial forecasts for your business. As much as possible, conduct research to try to root your assumptions in reality.

Balance Sheets : While balance sheets include much information, to simplify them to the key items you need to know about, balance sheets show your assets and liabilities. For instance, if you spend $100,000 on building out your bookstore, that will not give you immediate profits. Rather it is an asset that will hopefully help you generate profits for years to come. Likewise, if a bank writes you a check for $100.000, you don’t need to pay it back immediately. Rather, that is a liability you will pay back over time.

Cash Flow Statement : Your cash flow statement will help determine how much money you need to start or grow your business, and make sure you never run out of money. What most entrepreneurs and business owners don’t realize is that you can turn a profit but run out of money and go bankrupt.

In developing your Income Statement and Balance Sheets be sure to include several of the key costs needed in starting or growing a bookstore:

  • Location build-out including design fees, construction, etc.
  • Cost of fixtures like shelving, seating, and cafe fixtures like grinders, espresso machines, blenders, refrigerators
  • Cost of acquiring and maintaining an adequate inventory
  • Payroll or salaries paid to staff
  • Business insurance
  • Taxes and permits
  • Legal expenses

Attach your full financial projections in the appendix of your plan along with any supporting documents that make your plan more compelling. For example, you might include your store design blueprint or location lease.

Bookstore Business Plan Summary

There is a system you can use to write a business plan in Kenya that streamlines the entire process.

By using this system, not only makes the writing process faster and simpler but also way more useful in a really practical way.

If you want to organize your business and start strategically increasing your profits and growing towards your goals, then keep reading this guide.

This business plan has six main sections and I’d recommend that you start by scribbling your ideas for each on a separate blank piece of paper.

Once you get your ideas worked out, you can create one cohesive document.

How to Write a Business Plan in Kenya 

Now, the six pages of your business plan in Kenya are 

  • Product 
  • Production and Delivery 

Let’s look at each of these pages, shall we?

Page #1. Overview

Business Plan in Kenya

The first page of your business plan will be an overview.

It is going to give a basic understanding of what your company does and the structure of your business.

Now, on that first overview page of your business plan, you want to include 

  • Your business structure
  • Location, that is where you do business and also
  • A brief description of exactly what your company actually does.

The next piece of information for your company’s overview is your business’s mission, which is really important.

Here is why;

The business mission is the driving force behind your business plan in Kenya.

It is what all your plans are focused on achieving and if you don’t have a mission’s like trying to make plans to reach a goal without having the goal.

So make sure you don’t skip this step.

The final component of the overview page is your chart of accountability.

This chart describes who is accountable for which of the major tasks involved in running the business.

And the three main areas of accountability in most businesses are 

  • Sales operations
  • Finances 

Page #2. Message

The second page of your business plan in Kenya will focus on outlining your company’s message.

If you want your business to be successful, you MUST have a clear idea of;

  • What message you are working to communicate to your customers, 
  • Who are those customers
  • How do you fit into their lives and 
  • How can you help them solve a problem that they are facing and create a result that they are looking for.

Here are the questions that you will want to answer on this page of your business plan

  • What problem does your company solve for your customers
  • What result does your company create for those customers
  • How does your company create those results
  • Who does your company serve
  • Why do you do what you do
  • Why should your customers choose you over your competition 
  • What is your company’s step by step plan for creating those results for the customer or what is your proprietary system

This both helps to answer the question of what sets you apart from your competition

It also shows your customers how you are going to create those results that you are promising.

By making this clear, you are instilling confidence in your ability to create the results.

Page #3. Marketing

Let’s talk about the third page of your business plan.

This page focuses on marketing and generating sales.

First, you will want to define your target market by their demography and psychographics.

Demographics are attributes such as their age, income, where they live.

On the other hand, psychographics has to do with their interests, desires, and fears.

Here, you will also want to include an estimated size of your target market .

More importantly, where you have identified that you can find groups of those target customers.

Here is a little big hint;

If you haven’t yet figured out where you can find groups of those customers be it online or off, you are probably going to have trouble successfully marketing your product or service.

So if you come to this part in the business plan and don’t know what to put here, stop and do some digging.

Make sure that YOU can find this customer you have defined here. 

If you can’t, you might want to consider redefining that target customer and pivoting your marketing position.

The final three pieces of information that you can include on this page of your business plan are

  • Your visibility strategy. This explains how people will first learn about your brand and your products 
  • Your lead generation strategy, which explains how you will establish contact with the people who have discovered your brand
  • Your conversion strategy, which is essentially your sales strategy. Explain how you will turn those leads you’ve generated into paying customers.

Here is a quick heads up;

As you are working through this business plan, it’s more than likely that you won’t know the answers to all of these questions.

And you won’t have all these things figured out yet.

I just want to let you know that that is completely alright.

And actually, one of the main purposes of writing your business plan is to become aware of things you haven’t thought about yet or haven’t figured out.

Because only once you are aware of what you don’t know, you will be able to think through it. 

Don’t put off writing the business plan in Kenya just because you don’t know everything yet.

Rather, write the business plan so that you can get very clear on exactly what you know and need to figure out.

Page #4. Product

This page describes the product or products that you sell.

To clarify, a product could be a physical product or a digital product or service.

I highly recommend that you choose just one product as your business’s primary product.

You might be selling several different things, so determine what your main product is that you are going to center your business’s marketing message around.

Many different parts of your business development will be much easier if you do have one product that is the focus.

Now, on this page of the business plan, start by identifying 

  • what that product is and then 
  • describing the result that the product creates.

Here’s a little SECRET;

What your business sells is really the result your product creates not the product itself.

After describing the results, describe the impact the product creates.

This is different than the result itself.

It’s instead how the customers’ life is affected by the result of the product.

For example;

If your product is a vacuum cleaner, then the result the product creates is clean floors.

But the impact of the product is that your prospect feels better about the state of their house.

Now they have a cleaner, healthier living environment and perhaps feel more confident inviting some company.

Once you have described those three things for your main product, you can move on to other products that your company sells and do the same.

Page #5. Goals

The final page of your business success plan has to do with your goals.

If you have looked at any examples of business plans in the past or read a guide on how to write a business plan in Kenya, you might have seen a section that focused on projections.

  • sales projections or
  • new customer acquisition projections, or 
  • market share projections 

And if you’ve tried to write a business plan in Kenya in the past and you tried to write this section, you may have found it very difficult.

Chances are that is because you are running a small business in Kenya or maybe you have just started your business.

Truth is, it is really difficult to make accurate projections or projections at all for that matter if you don’t have any data to base them on.

And that is why I’d recommend that instead of trying to create projections, you simply set goals if you are just starting your company or have only been in business for a couple of years.

You can decide exactly how long you want to make your goals for.

But a good place to start would be to set some one-year goals and also some five-year goals.

This way you know what you need to work on right now but you also know where you are aiming long term.

For each time frame, you can set whatever goals you’d like.

However, some that I might recommend;

  • number of sales total revenue 
  • Profit 
  • impact in terms of the number of customers who you help or how wide you spread your message and
  • Development, could be the extent to which you have advanced the product that you create and offer or to what extent you have built your company.

And of course, when setting goals, it is always important to set specific, measurable goals and a deadline for when you plan to reach them.
